Small businesses in New Mexico should treat remote and hybrid work as an extension of the office security plan—not as a reason to rely on passwords, a VPN, or employee judgment alone. The most useful fixes are practical: enforce multi-factor authentication (MFA) on important accounts, keep remote-access devices and software updated, give staff approved collaboration tools, and make sure backups can actually be restored.

These are common small-business security gaps, not a measured ranking of failures in New Mexico. The available guidance does not show that businesses in the state make these mistakes more often than businesses elsewhere.

What small businesses often get wrong about remote-work security

They protect some sign-ins but leave other important accounts exposed

A password alone is not enough protection for business accounts. CISA’s small-business MFA guidance puts it plainly: “Strong passwords help, but they are no longer enough to keep accounts and systems safe when used alone.” Turn on MFA for business email, file storage, remote access, financial services, and other systems containing sensitive information. Begin with administrator accounts and employees who handle sensitive data, then expand coverage across the business.

Do not assume MFA is enforced just because a service offers it. Check that employees have enrolled and that the setting applies to the accounts and sign-in paths they use. If a system cannot support your preferred method, document the available alternative and the risk it leaves.

They assume every MFA method offers the same protection

MFA methods differ. CISA’s guidance ranks physical security keys as its strongest option, followed by number-matching authenticator prompts and one-time codes; text and email codes are the weakest methods in that hierarchy. This is CISA’s general guidance, not a promise that every method works with every product or is immune to every attack.

A physical FIDO security key can provide phishing-resistant MFA, but it is not a universal replacement for checking compatibility. Confirm that each business service supports the key, that staff devices can use it, and that administrators have a secure process for lost keys and account recovery. Where a compatible stronger method is unavailable, use another supported MFA option rather than leaving the account password-only. They treat a VPN as a complete security program

A VPN can protect a connection to business resources, but it does not make an unpatched or poorly configured device safe. CISA’s ransomware guidance recommends updating VPNs, network equipment, and devices used to connect remotely, and enabling MFA on VPN connections. It also advises disabling remote-access services, ports, or protocols the business does not need—for example, RDP when it is unnecessary.

Keep remote-access software and equipment maintained, and review who can connect and what they can reach. A VPN is one control among several, not a substitute for MFA, endpoint maintenance, or appropriate access limits. See CISA’s ransomware guide for related recommendations.

They let convenience choose the collaboration tools

When employees work from home or on the move, they need a clear, approved way to share files, message colleagues, and hold meetings. If the business has no approved options or guidance, staff may choose tools on their own, making it harder to manage access and protect company information. Set an approved list of collaboration and teleconferencing products and explain how employees should use them securely. CISA’s telework guidance and resources address organizational practices as well as technical controls.

They assume a backup exists because a backup job ran

Backups matter only if the business can recover the data and systems it needs. Back up important files and systems frequently, keep copies separated from ordinary day-to-day access, and consider offline and offsite copies. Test restoration so the business knows what can be recovered and how long the process takes. A backup that has never been restored is not evidence that recovery will succeed.

They assume a small business is too obscure to need baseline safeguards

Being small is not a security control. CISA publishes baseline cybersecurity resources specifically for small and medium businesses; a smaller organization still needs to protect accounts, devices, data, and the ability to recover. Start with the controls above rather than waiting for a business to grow before making them routine. CISA’s small and medium business resources collect guidance for organizations with limited capacity.

How to put the basics in place

  1. Inventory access. List business accounts, work and staff devices, administrator accounts, and every way employees connect remotely. Include services used for email, file storage, finance, collaboration, and remote administration.
  2. Enforce MFA. Enable it for email, file storage, remote access, and sensitive systems. Prefer phishing-resistant security keys where each service and device supports them. Record the fallback method and a secure process for account recovery.
  3. Maintain remote access. Update VPNs, routers and other network devices, and endpoints used to connect. Remove remote-access services, ports, or protocols the business does not need.
  4. Set staff expectations. Publish the approved collaboration and teleconferencing tools, explain how to use them securely, and give employees a short process for reporting suspicious messages or incidents.
  5. Prove recovery works. Back up important data, separate backup copies appropriately from everyday access, and test restoration.
  6. Get help where capacity is limited. Use local small-business resources as a starting point, and assess outside IT help against the same tasks: MFA enforcement, patching, backups and restore checks, access management, and incident support.

Where New Mexico businesses can start

The New Mexico Small Business Development Center (NMSBDC) provides cybersecurity resources for small businesses, including material related to cybersecurity and data protection. Its main site also advertises no-cost individualized business counseling. These are useful starting points for owners who need help identifying priorities or finding a practical path to implementation.

The New Mexico Secretary of State’s business portal is a separate, state-specific example of account security. Its guidance says business information in the portal is public within the United States and that existing portal users will be prompted to set up MFA beginning in July 2026. That applies to the portal, not automatically to private employers; it is not evidence that New Mexico businesses are legally required to adopt the portal’s approach. Choosing outside IT or cybersecurity help

If the business cannot maintain these controls internally, evaluate a provider by the work it will take responsibility for—not by a general promise to “secure” the company. Ask how the provider will:

  • Enforce MFA across business services and privileged accounts.
  • Patch VPNs, network equipment, and devices used for remote access.
  • Manage backups and conduct restore checks.
  • Limit and monitor its own access to business systems.
  • Support incident response, including who will do what and when.
  • Define the scope, recurring responsibilities, and total cost in writing.

Confirm who owns each task inside your business and how you will know it is being completed. A provider can help implement controls, but the business still needs to understand its access, recovery, and response arrangements.
