A reporting-platform migration can expose how much scheduled output an organization carries without knowing who still needs it. In a 2026 first-person account, Serguey Shinder says his organization found 640 scheduled reports across four tools, while people opened 94 reports over a quarter. Those figures are specific to his account, not an industry benchmark—and opening a report is not the same as proving it is unnecessary.
What the headline’s numbers actually describe
Shinder’s DEV Community article, published in 2026, describes a review prompted by a supplier’s per-report migration quote. The account does not identify the supplier, the reporting platform, or the quote amount. It says the inventory covered 640 scheduled reports across four tools, delivered by email or shared drive. The headline rounds that count to “six hundred.”
The article says 94 reports were opened by a human being across a quarter. That is not 90 reports read each month: the measurement period in the account is a quarter, and the verb is “opened,” not a demonstrated measure of reading, comprehension, or business value. Shinder does not describe the instrumentation or define how an opening was recorded.
The case figures and outcomes are Shinder’s account; the article does not provide report-level logs, source data, an independent audit, or evidence that would validate them separately. They are useful as an example of a review process, not as a typical rate of report use.

How to tell whether scheduled reports are still being used
Start with an inventory, not a deletion list
List scheduled outputs across the tools and delivery routes in scope. Capture the report name, schedule, delivery method, recipients or destination, business purpose if known, and any named owner. Include shared drives and email distribution, not just reports visible inside the reporting platform.
Shinder says his organization found reports distributed across four tools. That detail matters: usage and ownership can be fragmented even when the migration is treated as one project. An inventory gives the organization a defined set to review before it decides what to migrate.

Measure activity over a stated period
Use available access or delivery logs, and record what the signal means. An open event can show that a report was accessed; it does not establish that the recipient relied on it. A lack of recorded opens may also reflect a delivery route or workflow that the measurement does not capture. Shinder’s account reports 94 human-opened reports over a quarter but does not explain its logging method.

Set a measurement window that makes sense for the report’s cadence and purpose. A daily operational report and an annual compliance output should not be judged by the same short period of activity. Record the period alongside the count so that “unused” does not become an unsupported label.

How to decide which reports to retire
Ask people to renew, and provide a recovery path
Shinder says the team asked recipients to request renewal and treated nonresponse as a reason to stop delivery. It stopped 420 reports; 19 generated complaints and were reinstated the same day. The author describes those reinstated reports as useful, but the account does not independently audit that conclusion.
This approach makes silence a review signal, not proof that a report has no value. Before using it, tell affected recipients what is changing, when delivery will stop, how to request continuation, and whom to contact if a report is missed. Keep a way to restore a stopped report promptly, and review requests rather than treating them as automatic evidence of permanent need.

Separate mandatory outputs from discretionary ones
The account says regulatory reports were tagged separately and exempted from the renewal process. It does not identify a jurisdiction or the particular requirements. In practice, verify any legal, regulatory, contractual, or control obligation with the responsible owner before stopping a report; low readership alone cannot establish that an output is optional.
Make continued reports accountable
For reports that remain, Shinder says the organization recorded a named owner, a reason, and an expiry date no more than a year away. That is a reported governance control, not a regulator’s assessment or proof of compliance. It gives a future reviewer a person to ask, a stated purpose to check, and a date for reconsideration.

What to do about old distribution lists and sensitive data
Review recipients and destinations as well as usage. Shinder reports that about 40 reports contained salary or customer detail and were being sent to groups that no longer justified receiving them. The account does not specify the data, recipients, or an independent security assessment, so this should be read as a reported finding rather than a quantified compliance breach.
- Confirm that each recipient or group still has a business need for the report.
- Check whether an email list, shared-drive permission, or group membership has outlived its original purpose.
- For sensitive fields, verify that access is limited to appropriate recipients and that delivery destinations are current.
- Assign a responsible owner to resolve uncertain access, rather than assuming an old distribution list remains approved.
These checks can identify exposure even when a report is still being opened. Conversely, a report with no recorded opens may still be required; use and access review are related but distinct decisions.
How report cleanup can change a migration
Shinder says the reduced scope changed the migration quote to one-third of the original. The article gives no quote values, vendor, platform, or accounting evidence, so the reduction is the author’s reported outcome—not a verified savings figure or a forecast for other organizations.

Then ask the supplier to state which reports and services the quote includes, so the migration scope and pricing assumptions can be checked against the approved inventory.
