A project time tracker records how many hours go to each project or task, so you can see where work time actually went and, for client work, turn those hours into billable amounts. The right tool depends less on a feature checklist than on three things: how you will capture time day to day, how your projects and tasks are organized, and whether the hours need to reach an invoice or a budget.
What a project time tracker records
At its core, the tool attaches a block of time to a project or task. Most products add a few layers on top: clients that group projects, a flag that marks each entry as billable or non-billable, a rate that converts hours into money, and reports that summarize the totals. Some add estimates and alerts for budgets, or utilization and profitability views for managers.
Those layers matter in different ways depending on who is tracking. A freelancer billing clients needs billable flags and rates. How people capture time
A tracker only produces useful data when people record time consistently in their normal routine. Capture methods differ mainly in how much effort they demand at the moment work happens.
Timer
A start-and-stop timer is the most accurate option when you switch tasks often, because it records time as it passes. The trade-off is that a forgotten timer creates gaps or overlong entries that must be corrected later.
Manual timesheet entry

Calendar-supported entry
Some products can create entries from calendar events. This reduces typing for meeting-heavy schedules, but calendar events rarely match the work done inside them, so review each generated entry before it is used for billing.
Desktop, browser, and mobile access
Desktop apps, browser extensions, and mobile apps let you start a timer from wherever the work happens. Check that the platforms you actually use are supported, because a tracker that works only on one device often leads to missed entries on the others.
Pomodoro-style sessions

Project and task structure
The structure you need depends on how work is managed. If a team plans work by project only, a flat project list may be enough. If it plans and reviews work at the task level, the tool must record time against individual tasks, not only against the project that contains them.

For client work, the most important feature is the ability to mark each entry as billable or non-billable. Clockify’s page describes marking entries billable and reviewing billable amounts in its reports. Toggl describes marking time billable or non-billable and applying billable rates, with hours displayed by client and project in reports used to support invoicing.

Two checks matter here. First, confirm how rates are assigned: whether a rate attaches to a person, a project, or a client, and whether changing a rate later alters past entries. Second, confirm the handoff. A time report is not an invoice. Most products show totals that you then transfer to an invoicing tool or a separate invoice process, so test that step with one real billing cycle before relying on it.
Estimates, alerts, and profitability
If budgets or margins matter, look for estimates that can be set against projects, alerts that warn when tracked time approaches a limit, and cost or revenue reporting. Toggl’s product descriptions include estimates and alerts, along with utilization and profitability reports. The vendor description does not establish which plan includes each of these, so check the plan table before assuming a specific capability is available to you.
Reporting
Reports turn raw entries into decisions. Useful reports break down time by person, project, task, and client, and can be filtered by billable status and date range. Utilization reporting, which compares billable hours with available hours, is most relevant for managers and agencies. Export options matter if you plan to analyze the data in a spreadsheet or a separate reporting tool.

Integrations and moving data
Most teams already use a project-management tool, and a tracker is more useful when it connects to that tool. Toggl describes integrations with project systems such as Jira and Asana. Treat these as subject to the vendor’s current product details and plan terms, since integration availability and depth can change.
Also check how data moves in both directions. Toggl says users can import projects and clients from CSV files or from selected tools. If you are switching trackers, confirm whether historical time entries can be imported or exported, not just projects and clients, because a tool that imports only structure leaves past hours behind.

Pricing and plan limits
Pricing, user limits, project caps, and which features sit in which plan change over time, and this article does not quote them. Check each vendor’s official pricing page on the day you decide. Compare plans using the exact features on your checklist, because a lower tier that lacks billable rates or integrations can cost more in workarounds than a higher tier that includes them.
