A mechanic time clock can mean two different things: an employee clock for payroll attendance, or a system that records technician labor against individual repair orders. Choose based on the record your shop needs. Before comparing products, decide whether you need payroll-ready hours, repair-order labor capture, or both—and verify whether the system calculates flagged or flat-rate hours rather than merely recording elapsed time.

What should a mechanic time clock track?

Start by identifying the question you need the time record to answer. Attendance tracking answers when an employee worked and may let a manager categorize time by job or department. Repair-order labor tracking answers how much time a technician recorded on a particular work order. Those records can support different workflows and reports; they are not automatically interchangeable.

  • Payroll attendance: Employee clock-ins and clock-outs, potentially with job categories, corrections, and approval before payroll.
  • Repair-order labor: Start and stop times associated with a work order, which can support mechanic or billed-labor reporting.
  • Flagged or flat-rate results: A separate calculation or compensation measure. Do not assume an attendance clock or elapsed-time tracker calculates it.

For example, Clockspot describes employee time entry and job categories, while Windward describes starting and stopping technician labor on a work order. The distinction matters when evaluating what a product’s reports actually represent.

What to compare before choosing

Repair-order and job association

Ask whether technicians can clock directly into a specific repair order or work order, or whether someone must associate time with the job afterward. Way Repair Tech describes automatic labor-time capture as technicians move through jobs, with an option to edit. RoadBays describes mobile punches directly into specific work orders. Confirm how those flows work in the version you would use and how corrections are handled. Way Repair Tech technician app; RoadBays.

What the reports measure

Check whether the system reports employee attendance, time by job category, mechanic labor, billed labor, or repair-order activity. These labels do not necessarily mean the same thing. Windward describes mechanic and billed-labor reports; Procede describes job summaries, time-entry reports, and unit history for dealerships. Ask for a sample report and confirm which events and calculations feed it. Windward Software support; Procede Software dealership time clock.

Flagged hours, flat-rate pay, and efficiency

Ask specifically whether the product calculates flagged hours, applies labor-guide times, computes flat-rate pay or technician efficiency, or only records elapsed time. Clockspot states that its time clock does not calculate flagged hours, flat-rate pay, labor-guide time, technician efficiency, or repair-order profitability. That is a useful reminder not to infer these functions from the phrase “time tracking.” Clockspot for auto repair shops.

Clock-in locations and shop-floor workflow

Determine whether employees will use a shared kiosk, a shop computer, or their own phones or other devices. Clockspot describes a shared tablet or computer kiosk as well as browser access from an employee’s phone, tablet, or computer. A fixed kiosk is therefore one possible setup, not a requirement established by that vendor’s description. Way Repair Tech describes a technician app, and RoadBays describes mobile punches into work orders. Confirm device and access requirements with the vendor; the cited descriptions do not establish a particular device model.

Corrections, approvals, and roles

Find out who can edit a time entry, how an employee requests a correction, and whether a manager reviews entries before payroll or reporting. Clockspot describes employee corrections and weekly manager approval before payroll. Procede describes role controls. These are examples of controls to verify, not a guarantee that another product offers the same workflow.

Examples of mechanic and technician time-tracking approaches

Product What its vendor describes Important distinction
Clockspot Browser-based employee time entry from a shared shop computer or kiosk, or personal phone, tablet, or computer; job categories; correction requests; manager approval. Its page says the time clock does not calculate flagged hours, flat-rate pay, labor-guide time, technician efficiency, or repair-order profitability. It positions the clock separately from repair orders and other shop-management functions. Source.
Way Repair Tech Technician app with digital repair orders and automatic labor-time capture as a technician moves through jobs; time can be edited. The page also describes repair documentation and MOTOR repair guides. Confirm the exact time-capture workflow for your shop. Source.
Windward Software Starting and stopping a clock for technician or mechanic labor on a work order, with mechanic and billed-labor reports. The support article was modified September 5, 2022; confirm current product behavior with the vendor. Source.
Procede Software Dealership time-clock features described include real-time tracking, repair-order search, role controls, job summaries, time-entry reports, and unit history. Its described context is dealership service operations. Verify fit for your business and current feature details. Source.
RoadBays Mobile technician punches directly into specific work orders, with time tied to the job and described as ready for payroll. Confirm what “ready for payroll” means for your payroll process and required exports. Source.

How to evaluate a system for your shop

  1. Write down the output you need. Specify whether you need attendance for payroll, elapsed technician time by repair order, or both.
  2. Trace one real job through the workflow. Ask a vendor to demonstrate how a technician starts, stops, switches, and corrects time, including how an entry gets attached to the right repair order.
  3. Inspect the resulting record. Review a sample time entry and report. Identify whether the displayed value is attendance time, elapsed repair-order labor, billed labor, or a separate calculation.
  4. Test oversight and access. Confirm who can clock in, edit entries, approve time, and see reports, and whether technicians can use the devices available in your shop.
  5. Verify payroll and service-system handoffs. Ask which exports or integrations are supported and how corrections or approvals affect the records sent onward. Do not assume compatibility from a product description.
  6. Confirm the treatment of flagged or flat-rate work. If you need those calculations, have the vendor identify exactly what the system computes and what remains manual or belongs to another system.

When is a simple employee time clock enough?

An attendance-focused clock may fit if your main need is recording employee hours, categorizing work, and reviewing time before payroll. It may be inadequate if you need each technician’s elapsed time attached to a repair order, or if you expect flagged-hour, labor-guide, flat-rate-pay, or profitability calculations. A shop that needs both payroll attendance and repair-order labor should check whether one product supports both records or whether its workflow requires separate systems.
