The most useful financial strategies for a small business are the ones that make its records reliable, its cash needs visible, its tax payments timely, and its borrowing and owner-pay decisions affordable. Build the routine around accurate bookkeeping, cash-flow forecasting, year-round tax planning, careful financing comparisons, and a scheduled review. The right details depend on your business structure, employees, location, and cash-flow pattern, so treat tax, lending, and retirement choices as decisions to verify for your circumstances.

1. Keep complete records you can actually use

Accurate records support tax filing, cash planning, and loan applications. Keep receipts and other supporting documents, record income and expenses consistently, and reconcile accounts regularly. Separate business and personal activity where practical; mixed activity makes it harder to see what the business earned and spent.

The IRS explains small-business accounting methods, expenses, and recordkeeping in its Tax Guide for Small Business. If software or another expense is used partly for personal purposes, allocate the business-use portion rather than automatically treating the entire cost as a business expense. A bookkeeping ledger or cash-flow planner can help organize entries if you work on paper, but it does not replace complete records, accounting software, or tax preparation where those are needed.

2. Forecast cash, not just profit

Profit and available cash are different. A business can show a profit while waiting for customers to pay, or face a cash shortfall when payroll, inventory, taxes, or loan payments come due. Track expected receipts and payments so you can see when cash may be tight and whether planned spending or debt service fits.

Use a cash-flow statement to record actual income and expenses and estimate future ones. The SCORE business-plan workbook includes a cash-flow statement, and the SBA’s business-management resources discuss tracking capital and projecting cash flow. These tools support planning, but neither establishes a universally correct forecast horizon or guarantees accuracy.

  • List expected customer receipts by likely collection date, not just invoice date.
  • Include payroll, inventory, rent, taxes, debt payments, and other scheduled outflows.
  • Update assumptions when collections, costs, staffing, or financing plans change.
  • Check whether forecast cash can cover new commitments before taking them on.

3. Plan federal tax payments through the year

Federal income tax generally follows a pay-as-you-go system. Individuals who operate as sole proprietors, partners, or S corporation shareholders generally need estimated tax payments if they expect to owe at least $1,000 when filing, subject to exceptions and other rules. The exact calculation depends on expected tax, withholding, credits, and the taxpayer’s circumstances.

For tax year 2026, IRS Publication 505 gives the general estimated-tax rule: estimated payments may be required when expected tax is at least $1,000 and withholding and credits are below the smaller of 90% of 2026 tax or 100% of 2025 tax. Different rules can apply to farmers, fishers, and higher-income taxpayers. Recalculate when income or circumstances change, and check current IRS forms and payment dates. These are federal rules; state and local tax obligations are not covered here.

4. Prepare before borrowing and compare the full cost

Borrowing can support working capital, equipment, inventory, expansion, or other needs, but an approval amount is not the same as an affordable amount. Prepare a business plan, expense sheet, and financial projections before approaching lenders. SBA guidance recommends five-year projections in its loan-planning resources; use projections that make clear how repayment fits expected cash flow.

SBA 7(a) loans

The SBA’s 7(a) loan program can support multiple purposes, including working capital, refinancing, real estate, equipment, supplies, and changes in ownership. The program’s maximum loan amount is $5 million; it is a limit, not a promise that a borrower will qualify for that amount. Most 7(a) term loans are repaid monthly from business cash flow, and payments on variable-rate loans may change. Eligibility and actual terms depend on the borrower, use, lender, and current program rules.

SBA Microloans

The SBA’s Microloan program provides loans through intermediary lenders, with loans of up to $50,000. The maximum is not a guaranteed offer; the intermediary and borrower circumstances affect actual terms and eligibility.

Compare offers on more than the headline rate

Contact banks, credit unions, or other eligible lenders and compare the complete obligation, not just the advertised rate or maximum. SBA’s Lender Match is an official resource for connecting with participating lenders; a match is not a loan approval.

What to compare Why it matters
Annualized rate, fees, and total repayment Shows the full borrowing cost rather than only the stated interest rate.
Repayment term and schedule Lets you compare the timing and size of payments with expected receipts.
Fixed or variable rate A variable rate can change payment amounts over the loan term.
Collateral and guarantees Clarifies what assets or commitments may be required.
Prepayment terms Shows whether paying early affects the cost or triggers conditions.
Eligible purpose and documentation Confirms the proposed use fits the program and what information an application requires.
Fit with forecast cash flow Tests whether payments remain manageable under realistic collection and expense assumptions.

The SBA Office of Advocacy’s Small Business Finance Frequently Asked Questions 2024 reports more than $1.3 trillion in total small-business loan balances in 2023. It reports $657 billion in business loans outstanding for loans of $1 million or less, and $653 billion in finance-company credit, also for 2023. These are historical figures published in 2024, not estimates of 2026 lending.

5. Account for owner pay and retirement

Owner compensation affects both household finances and the business’s available cash, but draws, distributions, and salary can have different tax and cash-flow effects depending on the entity. Do not assume one compensation method applies to every small business. Include a realistic owner-pay plan in the cash forecast and review the tax treatment with a qualified professional when entity structure or compensation changes.

Small businesses may consider SEP, SIMPLE, and qualified retirement plans. The IRS describes plan options in its Retirement Plans for Small Business guidance. There is no single best plan for every business: compare eligibility, owner and employee coverage, contribution rules, tax treatment, administrative duties, and cost. SBA guidance also treats retirement planning as part of managing a business.

6. Make financial review a repeatable routine

A practical workflow is to close the books monthly and revisit the forecast regularly. This is a management recommendation, not a cadence prescribed by the SBA. Use each review to identify differences between what happened and what you expected, then revise assumptions rather than carrying stale estimates forward.

  1. Reconcile business accounts and check that income and expenses are recorded with supporting documents.
  2. Compare actual receipts and spending with the forecast; investigate material differences.
  3. Review overdue receivables and expected collection dates.
  4. Check upcoming payroll, tax, and debt payments against available and forecast cash.
  5. Revise assumptions for sales, costs, inventory, staffing, or financing when circumstances change.

For a manual workflow, a ledger or cash-flow planner can make this review easier to follow. Choose a format you will maintain; the tool is secondary to keeping complete records and updating the figures.

When to get individualized advice

Use official IRS, SBA, and SCORE materials to understand the process, then seek advice tailored to your situation when a decision turns on tax treatment, entity structure, employee benefits, state or local rules, loan guarantees, or a major cash-flow commitment. The strategies above are a management framework, not personalized tax, legal, investment, or lending advice.
