Shopify can automate parts of order processing, but a reliable workflow starts with shipping and fulfillment settings, then handles payment and risk decisions before routing orders. Shopify Flow can run rules in the admin; it does not remove the need to define which orders should be captured, reviewed, held, fulfilled, or refunded.
Set up shipping and fulfillment before automating orders
Order automation depends on the store’s operational setup. Shipping rates and profiles affect the shipping options and costs shown at checkout, while fulfillment locations determine where an order can be fulfilled. Configure these before building rules that route or process orders. See Shopify’s fulfillment guidance and shipping setup guidance.
Decide which work stays in-house and which is assigned to a fulfillment service or app. Shopify supports different fulfillment methods within an order, so products in the same order may not all follow the same path. Label purchasing is not available in every country and depends on an eligible fulfillment location; check the store’s country and location eligibility before designing a label workflow.
Understand what Shopify Flow can automate
Shopify Flow is a free app for creating and running workflows in the Shopify admin, according to Shopify’s Getting started with Shopify Flow. A workflow consists of a trigger, optional conditions, and actions: the trigger starts it, conditions determine which cases qualify, and actions carry out tasks such as notifying staff or placing a fulfillment hold.

Flow should implement a clearly defined store policy, not make an undefined business decision. Specify what should happen to ordinary orders, high-risk orders, unusually large orders, and orders that change after checkout. Test workflows that affect payment, fulfillment, or other apps before relying on them operationally.
Review incoming orders and choose a payment-capture policy
The Orders page is the operational hub for finding and filtering orders, inspecting details, and handling payment capture, fulfillment preparation, edits, returns, refunds, cancellations, and fraud review. Shopify’s order management documentation covers these tasks.
Automatic capture
Automatic capture suits a simpler process in which routine orders proceed without a staff review before payment capture. It reduces a manual step, but it is not the right fit if the store needs to review risk or order details before capturing payment.

Manual capture
Manual capture gives staff or a risk workflow a chance to review an order before capturing payment. If a Flow workflow is intended to use the Capture payment action, manual payment capture must be enabled in the Shopify admin. Confirm the store’s payment configuration before building the workflow; a rule cannot override an incompatible capture setting.
Make fraud checks happen before fulfillment decisions
Shopify advises using the Order risk analyzed trigger for risk-based workflows rather than Order created. Risk analysis can take time after an order is created, so a workflow that runs only at order creation can act before the risk result is available. Shopify explains this in its Order risk analyzed trigger documentation.
With manual capture enabled, a store can configure Flow to capture orders that meet its lower-risk criteria while leaving high-risk orders uncaptured for review. A different policy may place an order on hold, notify staff, or cancel and restock it when its criteria are met. Shopify’s Capture payment action guidance and fulfillment hold action guidance describe relevant workflow actions.

Set criteria and outcomes deliberately: the appropriate response depends on the store’s risk policy and payment setup. Do not let a risk rule release an order to fulfillment before the store has decided whether that order should be captured, held, or reviewed.

Route orders to the right fulfillment path
After payment and risk handling, orders can be picked, packed, and shipped by the merchant, assigned to a fulfillment service, or split across methods for different items. Shopify supports individual, bulk, and batch fulfillment approaches; the right choice depends on order volume and how fulfillment work is organized. Refer to Shopify’s fulfillment documentation when setting up the process.
- In-house fulfillment: Staff handle picking, packing, and dispatch. The store retains direct control of the work and should define who handles holds, exceptions, and tracking updates.
- Third-party fulfillment: A fulfillment service or connected app performs some or all of the work. Confirm that the service and its integration support the store’s locations and required order states.
- Mixed fulfillment: Different items in one order can follow different fulfillment methods. Make sure staff can identify which items belong to each route.
Print shipping labels and share tracking where supported
Shopify lets merchants buy shipping labels from supported carriers and print them with a supported label printer. Eligibility varies by country and fulfillment location, and printer compatibility must be checked for the actual setup. Shopify’s shipping label guidance explains label purchasing and printing. Labels can include tracking information for customers, but confirm that the carrier and workflow provide the tracking the store needs.

For in-house shipping, decide whether staff will fulfill orders individually or use bulk or batch workflows. For any label process, verify country eligibility, location eligibility, carrier availability, and printer compatibility rather than assuming that label purchasing is supported for every store.

Automation should account for orders that stop following the ordinary path. Decide how staff are alerted and what actions are permitted when an order is edited, held, canceled, returned, exchanged, or refunded. Depending on the case, an order may need a fulfillment hold, a payment review, a cancellation and restock, or a full or partial refund. Shopify’s order management guidance covers these order tasks.
Shopify Flow examples include fulfillment holds, notifications for large orders, and risk workflows. Use a hold when fulfillment should pause pending a decision, and ensure the responsible staff member receives a notification that makes the next step clear. Treat address validation as an exception to resolve before dispatch when a questionable address could lead to a failed delivery; the specific validation method depends on the store’s apps and process.

Choose triggers that match when order data changes
A workflow triggered by Order created may not catch a transaction created later by an order edit or a post-purchase upsell. If the policy needs to respond to each newly created order transaction, Shopify documents Order transaction created as a trigger. Review Shopify’s Order transaction created trigger guidance and test the workflow against the events the store expects to handle.
Before activating a workflow, check that its trigger occurs at the right point, its conditions distinguish the intended cases, and its actions do not conflict with payment settings or fulfillment-app behavior. Revisit workflows when the store changes its payment configuration, fulfillment locations, apps, or exception policy.
