A social media calendar puts planned posts on dates and channels in one view, so you can spot gaps, balance campaigns and see what needs to be drafted or scheduled. Start with a spreadsheet if you only need to organize the plan; consider a publishing calendar when you also need to draft, review and schedule posts.
What is a social media calendar?
Buffer defines it as “one view of every post you’ve planned, laid out by date and by channel.” In practical terms, it is a forward-looking plan that shows what you intend to publish, where, and when. A calendar can be a spreadsheet or a tool that also manages publication; it does not have to be a particular app.
At minimum, give each planned post a date, channel, post idea or copy, and creative asset or asset status. Add a workflow status such as idea, draft, scheduled, published or needs approval when you need to track progress or hand work between people. Campaign and content-type tags are optional, but can help filter a busy plan.
How do you create a social media calendar?
- Choose channels and cadence. List the platforms you intend to use and decide how often you want to publish on each. Treat cadence as a decision based on your goals, team and content capacity—not a universal number prescribed by a calendar.
- Pick dates and times. Lay out the month and assign tentative publishing slots. Keep dates flexible where campaigns or approvals are not settled.
- Add ideas and drafts. Record the post idea or copy alongside its channel and any required creative asset. Mark an uncertain concept as an idea or draft rather than presenting it as ready to publish.
- Scan the month for gaps and crowding. Use the month view to see how posts and campaigns are distributed across channels. Notice empty stretches as well as dates where too many planned items compete for attention.
- Review the upcoming week and schedule ready posts. Move from the broad month view to a week or list view to check individual items, make edits and schedule the posts that are ready.
Buffer describes this kind of workflow and notes that a calendar can be kept in a spreadsheet or in a calendar that publishes posts. Hootsuite also recommends using a calendar to identify gaps and prepare or manage scheduled content.

What should the month view show?
The month view is for distribution: it helps you see whether planned content is spread sensibly across the calendar and channels. It is not a substitute for checking each post. Use a week or list view when you need to review the copy, asset, status or scheduling details of a specific item.
Calendar products differ in how they present this work. Hootsuite documentation describes month and week views, with summaries by status and social network; it also documents actions to edit, reschedule or delete scheduled content. Sprout Social describes list, week and month views and a shared publishing workflow. These are vendor-described features, so confirm that the current product and plan provide the view or action your team needs.

Their exact channel support and plan limits can change, so verify the specific account type and post format you need before relying on a service to publish it. A long integrations list alone does not establish that a particular format will work.

How to choose a calendar tool
- Separate planning from publishing. Decide whether you need a shared plan only or also need to schedule and manage posts inside the service.
- Verify channels and formats. Check support for the precise platform, account type and post format—not just the platform name.
- Match the views to the work. Month view helps with distribution; week or list views help with inspecting and changing individual posts.
- Check team workflow. If multiple people contribute, look for the draft, approval, status and collaboration controls the process requires.
- Confirm current plan limits. Check current vendor information for channel availability, scheduling limits and relevant features before choosing.
