Outlook settings on Windows 11 depend on which Outlook app you use—and some controls live in Windows rather than Outlook. First identify whether you have new Outlook or classic Outlook, then use the matching steps below for notifications, accounts, and default-mail behavior.

Identify whether you have new Outlook or classic Outlook

New Outlook and classic Outlook have different interfaces, so a setting may be in a different place—or unavailable—in one version. New Outlook can be installed from the Microsoft Store and may come preinstalled on Windows 11 devices. Some classic Outlook installations also offer a “Try the new Outlook” switch. Microsoft provides separate setup guidance for each version; if a menu in these steps does not match your screen, confirm which app you have and follow the instructions for that version.

Find Outlook’s settings and understand what transfers

In new Outlook, open the Settings gear to view the app’s settings. The categories and available options can vary by account, build, and work or school organization. Classic Outlook uses its own menus and account controls, so do not assume that a path for new Outlook applies there.

When moving from classic Outlook, Microsoft lists a selection of preferences that can be imported into new Outlook. These include message-list and reading-pane choices, density and preview text, signatures, automatic replies, notification preferences, and Calendar settings such as meeting hours, time zones, reminders, date and time formats, week start, workweek days, and calendar view. The import requires the classic Outlook option “Store my Outlook settings in the cloud” to be enabled. Importing settings does not establish that every preference or add-in will transfer for every account or organization. See Microsoft’s settings import and add-ins instructions.

Get Outlook notifications, including when the app is closed

Notifications can depend on both Outlook and Windows. For calendar alerts in new Outlook when the app is closed, Microsoft’s instructions call for enabling Outlook’s closed-app notifications, selecting desktop notifications for Calendar, and allowing Outlook notifications and background operation in Windows.

  1. Enable notifications in Outlook: Open Settings, find the notification options, and turn on “Send notifications when Outlook is closed.”
  2. Choose calendar desktop alerts: In Outlook’s “Notify me about” area, expand Calendar and select Desktop.
  3. Allow notifications in Windows: Open Windows Settings and check Outlook under System > Notifications. Allow notification banners as needed.
  4. Allow background operation: Check Windows’ background-app permissions for Outlook so it can deliver alerts while closed. The precise Windows controls can depend on the installed app and Windows build.

If an alert does not appear, check both Outlook’s notification selections and Windows permissions. Labels can change between builds; use Microsoft’s new Outlook guidance to verify the current Outlook controls shown for your version.

Add accounts and change server details safely

Outlook for Windows supports Microsoft accounts, work or school accounts, Gmail, Yahoo, iCloud, and Exchange. To add an account, use Outlook’s account-add option and follow the sign-in prompts. Some providers require a security or account setting to be changed on their own website before Outlook can connect. Microsoft’s account setup guide covers the supported account types and setup flow.

Update an existing account in classic Outlook

In classic Outlook, open File > Account Settings and select the account or settings you need to change. Depending on the account, server configuration may involve the account type, incoming and outgoing server names, SSL requirements, ports, and authentication. Get those exact values from your email provider; do not substitute generic server settings. Microsoft’s account settings instructions explain the update route.

Make Outlook the default email app in Windows 11

Choosing a default mail app is a Windows setting, not an Outlook preference. To set it, open Start, search for Default apps, and open Settings > Apps > Default apps. Select Outlook, then choose the applicable mail file and link types and set Outlook as the default for them. The available types can depend on the apps installed and your Windows version. If you are switching from Windows Mail, Calendar, or People

Microsoft says support for the Windows Mail, Calendar, and People apps ended on December 31, 2024, and recommends moving to new Outlook or Outlook.com. Why a setting may be missing

  • Different Outlook version: New and classic Outlook have separate interfaces and instructions.
  • Account or provider differences: Some options depend on the account type or provider-side security and server setup.
  • Organization policy: A work or school administrator may control settings or make some options unavailable.
  • Windows controls: Notifications and default-app behavior may also require changes in Windows Settings.
