Xero Expenses review
A focused expense workflow for Xero users, not a complete gym accounting system.

Xero Expenses is an expense-management feature within Xero’s cloud accounting platform, aimed at small and growing businesses that need a structured way to handle employee spending. For gyms, its fit is strongest when the accounting requirement centers on staff expenses rather than membership billing, class revenue or gym operations. Employees can capture receipts, submit expense and mileage claims, and track reimbursement status, while managers can review, approve or decline claims. Approved claims flow into Xero accounting records for payment and reporting.
The plan structure matters. Early costs $25 per month and includes 20 invoices, 5 bills, bank reconciliation and Smart Document Capture. Growing costs $55 per month and adds automated bill entry, automatic bank-transaction reconciliation, performance dashboards and a 60-day cash-flow forecast. Established costs $90 per month and adds employee expense and mileage claims, receipt capture, expense approvals and reimbursements, a 180-day cash-flow forecast and multiple currencies. The published pricing also presents Xero Expenses as a feature of Xero accounting, with usage charges potentially invoiced separately. The expense workflow is therefore tied to the higher plan rather than available as a standalone free option.
Its strongest case is operational control over employee spending: receipt extraction, claim tracking, approval workflows, payroll or bank reimbursement, attachments and audit trails cover the key stages from submission to accounting. Integrations with Xero accounting, Xero Payroll and Xero Me support an ecosystem-focused setup, but the listed platform is web and the product is not gym-specific. Choose Xero Expenses when employee expenses are the priority and the business already fits Xero’s accounting environment. Gyms seeking a complete accounting system built around gym management should look for a broader alternative.
