Metro-Tec Rentals is facility rental management software for public agencies, school districts, cities, counties, and other community venue operators. It is designed for organizations managing gyms, classrooms, theaters, cafeterias, pools, fields, courts, stadiums, and civic venues across one or more facilities. The product combines public availability schedules, self-service rental requests, approval workflows, renter compliance tracking, pricing, invoicing, online payments, and reporting. Web, iOS, and Android support give staff and renters multiple access points.
Pricing is organized around facility count, user groups, allocation volume, and service level. Tier 1 costs $129 per month billed annually for 1 facility, up to 10 user groups, unlimited admin and staff users, and up to 500 allocations per month. Tier 2 is $199 for up to 3 facilities and 2,000 allocations, adding a custom subdomain and cost allocation pricing. Tier 3 is $299 for up to 20 facilities and 8,000 allocations, with priority support and onboarding assistance. Tier 4 is $699 for unlimited facilities, user groups, and allocations, with onboarding included. A free plan and 30-day free trial are also available. The Renters pay option has no monthly software fee, with a 4% Metro-Tec service fee on paid bookings and payment processing passed through at cost.
The standout fit is self-service scheduling paired with operational control. Public calendars can be embedded on a website without requiring login, while requests, changes, cancellations, recurring series, conflicts, documents, insurance, terms, questionnaires, and payment status can move through defined workflows. Facility, time-of-day, group-based, and overhead-allocation pricing add flexibility for different rental structures. Google Calendar and Stripe Connect provide specific ecosystem connections, while reporting covers utilization, availability, revenue, and audits. Choose Metro-Tec Rentals when public booking access and resource scheduling are priorities; consider an alternative when deeper event-management workflow coverage is central.
Metro-Tec Rentals pros and cons
- Where it wins
- Public no-login availability schedules support self-service rental discovery.
- Approval, compliance, pricing, invoicing, and payment tools share one platform.
- Web, iOS, and Android access support staff and renter workflows.
- Where it doesn't
- Published prices are monthly amounts billed annually.
- Event-management workflow depth is narrower than its rental operations coverage.
- The Renters pay option adds a 4% service fee to paid bookings.
