To give two people a shared document library they can search from devices at home, use a self-hosted document manager such as Paperless-ngx, then add its optional AI features with local backends such as Ollama and Hugging Face. The web interface provides document search; AI can add semantic retrieval and document chat. This is a configuration pattern, not a tested deployment: whether it is private and reachable from your devices depends on your backend choices, account and network security, and server configuration.
Decide whether you need AI or just document search
Paperless-ngx can take in digital files, organize them, and provide conventional search through document content and metadata such as titles, correspondents, types, and tags. That search does not require its optional AI features. If you mainly need to find a scanned bill by its text or retrieve a file by its title or tag, start with ordinary search.
AI adds different capabilities: suggestions, retrieval of similar documents, and chat that can answer across documents with links to source documents. Its LLM index uses embeddings to retrieve relevant material. AI features and the index require configuration; they are not enabled by default.

These modes can coexist. AI is an addition to conventional search, not a replacement for it.

Choose where the AI processes documents
When AI features are used, document content goes to the configured AI backend. Paperless-ngx documents identify Ollama as a local LLM option and Hugging Face as a fully local embedding option. A hosted OpenAI-compatible service is another supported route, but it sends document data to that provider and may incur usage charges. Paperless-ngx warns that hosted API users are responsible for applicable charges and that document data is sent to the configured provider (Paperless-ngx AI documentation).

Local inference does not by itself make the whole system secure or private. Access controls, backups, network exposure, and any other configured services also matter. The documentation does not establish a security design for an individual household network.

Plan the home-server stack
Paperless-ngx is an application stack, not just a language model. Its documented setup includes a web server, consumer for incoming files, task queue, scheduler, and Redis-compatible broker. The Docker Compose files default to Valkey, and PostgreSQL is recommended for new installations. Docker and Docker Compose are prerequisites for the Compose installation route (Paperless-ngx setup guide; configuration reference).

Hardware needs depend on the model and workload; the cited documentation does not provide a universal CPU, memory, or disk-space minimum.

Configure the AI index and keep it current
To enable AI, configure an LLM backend and an embedding backend, then build the LLM index. Current documentation describes Ollama and OpenAI-compatible APIs for LLMs, and Hugging Face, Ollama, and OpenAI-compatible options for embeddings (AI configuration and usage). Check that your selected model and backend are compatible with your hardware and the current Paperless-ngx version.
The index has a scheduled update, daily by default, as well as manual rebuild, update, and compact operations. A backend or model change may require rebuilding the index. See the LLM index administration instructions for the available maintenance operations.

Get documents into the library
Paperless-ngx consumes files placed in a configured folder and makes them available in its management and search interface. This works for documents you already have digitally; a scanner is only needed if you want to digitize paper records. The usage documentation describes watched-folder intake and the web UI (Paperless-ngx usage guide).

If you want network scanning, the community-maintained scanner list includes a ScanSnap iX1600 entry with SMB support (Paperless-ngx scanner discussion). PFU/Ricoh describes the iX1600 as a duplex automatic document feeder and states a throughput of 40 ppm/80 ipm for A4 documents at 300 dpi; those are manufacturer specifications, not a measure of Paperless-ngx’s end-to-end ingestion speed (manufacturer product page). That example does not establish that it is the best scanner for every household.

Make the interface available to household devices
Once the host is configured for access, Paperless-ngx can be opened in a browser from another machine. That makes access from a spouse’s laptop, phone, or other household device a deployment goal, not something installation guarantees automatically. The setup documentation does not assess your router, authentication choices, TLS, remote access, or network layout. Configure access deliberately, and do not treat public-internet exposure as a required step.
A separate self-hosted model interface may be useful in some setups, but the available documentation does not establish a direct Paperless-ngx integration with Open WebUI. For document chat, use Paperless-ngx’s documented AI features rather than assuming a separate interface will connect automatically (Open WebUI documentation).
