A clear freelancer invoice identifies who is billing whom, what work was delivered, how much is due, when payment is expected, and how the client can pay. In the U.S., the IRS treats invoices as supporting business records, but the sources cited here do not establish one required invoice format for every freelancer. Use the template below as a practical starting point, then check the tax and payment rules that apply to your location and contract.

What a freelancer invoice should include

Make the invoice easy for a client or accounts-payable team to match to approved work and pay. The fields below are practical recommendations, not a universal legal checklist.

  • Your details: Freelancer or business name and contact information.
  • Client details: Billing name and address or the billing contact’s details.
  • Invoice identifiers: A unique invoice number and the invoice date.
  • Work reference: Project name, purchase order, or contract reference when useful.
  • Itemized services: Clear descriptions of the work. Where applicable, show hours or units, rate, and line total.
  • Amounts: Subtotal, any applicable tax, adjustments, and total due.
  • Payment terms: Due date and terms agreed with the client.
  • Payment route: Instructions for the agreed bank transfer or payment service.
  • Contact note: A brief line inviting questions or thanking the client.

An IRS procurement document gives an example of invoice fields used for government contract work, including contractor identity, invoice date, description and amount, payment terms, and payee details. Make sure the descriptions and totals match the approved scope and work delivered. Add tax details only as required for your jurisdiction and circumstances; tax-display rules vary.

How to send an invoice and follow up

A consistent billing workflow makes the request easier to understand and gives you records to refer to if a payment is delayed. These are process recommendations, not a guarantee of faster payment or a prescribed reminder schedule.

  1. Agree the terms before work begins. Put the scope, rate, milestones, expenses, due date, and payment route in a contract or written project approval.
  2. Invoice at the agreed billing point. Use a numbered invoice when a milestone is completed or the agreed billing interval arrives. Match its line items to approved work delivered.
  3. Send it to the right person. Use the client’s agreed billing contact. In your message, state the invoice number, amount due, and due date, and attach the invoice.
  4. Keep the records together. Save the invoice with relevant project approvals, delivery records, and payment proof. Mark it paid when the payment clears.
  5. Follow up if payment is late. Send a courteous reminder identifying the invoice and amount, attach it again, and ask when payment is expected. If the issue continues, follow the contract and applicable law.

Do not assume that a late fee is automatically enforceable; that depends on the agreement and applicable law. The official sources cited here do not establish a particular invoice design, reminder cadence, or software product as a proven way to get paid faster.

Keep invoices as part of your business records

For U.S. freelancers, the IRS says a business can choose a recordkeeping system suited to its needs if it clearly shows income and expenses. Invoices, receipts, deposit slips, and canceled checks can support entries in business records. Keep documents orderly and safe, and retain records for as long as needed to substantiate the income or deductions they support. The required period depends on the action, expense, or event recorded.

Electronic recordkeeping is an option if the system provides complete and accurate records accessible to the IRS and follows the same basic recordkeeping principles as paper records. A spreadsheet or invoicing system can help organize records, but the IRS does not endorse a particular vendor. U.S. tax and jurisdiction limits

An invoice is a record of a bill; it does not by itself determine your tax liability or filing obligations. U.S. freelancers and gig workers should track income and expenses. The IRS says gig-work income must be reported even if the worker does not receive a Form 1099. Check current IRS guidance and consult a qualified tax professional about your circumstances.
