For most teams adding meeting transcription to a product, start by buying a hosted speech-to-text API and testing it on your own authorized recordings. Build or self-host only when your measured costs, data-boundary requirements, or a transcription capability central to your product justify owning the additional engineering and operations. No provider can be named a universal winner without workload-specific comparisons.
What “build” and “buy” mean for meeting transcription
Buying usually means sending audio to a hosted speech-to-text API, then integrating its output into your product. The service may return text, timestamps, speaker labels, or other structured data; your team still owns the user experience and surrounding workflow.
Building can mean operating a speech-recognition model yourself or creating a more extensive in-house transcription system. Self-hosting a vendor’s offering is another possibility, but it is not the same as developing your own model. In either case, account for audio ingestion, file handling, transcript correction, monitoring, data lifecycle, upgrades, and quality checks—not just the model or inference bill.

| Decision area | Questions to answer |
|---|---|
| Product behavior | Is post-call upload enough, do users need near-real-time partial text, or must the product support live interaction? What delay can users tolerate? |
| Audio and quality | How well must the system handle your users’ microphones, accents, background noise, overlapping speech, names, acronyms, and code-switching? |
| Transcript structure | Do users need speaker labels, a mapping to known participants, word-level timestamps, utterance segments, or only plain text? |
| Languages and domain | Are all required languages available on the exact model and endpoint? Can you provide vocabulary or context hints for names and specialist terms? |
| Integration and reliability | What output schema, quotas, concurrency, failure behavior, and fallback path does the product need? How much work will it take to integrate and maintain each option? |
| Data and deployment | Where is audio processed and retained? Can the provider meet the required region, deletion behavior, contract terms, or private deployment boundary? |
What hosted APIs offer—and where their paths differ
Hosted APIs already offer many common building blocks, including recorded-file transcription, live transcription paths, timestamps, language handling, and speaker diarization. Exact support varies by model and endpoint, so verify the intended path before designing around a capability.
OpenAI
OpenAI’s speech-to-text documentation describes file transcription, file-streaming events, and a speaker-diarization model that returns speaker and start/end metadata. It directs live microphone, call, or media streams to a separate Realtime transcription guide. The documented diarization endpoint does not support Realtime transcription sessions, so file-based speaker labeling should not be assumed to meet a live-session requirement.
AssemblyAI
AssemblyAI’s pricing and feature page describes language detection, formatting, filler words, keyterm prompting, and word-level timestamps. It lists Universal-3.5 Pro as working across 18 languages and Universal-2 as supporting 99 languages; those coverage figures are vendor descriptions, not independent quality findings. The same page lists prerecorded and realtime options, with rates detailed below.

Deepgram
Deepgram’s pricing and security page describes speech-to-text and audio-intelligence add-ons. It advertises a dedicated EU endpoint and says enterprise customers handling electronic protected health information can sign BAAs. Those statements do not by themselves establish suitability for a particular regulated workload; validate the specific offering and contract.
Google Gemini
Google’s transcription documentation describes Gemini 3.5 Transcribe for files, with automatic language identification, speaker diarization, word-level timestamps, and custom vocabulary hints. It points low-latency live streams to a separate Live API path. Confirm model availability, limits, pricing, and data controls for the Google product and account you plan to use; the cited page is feature documentation, not a complete purchasing analysis.
How to read the available price evidence
Among the cited pages, AssemblyAI publishes the following rates. These are vendor-listed values observed on October 4, 2026—not a market-wide price survey or a guaranteed quote. Confirm the current model, price, and add-on treatment before committing.

AssemblyAI states that multichannel recordings are billed per channel; its example says one hour of stereo audio is billed as two hours. Rates for other providers are not included here because the cited documentation does not establish comparable prices. Treat the table as a dated rate-card snapshot, not a quote for your expected usage.
Estimate cost per usable transcript, not just API cost
A model’s hourly rate is only one input. Estimate the volume you expect to process, including channels, and add any feature charges, retries, storage, egress, monitoring, support, and engineering work. For a self-hosted system, include the cost of infrastructure and the people responsible for deployment, security, upgrades, and quality regression checks.
Compare alternatives by cost per accepted or usable transcript minute, not simply cost per audio hour. A lower transcription rate may not be cheaper if more output needs correction or more engineering is required to meet the product’s requirements. No general break-even volume is established here: it depends on your traffic, staffing, infrastructure, quality target, and contractual constraints.

Check privacy and deployment as product requirements
Before sending meeting audio to any service, confirm the terms for the exact API and account you intend to use. Review retention, training and data-use controls, processing region, encryption, access policy, deletion, and contract terms. Requirements can differ by endpoint and deployment, so a broad vendor security statement is not a substitute for checking the applicable documentation and agreement.
AssemblyAI’s security page says retention varies by API, describes TLS 1.2+ encryption in transit, and lists managed-cloud and self-hosted deployment options. Verify retention and training controls for the specific API. For Deepgram, confirm that the advertised region or BAA is available under the particular offering and contract you would use; neither statement alone certifies compliance for your workload.

- Define the acceptance criteria. Set targets for transcript usability, speaker attribution, timestamp needs, latency, failure handling, and cost before reviewing results.
- Prepare a representative sample. Include your actual audio conditions, languages, accents, specialist vocabulary, overlapping speakers, and channel configurations.
- Create a human-corrected reference. Use the same audio and reference labels for every candidate, with consistent treatment of names, punctuation, and speaker changes.
- Run identical inputs and configurations. Record the exact provider, model, endpoint, settings, and date for each run. Preserve outputs and note failures and retries.
- Measure what matters to the product. Compare word error and named-entity error against the reference, speaker attribution, timestamp accuracy, latency, failure/retry rate, and cost per usable minute.
- Review hard cases and integration work. Check whether errors are concentrated in a language, speaker, or audio condition, and account for the effort needed to handle the output in your product.
This process produces evidence for your workload; it does not turn a small sample into a universal provider ranking. Keep the recordings, reference labels, model versions, and configuration so you can reproduce the comparison after a change.
When buying, building, or self-hosting makes sense
| Choice | Best fit | Main trade-off |
|---|---|---|
| Buy a hosted API first | A standard transcription feature, a hosted service that meets data requirements, and a need to ship without operating speech infrastructure. | You depend on provider capabilities, terms, quotas, and pricing; keep integration replaceable enough to evaluate alternatives. |
| Build or self-host selectively | Customer contracts or data boundaries require it, measured usage economics support it, or a core differentiated capability is unavailable from suitable services. | Your team takes responsibility for infrastructure or model serving, security, monitoring, upgrades, and ongoing quality evaluation. |
For an initial integration, buying and benchmarking is usually the lower-risk way to learn what your users need. Revisit the decision when usage, prices, languages, latency targets, or customer and regulatory requirements change.
