The right agency time tracker is the one your team will use consistently and that connects each entry to the client, project, task, billable status, and rate you need. Compare tools against your billing model, budget and margin reporting, approval and invoicing workflow, capacity planning, integrations, and current plan costs; there is no universal best choice.

What agency time-tracking software does

Agency time trackers record effort against clients, projects, and tasks. Depending on the product and plan, they can distinguish billable from non-billable work, produce timesheets and client reports, monitor budgets, help calculate project profitability, and support invoicing. A time entry becomes useful agency data when it has the right client and project context, task, billable status, and rate.

For example, a timer might capture time spent revising a client’s campaign, while a manual entry can record a meeting or other work logged later. Toggl describes timers and manual entry, web, desktop, mobile, browser-extension, and calendar-based capture, plus a private desktop activity timeline that users can turn into entries. It says the timeline does not use screenshots, keystrokes, or location monitoring. Clockify describes timer and manual timesheet entry, web, desktop, and mobile apps, and tracking within project-management tools. These are vendor-described options, not independent assessments of usability. Toggl’s agency page and Clockify’s agency page outline their respective workflows.

How to choose a tracker for your agency

Start by mapping how work is sold and delivered, then test whether a product supports the records and decisions your team actually needs.

Undated 24 Hour Daily Planner with To Do List for Work & Personal Life
  • ✔This daily plan pad features detailed hourly schedule timelines from 12 AM to 11 PM, perfectly segment your morning, afternoon and evening hours. Track meetings, appointments and fixed tasks hour by hour to eliminate procrastination and boost your daily time management efficiency.
  • ✔ 1.Put an end to the time black hole: Every hour of activity is recorded, so you always know where your time goes and bid farewell to "being busy yet achieving nothing". 2.Cure procrastination: Visual time grids have an inherent sense of supervision; blank time slots serve as a direct reminder, with more binding power than phone alerts. 3.Gain instant a sense of accomplishment: Check off completed tasks with a simple tick. A filled time axis page by page delivers physical feedback that digital tools cannot match, making it easier to keep going the more you use it.
  • ✔ 1.Students & Exam Takers: Plan class, review and practice time; allocate study hours for each subject precisely for targeted exam preparation. 2.Professionals: Schedule meetings, work projects and commute time; prioritize tasks clearly and bid farewell to chaotic overtime. 3.Freelancers & Stay-at-Home Parents: Clearly divide work/childcare/personal time to avoid blurring the boundaries between life and work. 4.Self-Discipline Enthusiasts: Check in on fitness, reading and learning; develop regular routines with hourly scales to build good habits effortlessly.
  1. Check capture and adoption. Identify where staff work and how they are most likely to log time: timers, manual entry, calendar capture, or integrations with project tools. A feature set is only useful if the team records time reliably.
  2. Define the reporting structure. Confirm that entries can be assigned to the required client, project, task, and description. Decide how your team will mark billable and non-billable work and apply rates.
  3. Match budget controls to your contracts. If you quote by estimate or fixed fee, check whether managers can compare actual hours with the estimate or budget and receive alerts before an overrun. Toggl describes estimate and fixed-fee alerts; Clockify describes project estimates and budgets.
  4. Check whether profitability data is meaningful for you. If you need more than hours, verify that the tool can apply billable rates and labor costs to show revenue, delivery costs, or margin by project or client. Both vendors describe these reporting capabilities. They can make a potential scope or margin problem visible; they do not guarantee improved profitability.
  5. Trace the review-to-billing process. Determine who checks and approves timesheets, how reports are shared or exported, and whether invoices must be created in the tracker. Toggl describes approvals and reports; Clockify describes reports and invoices based on tracked billable hours and expenses.
  6. Test capacity planning against agency reality. If managers plan staffing, look for a way to view availability alongside schedules, estimates, time off, and existing commitments. Toggl describes a timeline that can account for work hours, estimates, time off, public holidays, and connected-calendar commitments. Clockify describes forecasting, scheduling, and time-off management.
  7. Verify migration and commercial fit. Check import options, integrations, data export, required plan tiers, and total cost for your actual user count. Toggl lists Harvest, Clockify, ClickUp, Asana, and Teamwork as import sources. Confirm current terms on vendor pricing pages before switching or budgeting: the agency-page price examples are not a substitute for checking live plan details.

How Toggl and Clockify describe their agency workflows

The table summarizes capabilities described on the vendors’ pages, not a hands-on comparison or a recommendation that one product is better. Availability may vary by plan, and the pages do not establish that every feature is included in every tier.

Workflow need Toggl Track, as described by Toggl Clockify, as described by Clockify

Budget and scope monitoring Project estimates and fixed-fee alerts. Project estimates and monetary budgets.

Capacity and planning Capacity timeline incorporating work hours, estimates, time off, public holidays, and connected-calendar commitments. Forecasting, scheduling, and time-off management.
Price example on the agency page Not stated on the cited agency page. Check Toggl’s current pricing for plan and user-count terms. Clockify’s agency page states five total users free and $3.99 per user for unlimited users. The page does not state the price’s effective date; verify current terms before relying on it.

Vendor pages also publish customer results, which should be read as vendor-selected case studies rather than independent evidence. Toggl’s project time-tracking page reports 40+ hours saved monthly for Perception Engineering, 100% time-tracking adoption for Newlogic, and a 20% increase in profitability for Sweat+Co. The page access year is 2026; it does not establish that the underlying case studies were conducted in 2026. These examples do not predict what another agency will achieve. Hourly client work

Prioritize low-friction capture, accurate project and task assignment, billable status, rates, review, and report or invoice handoff. If invoices rely on tracked time, confirm that the approval and correction process happens before billing.

Fixed-fee projects

Look for estimates or monetary budgets that can be compared with recorded effort as the project progresses. Pairing time with labor cost and project revenue can help managers spot work consuming more effort than planned before closeout. An alert is useful only if someone is responsible for responding to it.

Retainers and recurring client work

Check whether reports can group time by client and project and make the relevant period easy to review. Decide how the team will distinguish included work from out-of-scope requests; a tracker records the time and categories you configure, but does not define the contract.

Agencies planning staff capacity

Assess whether the planning view reflects your actual commitments, work hours, leave, and calendar obligations. A utilization or availability view depends on timely, complete entries and schedules, so establish who maintains those records.

Questions to answer before switching

  • Can staff capture work without leaving the tools they already use?
  • Does the client-project-task structure match how the agency reports and bills?
  • Can the required users see budgets, rates, costs, approvals, and reports, or are those features limited to a particular plan?
  • Can managers export the records the finance team needs, and can data be moved in or out if the agency changes systems?
  • What will the current plan cost at the agency’s real user count, including any features needed for approvals, planning, or invoicing?
  • Who reviews missing, miscategorized, or implausible entries, and how often?

Toggl’s agency page says it supports CSV imports from Harvest, Clockify, ClickUp, Asana, and Teamwork. That establishes migration relevance, not a comparison of those products’ current features or prices. Check Toggl’s stated agency workflow and import information.

Practical verdict

Shortlist by workflow: choose the tool that fits how your agency captures work, structures client records, monitors estimates or budgets, reviews time, and plans capacity. Then verify required features and live pricing for the exact plan and team size. Toggl and Clockify both describe agency-oriented capabilities across tracking, reporting, budget oversight, and planning, but the available vendor descriptions do not establish a universal winner.
