The right team time management software depends on what your team needs to manage: shared tasks and schedules, recorded work hours, workload capacity, or all three. These tools bundle those capabilities differently, so compare them against your workflow rather than assuming every product is a full project planner and time tracker.

What team time management software should do

“Team time management software” is a broad category, not a single standard feature set. A tool may focus on assigning and scheduling work, capturing time, showing who has capacity, or combining those jobs. Start by identifying which decisions the software must help your team make.

  • Plan work: Assign owners, set due dates, break work into subtasks, manage recurring tasks, and view shared schedules or boards.
  • Capture time: Record hours with a timer, manual entry, calendar-related entries, or timesheets, and check which devices the team can use.
  • See capacity: Compare planned work with working hours, leave, holidays, and time estimates.
  • Review results: Check whether reports, approvals, and estimates-versus-actuals help with project oversight or billable work.
  • Fit existing tools: Verify integrations with the team’s calendar, project software, and collaboration environment.

These criteria are related but not interchangeable. For example, a task board can clarify ownership without recording hours, while a time tracker can record effort without offering a useful shared project schedule.

How the main options differ

The official product pages describe different combinations of planning, time capture, and workload features. The comparison below summarizes vendor-described capabilities; it is not an independent hands-on test, and features may depend on the plan.

The cited Planner page does not establish a built-in time-tracking workflow comparable to a dedicated time tracker. Planner Plan 1 adds task dependencies, reports, timeline/Gantt view, backlogs and sprints, people management, and project goals. Choose based on your team’s workflow

If assigning and scheduling tasks is the priority

Look for clear task ownership, due dates, recurring work, subtasks, and shared views that match how the team coordinates. Asana describes a shared project hub with owners, due dates, and several ways to view projects. Planner centers on task management and offers Grid, Board, Schedule, and Charts views. Check each product’s plan details before treating a listed feature as included in the tier you intend to use.

If you need recorded hours as well as task plans

Check how people will enter time, not just whether a product says it supports time tracking. Toggl’s official pages describe timers, manual entries, weekly timesheets, calendar-related entries, and desktop and mobile apps. They also describe approvals and reminders. These are vendor-described capabilities, so confirm the current workflow and plan fit directly with the provider before adoption.

If workload and capacity are the concern

Capacity information is useful only when it reflects actual availability. Toggl’s task-management page describes capacity views based on work hours, time off, and holidays, alongside task estimates. Ask whether the tool can represent your team’s working patterns and absences, and whether planned estimates can be compared with logged time. If your team already uses Microsoft Planner

Integration is a specific requirement worth testing before choosing a separate time tracker. A public user question asks, “Is anyone aware of a similar time tracking tool compatible with Microsoft Planner?” That illustrates the kind of compatibility concern a team may have; it does not establish how common that need is. Verify the exact connection your workflow requires—such as linking time entries to Planner tasks—and whether it is native, provided by another service, or unavailable. The cited Planner page describes Teams integration, but that alone does not establish compatibility with a particular time-tracking product.

Questions to answer before comparing plans

  • Can a task have one clear owner, a due date, subtasks, and a recurring schedule?
  • Can the team see work in the views it actually uses, such as a calendar, timeline, board, or list?
  • Can people record time with the method and device they will use in practice?
  • Can managers account for working hours, leave, and holidays when assessing capacity?
  • Can reports compare estimates with actual recorded time, and are approvals available if required?
  • Does the tool integrate with the calendar, project tools, and collaboration service already in use?
  • Which capabilities are included in the relevant plan, and what does that plan cost in your region and billing term?

For Microsoft Planner, the cited page displayed Plan 1 at $10 per user per month when paid yearly in the surfaced result, but that is volatile page data rather than a dependable current quote. Check the live Microsoft page for your region and confirm the billing basis. Asana’s cited feature page likewise does not establish plan-by-plan entitlements or current pricing.

A practical selection process

  1. Write down the core job. Decide whether the team primarily needs task coordination, time records, capacity visibility, or a combined workflow.
  2. List must-have behaviors. Specify the needed task fields and views, time-entry methods, reporting, approvals, and availability rules.
  3. Check the connection points. Confirm that the product works with the calendar, project system, and collaboration tools the team already depends on.
  4. Match requirements to the plan. Verify current feature entitlements, price, billing term, and regional availability on the vendor’s live page.
  5. Validate the actual workflow. Before rollout, confirm that a representative task can move through assignment, scheduling, time capture, and reporting as required.

The vendors describe distinct feature mixes, but their pages are not independent comparative evaluations. They do not establish which product performs best for a particular team, nor do they support a category-wide productivity or adoption statistic. Choose by validating the workflow and plan requirements that matter to your team.
