An AI subscription can reduce a U.S. small business’s federal income tax if it is an ordinary and necessary business expense. It does not make the plan 45% cheaper by default. A deduction lowers taxable income by the business-use share of the cost, and the tax actually saved depends on your tax rate and your facts. The 45% figure in the headline is a hypothetical that only holds under assumptions most businesses will not meet, so treat it as a scenario to test, not a benchmark.

What the deduction actually does

The federal starting point is the ordinary-and-necessary rule in 26 U.S.C. § 162(a), which allows a deduction for ordinary and necessary expenses paid or incurred in carrying on a trade or business. IRS Publication 334, Tax Guide for Small Business (2025 edition), applies that rule to small businesses and states: “To be deductible, a business expense must be both ordinary and necessary.”

Under the IRS’s description, an ordinary expense is common and accepted in your field, and a necessary expense is helpful and appropriate for your business. It does not have to be indispensable. A subscription to an AI writing, coding, bookkeeping or research tool can fit that test when you use it for work that produces business income.

Term What it does How it affects your AI bill
Discount Lowers the price the vendor charges. Reduces the cash you pay. A promotion is a discount, and it is not a tax benefit.
Deduction Reduces the income that is taxed. Lowers tax by the deductible amount multiplied by your applicable tax rate. The cash invoice stays the same.
Tax credit Reduces the tax bill directly, dollar for dollar. Would reduce tax by its stated amount. An AI subscription is not generally described as a credit in the sources reviewed, so do not assume one.

An AI subscription is therefore a deduction at most. Its after-tax cost is the sticker price minus whatever tax you save on it, and that saving is a fraction of the price rather than a fixed share.

Why 45% requires assumptions most businesses will not meet

The arithmetic is simple. The tax saving equals the cost multiplied by the business-use share, multiplied by your applicable rate. For a 45% reduction in the effective cost, that product must equal 0.45. If you use the subscription 100% for business, the applicable rate would need to be 45% or higher. A 45% reduction from a 30% business-use share would need a rate above 100%, which is impossible. In practice, a 45% saving is not something most small businesses can claim on a single subscription.

The headline figure also has no cited source. The IRS publication and the statute establish the general deduction rule, but neither gives an AI-subscription example or a 45% result. Do not present the number as an IRS figure or as a typical outcome.

Your applicable rate is not the same as the top bracket printed in a tax table. It depends on your entity type, total taxable income, and any other taxes that apply to your business income. The sources reviewed do not resolve those interactions, so a precise rate needs to come from your own tax calculation or a tax professional.

Mixed personal and business use

If you use the same account for personal tasks, Publication 334 says a mixed expense must be separated, and the personal part is generally not deductible. The deductible portion is the business use. The publication does not supply a single required allocation method in the sources reviewed, so the split must be reasonable and supported by your records.

A practical approach is to record which work sessions produced business output, then compare that record to total use. Keep a usage log, screenshots of invoices, or a note in your books for each period. A split you cannot explain to an examiner is weaker than a lower split you can document.

Separate business and personal accounts make this simpler. If the AI plan is only used by one owner or employee for business work, the allocation is usually easier to defend. If a family member uses the same login, the personal share is likely to be larger.

When the expense is deductible in the year you pay it

Timing depends on your accounting method. Publication 334 says cash-method taxpayers generally deduct expenses in the year they actually pay them. Advance payments may be deductible only in the year to which they apply. Accrual-method taxpayers follow separate rules, which the publication describes.

This matters for annual plans. Paying a full year up front on a cash basis does not necessarily mean the whole amount is deductible in the year of payment. Ask your accountant how the prepaid term is treated before you assume an annual charge produces a full current-year deduction.

Sales tax on the subscription

Publication 334 says sales tax you pay on a deductible service or property is generally treated as part of its cost. If the subscription itself is deductible, the sales tax you pay on it can be part of that deductible cost. The publication separately cautions sellers not to deduct state and local sales taxes they collect from buyers and remit to the government. That rule concerns the seller’s accounting, not the buyer’s purchase.

Whether a particular state or locality charges sales tax on a given AI subscription is a separate question. The sources reviewed do not settle it, and the answer can vary by jurisdiction, product and billing arrangement. Check the tax line shown at checkout and your state’s guidance.

How to estimate your after-tax cost

Gather these facts before you calculate anything:

  • The plan name, price, billing term and whether it is billed monthly or annually.
  • Whether the account is business-only, personal-only or shared.
  • Your business-use share, supported by a usage record.
  • Your accounting method: cash or accrual.
  • Your entity type and the federal and state tax rates that apply to your business income.
  • Any sales tax charged at checkout and whether your state treats it as part of the cost.

Then run the calculation for your own numbers. The formula is: tax saved equals annual cost, multiplied by business-use share, multiplied by applicable tax rate. The after-tax cost equals the cash cost minus the tax saved. The result is an estimate, not a guarantee, because limits, phase-outs and other rules can change the outcome.

Limits of this explanation
