A landscaping time clock is worth using when it captures every stretch of paid work, tags each stretch to the job it belongs to, and gives a manager a way to correct mistakes before payroll runs. Location data helps with that, but it cannot define paid time on its own. Crews start before they reach the first property, drive between sites, and finish off-site, and a system that only notices arrivals and departures at a job site misses part of the day.
What a landscaping time clock has to track
Before comparing products, write down what your crews actually do in a day. A workable system should be able to record:
- All compensable work, not only time inside a property boundary. That includes picking up tools, trailers, or materials at a yard, loading equipment, and driving between sites when the work requires it.
- Job labels that match how you bill and schedule. Depending on your business, that may be a customer, a property, a route, a crew, or a service type such as mowing, mulch installation, or irrigation repair.
- Clock-in methods that still work without good signal. Rural estates, new construction, and wooded lots often have weak coverage.
- Missed-punch correction with a recorded reason. A forgotten punch should be fixable, and the original entry and the change should both remain visible.
- Manager approval before hours are final. Someone who can answer for the hours should sign off on them.
- Searchable records and a payroll export. If hours can only be read on screen, the office still has to retype them.
If a product does not handle one of these items, the gap usually shows up later as a paper workaround, so test that item directly rather than trusting a feature list.
Why location cannot define paid time
The U.S. Department of Labor’s Wage and Hour Division addresses this in Field Assistance Bulletin 2024-1, which covers timekeeping technologies. The bulletin explains that a worker’s location does not determine whether time counts as hours worked. A worker may begin before reaching a designated job site, for example when asked to pick up tools or supplies, and may continue working after leaving it. The bulletin also warns that a system recording only job-site presence can leave out travel between sites and other off-site duties.

- Large Storage & Offline Functionality: Supports up to 200 users and 30,000 logs, connects via 2.4GHz WiFi or LAN. Offline punch capture syncs automatically to the cloud once network is restored, no data loss.
In practice, treat a geofence event as evidence that a crew member was near a property at a given time. It is a prompt for review, not the legal record of time worked. The bulletin puts the responsibility on the employer, and it says so directly:
“Employers should exercise responsible human oversight when using such systems to ensure that they are properly accounting for and compensating employee work hours.”

Clock-in methods and what happens without a signal
Most landscaping operations end up using two or three clock-in methods at once. The question is which method each group of workers falls back to when the usual one fails.
Smartphone or browser punches
This is the default for field crews. A worker taps in on a phone at the property, and the punch can be tied to a job label and, depending on the product, to the phone’s location at that moment. Confirm whether punches queue on the phone and sync later when the connection returns, and whether the app works on the device types your crew actually carries.

Phone-call clock-in
Clockspot describes phone-call clock-ins for locations where internet is spotty. This is useful for crews working on properties with no reliable data. Ask how the call is identified to the worker’s account, how the entry is labeled, and whether a supervisor sees it in the same review queue as app punches.

Shared tablet kiosk at a yard or shop
QuickBooks Time describes a tablet Time Kiosk. A kiosk suits a yard or shop where a common station makes sense, such as a morning check-in before crews load trucks. It is optional. It does not replace field clock-in for crews who never return to the yard, and the vendor material does not name a tablet model or minimum specifications, so confirm compatibility before buying hardware.
| Method | Best fit | Check before you rely on it |
|---|---|---|
| Smartphone or browser punch | Crews at properties with mobile coverage | Offline queueing, device compatibility, and whether labels can be chosen at punch time |
| Phone-call clock-in | Sites with weak or no data | How the call is tied to the worker, and whether the entry appears in the same approval queue |
| Shared tablet kiosk | Yard, shop, or staging point | Hardware compatibility and whether the kiosk is used only for in-person check-in |
Labeling time for job costing
Job costing is where a landscaping time clock pays for itself, because it shows what a mowing route or an installation actually cost in labor. Look for a product that lets a worker or supervisor assign each punch to a job, property, route, or service category without a separate spreadsheet.

Clockspot describes labels for jobs, properties, yards, routes, and service categories. Hubstaff describes landscaping job sites and job-costing reports. QuickBooks Time describes schedules by job or shift and project tracking, which it lists as an Elite-tier feature. Check that the tier you buy includes the labeling you need.
To test this, run one crew across three properties in a single day, with at least one change of job mid-morning. Then confirm that the job report shows the hours each property received, not a single lump total for the crew.

Location features are useful when they answer a question a manager would otherwise have to ask: was this worker at the property when they clocked in, and did the timer start near the address on the job? Used that way, GPS becomes an exception-review aid rather than a timekeeping authority.

- Clock-in location only. Clockspot describes clock-in GPS as context attached to a punch.
- Geofence reminders and location logging. QuickBooks Time documents location logging and geofence behavior, with geofencing listed as an Elite feature.
- Broader tracking that depends on settings. Hubstaff says its tracking depends on the timer, geofences, schedules, fleet-tracking settings, and device permissions. Precision, battery use, and what is collected can differ across devices and plans, so verify them on the device your crew will carry.
Whatever you enable, tell workers in writing what is recorded and when, and make sure a person reviews flagged mismatches before the hours are paid.

A reliable workflow runs in a fixed order. The steps below describe the general flow; exact labels and screens vary by product.
- The worker clocks in and out from the phone, kiosk, or phone call, and assigns the job label at punch time or within the same day.
- The system flags exceptions such as a missing punch, a clock-in far from the assigned property, or overtime. Clockspot describes correction requests that keep a reason history.
- The supervisor reviews the corrections and adds a reason for each change. Keep the original entry visible so the change can be audited later.
- The supervisor approves the week’s timesheets. QuickBooks Time describes manager timesheet approvals, and Clockspot describes approvals as part of its review process.
- Approved hours are exported to payroll or accounting. Clockspot describes payroll exports but says it does not process payroll itself, and QuickBooks Time describes payroll and accounting integrations. Confirm which integration applies to your payroll provider, and whether it carries extra cost or requires a particular plan.
- Store the approved records and the correction history for the period your payroll obligations require.

These are feature comparisons, not a tested ranking, and vendor pages may leave out limits or strengths of competing products. Pricing, plan tiers, and integrations change, so confirm them with each vendor before purchase.

Running a one-week trial before you commit
A vendor demo rarely exercises the situations that cause payroll errors. Run a live week with one or two crews and check each of the following:
- A crew clocks in from the first property of the day and the punch shows the correct job label.
- One worker changes properties three times in a day, and each property’s hours appear separately in the job report.
- A punch is entered with no connection, then syncs or is recorded by phone call, with the correct time.
- A forgotten punch is corrected by a supervisor, with a reason recorded and the original entry still visible.
- Travel or a yard pickup is recorded as work, with a note explaining it.
- Approved hours export to your payroll system, and the totals match the same week’s paper or spreadsheet records.
What the evidence does not show
No independent, landscaping-specific figure for time saved, error reduction, or adoption was located. Vendors publish promotional savings claims and platform-use metrics, but these are not evidence of what a landscaping business will see. Judge a product by how it performs in your one-week trial, not by its marketing numbers.
The Department of Labor bulletin discussed above is the federal baseline. Your state may impose additional requirements on meal breaks, worker notice of monitoring, and the handling of location data.
