A team’s folder structure tells people where work belongs, what is shared, and who is expected to have access. To make that message useful, give each shared space a clear purpose, use names that explain their contents, and assign someone to maintain the structure.

What should your team’s shared drive communicate?

It should make three things easy to infer: what the space is for, where a particular kind of work belongs, and which people should be able to reach it. That is a practical way to think about folder structure—not as proof of better productivity, but as a shared map that helps people navigate and understand boundaries.

Google recommends giving each shared drive a clear focus, such as a project or team. Microsoft’s SharePoint information-architecture guidance similarly emphasizes making relevant documents findable and helping people understand an organization’s structure. Together, these recommendations point to a useful test: can someone new to the team understand the purpose of a space and locate a file without insider knowledge? Choose a top-level structure that matches the work

Start with how people actually retrieve and collaborate on files. Projects, functions, and recurring business activities can all make sense as organizing principles; the right choice depends on the work and the people who need to use the space.

Google suggests creating shared drives for individual projects or teams. If one drive has accumulated too many projects and teams—or people disagree about how it should be organized—Google’s guidance describes separating cross-functional collaboration from functional-team content. Make drive and folder names do navigation work

A title should describe the space’s purpose or contents, not merely make sense to the person who created it. The National Archives-hosted sample procedure recommends accurate, distinct folder titles and limited subfolder depth. Google also recommends organization-wide naming conventions, with examples such as region, status, and internal or external labels.   • Agree on a small set of top-level categories tied to the work.
  • Use consistent naming conventions across drives, folders, and files.
  • Keep nesting limited; avoid making people click through layers that repeat the same information.
  • Choose names that distinguish one space from another and make sense to a newcomer.

For example, a project space could use a descriptive project name at the top level, with a few clearly named areas for active work, approved materials, and references. The labels should reflect the team’s actual workflow; no single set of folder names fits every organization.

Set access boundaries where the work requires them

Folder structure also signals who should participate. In Google shared drives, files belong to the team rather than to an individual, and they remain when a member leaves. Google’s guidance also describes using separate spaces or restricted folders when different access is needed. These choices make the structure reflect real collaboration and sensitivity boundaries instead of relying on a departing employee’s personal organization. Before creating a new space or restricting a folder, ask who needs to view or edit the material and whether the access boundary matches the work. Active collaboration may call for broader editing access among members; completed-project or final-content repositories may be labeled as archives or references and use more limited roles. Assess the existing drive before reorganizing it

Do not begin by moving folders at random. The National Archives recommends assessing the current environment before standardizing a structure and adopting a day-forward policy. Consider the platforms in use, existing drives and directory structure, security needs, file types, and dates. (National Archives shared-drive guidance.)

  1. Inventory what exists. Identify the drives, major folders, and kinds of material teams rely on.
  2. Map the work and access needs. Note which content is cross-functional, which belongs to a team or process, and who needs to view or edit it.
  3. Agree on the new categories and naming rules. Keep the structure understandable to people beyond its original authors.
  4. Decide how new material will be handled. Set a day-forward rule so users know where new files go even if older content is not moved immediately.

Give the structure an owner

A directory is a lasting team agreement only if someone is responsible for keeping it usable. The National Archives recommends clear roles, points of contact, policies, training, and maintenance strategies. Assign a steward or point of contact who can clarify naming rules, oversee changes, and help users understand where material belongs. Make the rules visible to the people who use the drive. Explain what each top-level space is for, how names are formed, who can create or rename folders, and how completed work is handled. Review the structure when the work changes or users can no longer tell where something belongs.
