A red circle with a white X beside a OneDrive file or folder means that item cannot sync; it does not, by itself, mean the item was deleted. Select the OneDrive cloud icon and read the specific error before trying a fix. Check storage and online availability first, then use the repair that matches the message.

What the different OneDrive symbols mean

Symbol Meaning
Red circle with white X beside a file or folder The item cannot sync. Open the OneDrive activity panel to see the specific error.
Red no-entry symbol over the OneDrive cloud The OneDrive account is blocked.
Gray cloud with a line through it You are not signed in, or OneDrive setup has not completed.
Pause symbol Syncing is paused. Open OneDrive and select Resume syncing.
Gray circle with a horizontal bar The item may be blocked from syncing. This can happen with certain work or school file types, such as Outlook data files with the .pst extension.

The icon alone may not identify the cause. Read the message shown after selecting the OneDrive cloud. Microsoft explains OneDrive icons.

1. Open the OneDrive error message

  1. Select the blue or white OneDrive cloud in the taskbar notification area. If it is hidden, select Show hidden icons.
  2. Read the error in the activity pop-up. Select the affected file or folder if OneDrive provides a link to more information.
  3. If the cloud icon is missing, select Start, type OneDrive, and select the OneDrive app from the search results.

Starting OneDrive may restore synchronization if the app was not running. A red X on a particular item usually needs the item-specific error addressed. Current Windows instructions use the OneDrive app; the older OneDrive for Business sync app is no longer supported.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

2. Check OneDrive storage

When your Microsoft storage quota is exceeded, OneDrive cannot upload, edit, or sync new files. This can leave new or changed items unsynced.

Seagate 2TB Portable Hard Drive | USB 3.0 (STGX2000400)
  • Easily store and access 2TB to content on the go with the Seagate Portable Drive, a USB external hard drive
  • Designed to work with Windows or Mac computers, this external hard drive makes backup a snap just drag and drop
  • To get set up, connect the portable hard drive to a computer for automatic recognition no software required
  • This USB drive provides plug and play simplicity with the included 18 inch USB 3.0 cable
  • The available storage capacity may vary.

Open OneDrive in a browser and check the storage indicator, or select the cloud icon in Windows and choose View online. If storage is full, delete unwanted items and empty the OneDrive recycle bin, or increase the available storage. Wait for OneDrive to process the change before trying the affected files again. Microsoft’s OneDrive sync troubleshooting guide covers storage-related sync problems.

3. Check whether the file exists online

Select the OneDrive cloud, then choose View online. Find the file or folder in the web interface and try opening it.

  • It opens online: the local sync client or a local account or file issue may be involved.
  • It is missing online: do not assume the local red-X copy is safely backed up. Keep the local copy until you have determined what happened.
  • Access is denied: sign in with the correct Microsoft account. For a work or school account, contact the administrator if permissions or policies may have changed.

4. Remove a folder from this computer without deleting it online

If the red X is on a folder that you do not need on this PC, stop syncing that folder rather than deleting it from File Explorer.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.
  1. Select the OneDrive cloud in the notification area.
  2. Select OneDrive Help and Settings, then Settings.
  3. Open the Account tab.
  4. Select Choose folders.
  5. Clear the check box for the problem folder.
  6. Select OK.

The folder and its contents remain in OneDrive and are available online. Folder-selection choices apply separately to each computer and account.

Some folders cannot be unchecked, including Documents, Desktop, Pictures, and Personal Vault. See Microsoft’s folder selection instructions.

5. Pause syncing and move a stuck item

Use this documented workaround when a sync icon remains stuck. Microsoft notes that a long-running Processing changes state can be caused by an online file being open, a very large file, or many files waiting in the queue.

  1. Select the OneDrive cloud, then OneDrive Help and Settings.
  2. Select Pause syncing and choose a pause duration.
  3. Move the affected file from the OneDrive folder to a folder outside OneDrive.
  4. Select the OneDrive icon again and choose Resume syncing.
  5. Wait for synchronization to complete.
  6. Move the file back into its original OneDrive folder.

This is a workaround for a stuck sync item, not a universal way to remove every red X. See Microsoft’s personal OneDrive sync troubleshooting steps.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

6. Check work or school file restrictions

For work or school accounts, an administrator can block certain file types. Microsoft notes that Outlook data files such as .pst files are a common example; the related symbol may be a gray circle with a horizontal bar rather than a red X. If the message indicates an organizational restriction, contact the Microsoft 365 administrator about allowed file types.

7. Reset the OneDrive desktop app

Resetting OneDrive disconnects existing sync connections and starts a full synchronization afterward. Microsoft says resetting does not delete files or data. Avoid deleting the local OneDrive folder during troubleshooting. Microsoft’s reset instructions include the following Windows commands.

Press Windows key + R, then run these commands in order, stopping when one works:

  1. %localappdata%\Microsoft\OneDrive\onedrive.exe /reset
  2. If Windows cannot find that file: C:\Program Files\Microsoft OneDrive\onedrive.exe /reset
  3. If Windows still cannot find it: C:\Program Files (x86)\Microsoft OneDrive\onedrive.exe /reset

After the reset, select Start, type OneDrive, and select the app to launch it again. If none of the commands works, the OneDrive sync app is not installed.

Reset the Microsoft Store version

  1. Select Start.
  2. Enter apps:onedrive.
  3. Select App settings.
  4. Scroll down and select Reset.

This is separate from the desktop app’s /reset commands.

8. Unlink and relink the OneDrive account

Try this if resetting does not help or the error suggests an account or sign-in problem.

  1. Select the OneDrive cloud.
  2. Select OneDrive Help and Settings, then Settings.
  3. Open Account.
  4. Select Unlink this PC, then Unlink account.

To clear the Windows OneDrive sign-in configuration, press Windows key + R and enter %localappdata%\Microsoft\OneDrive\settings. Select OK, then delete PreSignInSettingsConfig.json if it is present.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Start OneDrive again from the Windows Start menu and sign in. When OneDrive reports that the existing folder is already there, select Use this folder. Selecting Choose new folder moves the OneDrive location instead.

Unlinking temporarily disconnects the local folder; it does not delete OneDrive data. Changes made while the account is unlinked should synchronize after you sign in again. See Microsoft’s unlinking and relinking instructions.

9. Move the OneDrive folder if its local path is the problem

If the local OneDrive folder needs to move, use these Windows steps:

Mac: reset OneDrive

  1. Select the OneDrive cloud icon in the top menu bar.
  2. Choose Preferences > Pause > Quit OneDrive.
  3. Open Applications in Finder.
  4. Control-click OneDrive and select Show Package Contents.
  5. Open Contents > Resources.
  6. Double-click ResetOneDriveApp.command.

For the standalone Mac app, use ResetOneDriveAppStandalone.command instead. Start OneDrive again and complete setup. Older Mac versions may not include these reset commands; install an updated OneDrive app in that case. See Microsoft’s OneDrive reset instructions.

Work and school account considerations

Personal OneDrive and Microsoft 365 work or school OneDrive can show similar icons but have different restrictions. An administrator may restrict which OneDrive updates an organization receives, block file types, or change permissions. If the error appears only in a company or school library, share the exact OneDrive error message with the administrator.

The old SharePoint Online sync app, also known as the old OneDrive for Business or Groove client, is no longer supported. Current Windows instructions use the OneDrive app. The OneDrive sync app is also no longer supported on Windows 7, Windows 8, or Windows 8.1. See Microsoft’s sync troubleshooting guidance and its list of recent OneDrive issues and workarounds.

What not to do

  • Do not treat the red X as proof of deletion. It means the item cannot sync.
  • Do not select Free up space as a general repair. That command makes a local file online-only; it is a Files On-Demand storage option, not a universal sync-error fix.
  • Do not delete the local copy before checking OneDrive.com. It may be the only version that contains your latest changes.
  • Do not delete an unwanted folder from File Explorer if you only want it off this PC. Use Choose folders instead.

FAQ

Does a red X in OneDrive mean the file was deleted?

Usually no. A red circle with a white X means OneDrive cannot sync the file or folder. Select the OneDrive cloud icon and read the displayed error.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

How do I remove a red X without deleting the folder from OneDrive?

Open OneDrive Help and Settings > Settings > Account > Choose folders, clear the folder’s check box, and select OK. The folder remains available online.

Will resetting OneDrive delete my files?

Microsoft says resetting disconnects sync connections and starts synchronization again without deleting files or data. Do not manually delete the OneDrive folder while troubleshooting.

Why is OneDrive stuck on Processing changes?

Possible causes include an online file that is open, a very large file, or many files waiting in the sync queue. Follow the pause-and-move workaround for a stuck item.

What does Free up space do in OneDrive?

It changes a locally available file to online-only status to save disk space. It does not generally repair a red-X sync error.

Why can’t I uncheck a OneDrive folder?

Some folders, including Documents, Desktop, Pictures, and Personal Vault, cannot be removed through Choose folders.

The Bottom Line

Open the OneDrive cloud menu first and use its exact error message to guide the repair. Check storage and online availability, use Choose folders if a folder is not needed on this computer, and try a reset or account relink for persistent client problems. Do not delete the local copy or use Free up space as a generic fix before confirming where the current file exists.
