Payroll calculation software uses employee and pay information to work out gross wages, deductions, tax withholding and take-home pay. Depending on the product and plan, it may also pay employees, file and pay payroll taxes, produce reports and connect payroll with timekeeping, accounting or HR tools. Those services vary, so check what a specific plan covers before relying on it.
What payroll calculation software calculates
At a basic level, the software takes pay and employee details and calculates what an employee earned and what should be withheld or deducted. The exact inputs depend on the worker’s pay arrangement and the deductions or tax services configured.
- Gross wages: Pay before deductions, based on salary or applicable hours and pay rates.
- Tax withholding: Amounts withheld for applicable payroll taxes. For federal income tax, Gusto says its calculation uses each employee’s Form W-4 settings and IRS tax tables; gross pay and pre-tax benefits also affect withholding. - Deductions: Items such as benefits or other configured deductions, which can affect take-home pay and, in some cases, taxable wages.
- Net pay: The amount remaining after applicable withholding and deductions.
These results depend on the information entered and maintained in the system. A change in hours, salary, W-4 elections or eligible pre-tax deductions can change a payroll result. Software automates calculations; it does not make incorrect employee or pay data accurate.

“Payroll software” can describe products with very different service levels. Some tools calculate payroll while leaving payment and tax filing to the employer; others bundle several steps. Vendor pages describe their own offerings, so confirm the selected plan, service terms and jurisdiction rather than assuming a feature is included.

QuickBooks Workforce Payroll
Intuit advertises payroll tax calculation, filing and payment, employee access to pay stubs and W-2s, and integration with accounting and workforce tools. Its full-service payroll page describes the offering and plan details.

Gusto
Gusto describes a workflow in which team hours sync to payroll, the employer reviews a payroll summary and submits payroll, with automated tax calculation and filing. Its payroll product page describes the service; its help article explains its stated federal income tax calculation approach.
ADP RUN
ADP describes wage and tax calculations, payments, forms, reporting, integrations and compliance support. Its RUN package page outlines different payroll and HR services. ADP says pricing depends on workforce size, business needs and provider price structure, so request a quote for the specific requirements.

How to compare payroll calculation software
Start with how your business pays people and where they work. Then compare the service boundaries and practical costs of the plans you are considering.
- List your payroll requirements. Note employee locations, pay schedules, pay types, deductions and benefits, plus whether you need to handle hourly time or salaried pay.
- Check tax and jurisdiction coverage. Confirm the plan supports the federal, state and local requirements for every place you employ people. Do not assume a vendor or plan covers every local tax or multi-state situation.
- Separate calculation from tax service. Ask whether the provider handles tax deposits or payments, returns, year-end forms and notices, or whether your business must do some or all of those tasks.
- Confirm payment timing and options. Compare payroll deadlines, direct-deposit timing and any alternative payment methods with your pay schedule.
- Check integrations and employee tools. Verify connections to your actual accounting, timekeeping, benefits and HR systems. Confirm employee self-service, reports and support meet your needs.
- Calculate total plan cost. Include the base fee, per-employee charges, add-ons and applicable contract terms. Pricing and features can change; ADP specifically notes its pricing depends on workforce size, needs and provider structure.
- Understand setup and review responsibilities. Ask how employee data is imported and checked, how corrections are handled, and what the provider expects the employer to review before payroll is submitted.
What payroll software does not establish
A product’s automation or marketing description does not, by itself, establish independent accuracy, guaranteed compliance or the removal of employer responsibilities. The vendor pages cited here describe their own services; they do not provide a cross-vendor performance test. Tax rates and thresholds also depend on tax year and jurisdiction, so use current IRS materials and applicable state and local authority guidance for tax rules rather than treating a vendor feature page as the authority for a rate.
