Most remote workers can cover reading, annotating, form filling, merging, compressing, and signing PDFs without buying new software. The starting point is the browser and cloud drive you already use. Microsoft Edge handles viewing and markup, Acrobat’s web service or its Google Drive add-on covers page-level editing and signature requests, and a paid Acrobat plan is worth considering only when your workflow needs features the free tiers leave out. The sections below explain what each option does, where its limits are, and how to pick a combination that your employer will accept.
Start with the jobs your PDFs actually need
Before comparing tools, list the tasks you repeat each week. Most PDF work falls into a short set of jobs, and different tools are strong at different ones:
- Viewing and markup: opening files, searching text, highlighting, adding comments or ink.
- Form filling: completing fields in a contract, expense claim, or onboarding form.
- Editing: changing text or images, or adding, deleting, and rotating pages.
- Combining and compressing: merging several files into one, splitting a file, or reducing its size before sending.
- Conversion: turning a PDF into another format, or a document into a PDF.
- Signatures and review: sharing a file for feedback, sending it for signature, and tracking who has signed.
- Paper capture: turning a printed page or receipt into a PDF.
If your list is mostly the first two items, a browser’s built-in reader may be enough. If it includes editing, conversion, or signature requests, you will need an Acrobat feature, which can be free or paid depending on how you access it.

Edge includes a PDF reader that opens local files, online PDFs, and PDFs embedded in web pages. According to Microsoft Learn’s PDF reader documentation, it supports:

- Annotation with ink and highlighting.
- Filling basic forms.
- Navigation, zoom, rotation, search, and a table of contents.
- Caret browsing and read-aloud, plus text notes.
Microsoft documents the reader for desktop Edge on Windows and macOS. It is the simplest option for reviewing a contract someone emailed you or marking up a report before sending comments back.
Limits to check before relying on Edge
- XFA forms are unsupported. XML Forms Architecture is a legacy form format, and Microsoft states that Edge does not support it. If a form you must complete uses XFA, open it in Acrobat or another compatible tool.
- Feature availability depends on version. Microsoft’s documentation includes a table of minimum Stable channel versions for specific capabilities. If your IT team manages Edge builds, check that table against the version you deploy rather than assuming every feature is present.
- Edge does not edit page content or merge files, according to the capabilities listed in that documentation. For those jobs, move to one of the Acrobat options below.
Acrobat on the web
Adobe’s Acrobat on the web overview, last updated 2026-09-11, describes a browser-based service that runs from a desktop, laptop, or mobile device. It covers creating, editing, organizing, and converting PDFs, along with merging, e-signatures, and collaboration. The service requires an internet connection, and it can send notifications for documents stored in Adobe cloud storage.

This is the option to use when you need to change the content of a file from any device, not just the one where it was saved. Because it is browser-based, it also avoids installing a desktop application on a shared or managed machine, although your employer may still have rules about where company documents can be uploaded.

Adobe’s security statements
Adobe states that its service uses AES-256 encryption and TLS 1.2, and that files you upload remain private unless you share them. These are vendor descriptions in Adobe’s own documentation. They are not an independent audit, and they do not show that the service meets a particular employer’s security policy or a regulated industry’s requirements. Treat them as the starting point for your organization’s review, not the conclusion.

Acrobat inside Google Drive
The Acrobat add-on in Google Workspace Marketplace lets you open and work on PDFs stored in Drive. The Google Workspace Marketplace listing was last updated 2024-10-04, and it splits its features into free and premium groups. Some premium tools require a paid Acrobat DC subscription.

Drive permissions
The listing specifies the Drive permissions the add-on requests for files you choose to open with it. Review those permissions when you connect your account, and check whether your employer restricts third-party add-ons in Workspace. A personal Google account and a company Workspace account may follow different rules.
The full Acrobat plan
Adobe’s Acrobat tools overview describes editing text and images, changing or deleting pages, sharing a document for feedback, and requesting, tracking, and managing e-signatures. Adobe’s Acrobat DC for Business feature sheet adds several capabilities that matter for teams:

The feature sheet marks some functions as requiring Acrobat Pro DC. It also notes that services may not be available in every country or language and that additional fees may apply. Check regional availability and your plan’s entitlements before buying.
Paper documents
You do not need a dedicated scanner for this work. Adobe lists its Scan mobile app as a way to capture paper documents as PDFs, which you can then edit or sign in the browser or Drive workflows above.

How to choose a workflow
- Confirm your employer’s rules. Ask whether company documents may be uploaded to a browser service, connected to a Drive add-on, or sent through a third-party signature tool.
- Match the tool to where your files live. If your team works in Google Drive, the Drive add-on keeps you in place. If you use Box, Dropbox, OneDrive, or SharePoint, the Acrobat business plan lists integrations with those services.
- Check any XFA forms first. If a form does not open or fill correctly in Edge, switch to Acrobat before you spend time on it.
- Decide whether you need page-level editing. If you only mark up and fill forms, Edge or the free Drive features may be enough. If you regularly merge, split, or compress files for clients, a paid Acrobat plan is more likely to be justified.
- Test a sample file. Run one representative document through the tool you choose and check the output before relying on it for a deadline. No independent conversion testing of these tools was conducted for this article, so your own check is the only reliable test of fidelity for your files.
Signatures need more than a signing feature
Acrobat’s documentation covers requesting, tracking, and managing e-signatures. It does not establish whether a signature meets the legal requirements for a particular contract or jurisdiction. If a document has legal or financial consequences, confirm with your employer or legal team which signature method they accept before sending it.
