For a Melbourne 21st, choose party hire only after you know the venue, guest count and what is already included. A backyard may need chairs, weather cover and lighting; a hired venue may already supply furniture or sound equipment; a council park can require permits and restrict structures or power.
Start with the venue, not the hire catalogue
Make a list of what the celebration needs to do: host seated food, give guests room to mingle, provide a place to dance, or keep people comfortable outdoors. Then check the venue’s inclusions and restrictions before requesting quotes. Local party-hire inventories commonly include marquees, tables, chairs, festive lighting, dance floors, glassware and styling; these are options to assess, not a checklist every party needs. For each item, confirm the usable space, guest capacity, delivery access, installation requirements and whether setup or pack-down is included. Ask the supplier directly about cleaning, staffing and power needs rather than assuming they are part of the hire.

Seating and layout
Choose tables and chairs for the guest list and the way people will use the space. A seated meal needs a different arrangement from a party built around mingling and dancing. Leave clear routes between eating, socialising and any dance area.

Weather cover and surface
A marquee can provide cover or define an outdoor event area. Before booking, check access for delivery and installation, the surface, exposure to wind, and any relevant property or council approvals. Rules for public land are not automatically rules for a private backyard.
Lighting, dancing and finishing details
Consider event lighting if the space will be used after dark, and plan safe power and installation arrangements. If the ground or layout is unsuitable for dancing, ask whether a dance floor will work in the space. Glassware and styling can help complete the setup, but should follow the party’s practical needs and look.

What to confirm with a hired venue
Ask the venue what is supplied before hiring furniture, sound equipment, lighting, glassware or a dance area. Establish the rules and timing in writing before committing to an external DJ or additional equipment.

- What lighting, furniture and glassware are included?
- When must amplified music stop, and what is the booked function finish time?

Can you put a marquee and speakers in a Melbourne park?
There is no single rule for every Melbourne park: check the council or land manager responsible for the exact site before booking structures, power, lighting, sound, food or alcohol service. A council may require an event permit based on attendance, equipment, sales or effects on the surrounding area.
City of Maribyrnong example
On land managed by the City of Maribyrnong, one marquee no larger than 3 m by 6 m may be used without an event permit if it is weighted according to the manufacturer’s instructions. Pegging structures is not allowed. The council lists 100 or more attendees as one event-permit trigger, along with factors such as selling food, drink or alcohol; using electrical or mechanical power; larger temporary structures; or impacts on traffic, residents, infrastructure or the environment. It also provides a permit route for some private celebrations. Other approvals may still apply. These are Maribyrnong-specific conditions, not Melbourne-wide thresholds. The Maribyrnong marquee allowance does not establish permission to use speakers or powered equipment without approval. Confirm those details for the exact site, as well as any permit requirements, before arranging hire.
Plan sound, neighbours and alcohol responsibly
Noise and neighbour communication
Service Victoria recommends notifying neighbours in advance, limiting how widely invitations are shared and following residential-noise restrictions. Do not assume a BYO permit covers a private birthday party. Victorian guidance distinguishes BYO permits from other licence types and says a one-off event may need a temporary limited licence. - Fit: Guest capacity, seated and standing arrangements, and whether the item fits the booked space.
- Weather and surface: Cover, flooring, wind exposure and installation constraints.
- Inclusions: Delivery, setup, pack-down, cleaning and staffing; confirm each with the supplier.
- Sound and timing: DJ permission, available PA equipment, amplified-music limits and the actual booking finish time.
- Permissions and safety: Venue or council approval, power arrangements, applicable safety requirements and any liquor approvals.
- Operations: Lighting, security, rubbish, access, neighbour communication and transport after the event.
