Sending email from a subdomain can separate traffic—such as receipts and marketing—from your main domain and make authentication easier to organize. It is useful as an operational boundary, not a deliverability shield: Gmail aggregates mail sent from subdomains under the same primary domain when deciding whether the sender meets its bulk threshold.
What a sending subdomain does—and what it does not
A subdomain is a distinct name beneath your primary domain. For example, a business might use updates.example.com for newsletters while keeping example.com for its website and employee email. The visible From address could be news@updates.example.com.
Using a dedicated sending subdomain can give a team a separate identity for a mail category and a place to manage DNS authentication for that traffic. Google recommends consistent From addresses for messages of the same category, which can help recipients recognize what they are receiving. This separation can also make it clearer which service is responsible for a message stream.

How a subdomain compares with using your primary domain
| Consideration | Primary domain | Sending subdomain |
|---|---|---|
| Identity and organization | Mail categories share the primary domain identity; separate From addresses can still distinguish categories. | Can give a category, such as marketing or transactional mail, its own recognizable sending identity. |
| Authentication | Configure SPF, DKIM, and DMARC for the domain used in the sending setup. | Configure the records needed for the subdomain and ensure the visible From domain aligns with SPF or DKIM as required for bulk mail to personal Gmail. |
| Gmail bulk threshold | Messages to personal Gmail accounts count toward the threshold. | Messages count toward the same threshold when the subdomain shares the primary domain. Google’s FAQ says, “Messages sent from the same primary domain count toward the 5,000 limit.” |
| Monitoring | Google Postmaster Tools displays compliance status for primary domains. | Subdomain data contributes to monitoring, but compliance status is displayed for the primary domain. |
| Operational responsibility | You must maintain authentication, sending practices, and monitoring. | The same responsibilities apply; a subdomain does not remove them. |
What Gmail requires from senders
The rules below concern messages sent to personal Gmail accounts. Google says all senders must set up SPF or DKIM; senders classified as bulk senders must set up SPF, DKIM, and DMARC. Google recommends all three even where its minimum stated requirement is lower. These requirements should not be assumed to describe the rules of every mailbox provider or Google Workspace recipients.
When Gmail considers a sender a bulk sender
Google defines a bulk sender as one that sends close to 5,000 or more messages to personal Gmail accounts within 24 hours. Gmail aggregates messages from subdomains that share a primary domain. The figure is from Google’s Gmail Help; the page’s publication year is not stated. Google also says bulk-sender status does not expire once assigned.

Authentication and alignment
For bulk mail to personal Gmail accounts, Google requires both SPF and DKIM authentication, plus DMARC. The domain in the visible From header must align with either the SPF domain or the DKIM domain for DMARC alignment to pass. Google’s sender guidance states: “For direct email, the domain in the sender’s From: header must be aligned with either the SPF domain or the DKIM domain.”
Valid forward and reverse DNS for sending domains or IP addresses and TLS are also among Google’s requirements. If you use a third-party email service, you remain responsible for checking that it authenticates your domain with SPF and DKIM.

Unsubscribe and spam-rate expectations
Bulk senders’ marketing and subscribed messages must support one-click unsubscribe and include a visible unsubscribe link in the message body. Honor unsubscribe requests. Google says senders should keep reported spam rates below 0.10% and avoid ever reaching 0.30%. These figures are from Google’s Gmail Help, whose publication year is not stated; they are Gmail guidance, not universal thresholds for all providers.
How to set up a sending subdomain responsibly
- Inventory every system that sends mail for your organization. Include internal servers and third-party services. Google says an SPF record should include all senders and should be updated when a new mail server or third-party sender is added.
- Choose the sending domain and From identity for each mail category. Decide which messages will use the primary domain and which will use the subdomain. Keep From addresses consistent within a category so recipients can recognize the mail.
- Publish SPF for the actual sending domain. Google’s SPF setup guidance says subdomains need their own SPF record. Make sure the record accounts for all services authorized to send for that domain.
- Enable DKIM for the domain that sends the messages. Google says DKIM keys for delivery to personal Gmail accounts must be at least 1024 bits and recommends 2048 bits when supported.
- Publish DMARC and verify alignment. Set a DMARC policy appropriate to your setup and ensure the visible From domain aligns with SPF or DKIM for bulk sending to Gmail. Google recommends using DMARC reports to identify senders, including possible spoofers.
- Test real messages, not just DNS records. Send from each service and inspect the message headers and the provider’s diagnostics to confirm SPF, DKIM, and DMARC results and alignment. Adding records alone does not prove that a message passes authentication.
- Ramp up gradually and monitor outcomes. Google advises against abrupt volume increases and recommends starting with engaged recipients. Watch server responses, complaints, bounces, deferrals, and reputation as volume grows.
- For bulk marketing or subscribed mail, implement unsubscribe correctly. Add the required one-click unsubscribe support and a visible body link, then honor requests promptly.
How to monitor Gmail delivery
Google Postmaster Tools provides Gmail-specific information about spam, reputation, authentication, and delivery errors. Its compliance dashboard uses data from subdomains, while showing compliance status at the primary-domain level. Data can take time to appear, and low sending volumes may leave dashboards without data.

Use the dashboard alongside your own sending-provider logs and message-header checks. A clean-looking DNS setup does not reveal whether recipients are marking messages as spam or whether a particular sending service is failing authentication.
Quick Recap
When a subdomain makes sense
- Use one when separation helps operations: for example, when different teams or systems send transactional and marketing mail and need distinct identities or authentication management.
- Do not use one as a workaround for Gmail’s bulk threshold: qualifying volume from subdomains under the same primary domain is aggregated.
- Do not rely on it as a reputation firewall: the reviewed Google guidance does not promise that a subdomain isolates the primary domain’s reputation or guarantees inbox placement.
- Plan the DNS and monitoring work: each sending domain must be authenticated appropriately, and sending behavior still needs oversight.
