Needle is a web-based AI email client and work layer for Gmail and Outlook. It classifies incoming messages, creates priority views, summarizes threads, prepares contextual replies, and surfaces decisions and risks. The Desk and Queue organize prepared actions for review, while follow-up tracking, promise tracking, task extraction, and calendar request handling extend beyond basic drafting. It suits individuals, small teams, and enterprise workspaces that want inbox assistance while retaining control over outgoing email.

The freemium structure starts with Needle Free at $0 per month for one connected Gmail or Outlook account. Free includes a unified inbox and thread view, basic AI categorization, one Daily Brief per day, basic thread summaries, and draft rewriting. Needle Pro adds the AI Secretary Desk and Needle Queue, automated follow-up and promise tracking, auto-task extraction, calendar availability suggestions, and basic CRM pipelines with relationship memory. Needle Max adds advanced Desk and Gatekeeper functions, an Auto Draft Queue, tone learning, calendar intelligence, pre-meeting briefs, attachment intelligence, and smart search across email, files, and calendar. Enterprise adds administration, delegation graphs, audit logs, SSO/SAML, SOC 2 and GDPR controls, custom AI policies, retention rules, and send approval flows. Integrations include Gmail, Outlook/Microsoft 365, IMAP/SMTP, major calendar and meeting tools, HubSpot, Salesforce, Pipedrive, and WhatsApp.

Needle’s standout is its approval-centered action layer: contextual drafts, tone alternatives, relationship memory, attachment context, and pre-send risk checks are arranged around a queue rather than automatic sending. That design fits users who want prioritization and prepared responses without giving an AI permission to send independently. Teams needing governance can use the Enterprise controls, while lighter users can start with the free account. It is less suitable for buyers seeking a mature, fully established product or hands-off auto-sending, since Needle is in beta and its workflow keeps a person in the approval loop.

Needle pros and cons

  • Where it wins
    • Approval queue keeps every AI-generated reply under human review.
    • Tracks follow-ups, promises, deadlines, tasks, and calendar requests.
    • Broad integrations span email, calendars, meetings, CRM, and WhatsApp.
  • Where it doesn't
    • Needle is currently in beta, with rollout and integration availability varying.
    • Needle Free supports only one connected Gmail or Outlook account.
    • Approval-first workflows do not automatically send messages.
