To set up Outlook for Mac, first identify whether you’re using new Outlook or legacy Outlook, then choose the steps for your email provider. Outlook’s menus and feature support differ between the two experiences, and accounts added in one do not automatically appear in the other.
Choose your Outlook experience before you begin
New Outlook and legacy Outlook for Mac do not have identical features or account lists. Microsoft’s feature matrix marks features as available, upcoming, unavailable, or under investigation; these statuses can change. Check it if a feature you need is missing.
Microsoft says support for legacy Outlook for Mac will end in October 2026. The transition and continuing support depend on your Microsoft 365, Office, or Outlook license. Because that date is near, confirm the current status and your license on Microsoft’s feature page.
You can switch experiences using the Outlook interface toggle described on Microsoft’s Outlook for Mac overview. Switching does not transfer account setup: an account added in new Outlook will not automatically appear in legacy Outlook, and vice versa.

How do I add an email account to Outlook for Mac?
Microsoft documents setup for Microsoft 365 and Exchange, Outlook.com, Hotmail.com, Live.com, Google, Yahoo, and accounts using IMAP or POP. The exact sign-in flow depends on the provider. For example, Yahoo and some other third-party accounts may send you to the provider to authorize Outlook to access mail, contacts, or calendars.
- Open Outlook and choose Outlook > Settings > Accounts.
- Select Add Account, enter your email address, and continue.
- Follow the sign-in and authorization prompts for your provider. If the provider requests permission, review it and approve access only if you want Outlook to connect.
- After setup, check that the account appears in Outlook and that the data types you expect—such as mail or calendar—are available.
Microsoft’s account setup instructions cover the current Outlook experience. Its support overview lists macOS 10.14 Mojave and later as requirements on that page; this does not guarantee every current feature works on every listed macOS version.

What syncs for calendars and contacts?
Connecting an account for email does not establish that its calendar and contacts will sync too. Support depends on the provider and account type.

These contact distinctions are in Microsoft’s contact guidance. For an iCloud calendar, follow the separate iCloud calendar setup instructions. Adding iCloud mail alone does not, by itself, enable calendar and contact synchronization.

How do I organize accounts and notifications?
Outlook Profiles can group associated accounts, notifications, and themes, and integrate with Apple Focus Filters. Microsoft says profile creation requires at least two accounts and that the feature is being released gradually, so it may not be available to every user yet. Choose the route based on the data and where it is coming from or going to. Microsoft documents importing messages, contacts, and other items, including PST files from Outlook for Windows, as well as exporting items to an archive file. The available workflow depends on the source and destination; use the relevant procedure in Microsoft’s import and export guide.

- For a Windows Outlook PST, use the import route intended for PST files rather than treating the file as a live account.
- For an archive or a copy of Outlook items, use the export route and confirm which item types the selected workflow includes.
- For data already held by a connected provider, distinguish account synchronization from importing a separate file: syncing connects to the provider, while import brings items into Outlook from another source.
What should I check if Outlook is not working as expected?
- Account absent after switching: Add it separately in the other Outlook experience; accounts are not automatically shared between new and legacy Outlook.
- Provider sign-in fails or asks for permission: Complete the provider’s authorization flow where required. Confirm that you chose the intended account and granted the access needed for the data you want Outlook to use.
- Mail appears but contacts do not: Check the account type. Outlook supports contact sync for Gmail, Yahoo, and iCloud, but not for other IMAP/POP accounts.
- iCloud calendar is missing: Use Microsoft’s dedicated iCloud calendar setup instead of assuming that adding iCloud mail enables it.
- A feature or menu is missing: Check whether you are in new or legacy Outlook and consult Microsoft’s feature matrix for the feature’s current status.
- An issue persists: Check Microsoft’s recent Outlook for Mac issues and workarounds. The tracker changes as issues and fixes change.
