If your printer says it is connected to Wi-Fi but your computer shows it as offline, check the printer’s own status, confirm both devices use the same network, then inspect the computer’s print queue. A Wi-Fi indicator does not confirm that the computer is reaching the right printer entry or that its queue is working. Follow the low-disruption checks first; menu names vary by operating system and printer model.
1. Check the printer before changing computer settings
Look at the printer’s control panel for an error, paper problem, or prompt such as “User Intervention Required.” Resolve any displayed issue first. If the printer offers a test page or nozzle check from its own controls, print it.
- If the printer cannot produce its own test output, follow the error message and your model’s instructions. Epson notes that an offline message can originate with the printer, computer, or wireless network.
- If its own test prints successfully, the printer can produce output; investigate the network connection, computer entry, or print queue next.

2. Confirm the computer and printer are on the same Wi-Fi network
Check the network name (SSID) connected to each device. A printer may show Wi-Fi connected while the computer is connected to a different network—for example, if a home has multiple routers, access points, or extenders using separate network names. Microsoft recommends confirming that the printer and PC are on the same network.

If they are on different networks, connect them to the same one and try printing again. If they already match, continue to the queue checks.

3. Restart the printer
Microsoft’s power-cycle procedure is to turn off the printer, unplug it, wait 30 seconds, reconnect it, and turn it back on. The 30-second interval is Microsoft’s stated wait for this procedure. Once the printer is ready, try printing again.
Microsoft says power-cycling may resolve an offline printer issue.

4. Check the print queue and selected printer
A connected printer can still appear offline to the computer if jobs are stuck, printing is paused, or the computer is sending work to the wrong printer entry.
- Open the printer’s queue and cancel jobs that are stuck.
- In Windows, check that printing is not paused and that “Use Printer Offline” is not selected.
- Confirm the intended printer is selected. If the printer appears more than once, make sure you are using the active, correct entry; set it as the default if that suits your setup.

5. Use the troubleshooting path for your operating system
Windows 11: start with Get Help
Microsoft recommends starting with the printer troubleshooter in the Get Help app. If it does not resolve the issue, continue with the queue and connection checks above, then refresh the print service or printer entry.

Print Spooler manages print jobs in Windows. Restarting it can clear a queue or service problem. Open the Windows Services app, find Print Spooler, and choose Restart. If you cannot restart it or the problem remains, use Microsoft’s troubleshooting guidance for the Windows version you have.

macOS with an Epson printer: remove and re-add the Bonjour entry
Epson’s Mac procedure is to remove the existing printer and add it again using the printer entry identified as Bonjour. The precise printer-settings screens can vary by macOS release. Follow Epson’s Mac instructions for the offline message rather than assuming every printer or macOS version uses identical labels.

If queue and service checks have not helped, removing the printer from the computer and adding it again can refresh its entry. Use the printer settings for your operating system and select the correct device when adding it. This is a computer-side refresh; it is different from resetting the printer’s saved network settings.
7. Restart the router only when the printer remains reachable on Wi-Fi but cannot print
For an Epson printer on macOS, Epson suggests restarting the router if the printer is connected to Wi-Fi but printing still fails, then restarting the Mac. A router restart can interrupt internet access and other connected devices; some may need to reconnect afterward. Try the less disruptive printer, network-membership, and queue checks first.

8. Use a model-specific network reset only if the printer cannot reconnect
If the printer’s Wi-Fi indicator is off or it cannot join the network, consult the manufacturer’s instructions for that model. Epson’s Windows guidance describes resetting Wi-Fi or network settings and reinstalling product software, but the reset steps differ by model. A network reset can erase saved connection details, so be prepared to enter the Wi-Fi information again. Do not use a factory or network reset simply because the computer’s printer status says offline.
When to move on from basic troubleshooting
- The printer’s own test fails: address the printer’s displayed error or consult its model-specific support.
- The printer test works, but the computer cannot print: focus on matching networks, the selected printer entry, queue status, and—on Windows—Print Spooler.
- The printer cannot join Wi-Fi: follow the manufacturer’s setup or network-reset instructions for that model.
Microsoft states that support for Windows 10 ended on October 14, 2025. That support-status date does not, by itself, mean a printer problem requires upgrading Windows; troubleshoot the actual connection, queue, and printer status.
