Organize iPhone Notes with a small set of folders for broad areas, tags for topics that cross those folders, and Smart Folders for saved filtered views. Add clear titles, pin only current priorities, and use search when browsing is slower. You do not need a deep hierarchy: the best system is one you can keep using.
Start with a few broad folders
Folders give Notes a straightforward hierarchy. Create a small number around durable areas of your life or work—such as Home, Work, or Reference—then add subfolders only when a folder becomes difficult to scan. This is a practical organizing choice, not a structure Apple requires.

On iPhone, open Notes, go to the folders list, and use the new-folder control to create a folder. From the folders list, you can rename or move folders; to move a note, open or select it and choose a destination folder. Apple’s folder guide covers these actions and the available list and gallery views. Controls can vary by iOS release, so check your installed version if a label or button differs.
Do these 3 things before closing this tab:
1Clear out junk files and repair common Windows errors2Scan for outdated or missing drivers - takes under a minute3Repair Windows errors before they cause bigger problemsGive each note a specific title that says what it contains, rather than relying on a vague title such as “Ideas.” Pin a small number of notes you need to reach quickly; pins stay at the top of the list, but work best as a short set of active priorities rather than a second inbox.

Use tags for topics that belong in more than one folder
A folder answers “where does this note live?” A tag answers “what else is this note about?” A note about a work trip, for example, might live in Work while carrying a travel tag that also applies to personal trip notes.
To add a tag, type # followed by a continuous word, then add a space to activate it. Tag names can include hyphens or underscores, but not spaces. Keep the vocabulary modest and consistent; tags should connect notes across folders, not duplicate every folder name.

Tap a tag in the tag browser to see matching notes. When filtering by more than one tag, choose whether results should match any selected tag or all of them. The distinction matters: “any” broadens the results, while “all” narrows them to notes carrying every chosen tag. See Apple’s tag instructions.

Choose between regular folders and Smart Folders
| Choice | How it works | Best use |
|---|---|---|
| Regular folder | You place and move notes manually; it provides a hierarchy. | A broad area where you want to manage note locations directly. |
| Smart Folder | Notes appear in a view assembled automatically from filters, such as tags, dates, or mentions; the view can span folders. | A recurring view of notes that meet the same criteria. |
A Smart Folder is a filtered view, not a normal container into which you move notes. Create one from the folders screen using the new-folder control and choose the Smart Folder option, then set its filters. Exact labels may vary by iOS version. Apple explains the available criteria in its Smart Folders guide.

Think carefully before converting an existing regular folder. Conversion moves the folder’s notes into the Notes folder and tags them with the former folder name. Apple says shared folders, folders with subfolders, and folders containing locked notes cannot be converted. If you want to preserve the current folder arrangement, create a new Smart Folder instead of converting.
Make browsing predictable, then use search as a backstop
For notes you browse manually, choose a view and sort order that suits the material. List and gallery views are available, and Notes can sort by title, creation date, or edit date. Recently edited works well for active notes; title order can make reference material easier to scan. You can change the sort from the folder’s options. Apple documents these choices in its folder guide.

When browsing fails, search is broader than typed words. Apple says Notes can search tags, typed text, supported handwriting, objects in images, and text in scanned documents. Search results for a locked note show only its title, not its contents. These capabilities are described in Apple’s Notes search guide.

Scanned paperwork can be stored in Notes as a searchable document. In a note, use the attachment or camera controls and choose the document-scanning option; Notes also supports signing scanned documents. Apple’s scan documents guide covers Notes and Files scanning routes.

Check account and software compatibility
Notes features depend partly on where notes are stored. Apple says many features require notes stored in iCloud or on the device and may not work with other email providers. If a feature is missing, check the account holding the note and your iOS version before reorganizing everything.
Tags require iOS 15 or later. Apple notes that tags created with newer software may appear as plain text on older systems. A note cannot be tagged and locked at the same time: locked notes cannot be tagged, and tagged notes cannot be locked. See Apple’s guidance on using Notes on iPhone and tags and Smart Folders.
Recover an accidental deletion
If you delete a note or folder by mistake, check Recently Deleted in Notes. Apple says deleted notes and folders can be recovered there; recovery availability depends on the item still being present in that folder.
