For a small team, the right API choice depends on two separate questions: what a representative workload costs on the specific models you would use, and whether the provider’s payment and document setup fits your bookkeeping. OpenAI, Claude, and Gemini handle invoices, prepaid usage, and spend controls differently; a lower token rate alone does not settle the comparison.

Compare the bill for your workload, not the provider names

Each service charges according to its own model rates and applicable usage options. Start by estimating the same workload for each candidate model: expected input and output token volume, how often requests run, and any caching, batch or priority mode, tools, or storage you will actually use. Do not compare one provider’s cheapest model with another provider’s more capable model and treat the result as a like-for-like bill.

OpenAI says its Responses, Chat Completions, Realtime, Batch, and Assistants APIs are not priced separately; token charges use the selected model’s input and output rates. Additional tools or storage may cost extra. Anthropic and Google likewise publish model-specific prices, so use the current rate for the exact model and pricing mode rather than a provider-wide average. As one dated example, Google AI for Developers listed Gemini 3.1 Flash-Lite Standard at $0.25 per million input tokens for text, image, or video and $1.50 per million output tokens on October 7, 2026. Those rates describe that model and mode, not Gemini API pricing generally; check the live pricing table for your intended model and usage.

How each provider handles payment and invoices

OpenAI API Individual and team API customers pay with prepaid credits or automatic credit-card charges. Enterprise API customers are billed at each calendar month-end unless a written custom arrangement applies. OpenAI says it provides API invoices for Enterprise customers. Enterprise invoices are typically issued within two weeks after the cycle ends; the contract sets payment terms. Individual and team customers can view available invoices or receipts in Billing history. Card collection timing depends on usage thresholds or monthly timing, payment method, and country. Claude API Most organizations pay with prepaid usage credits. Organizations with an invoicing arrangement are billed monthly instead. For monthly invoicing, API calls, Console usage, and other account services are aggregated and invoiced by Stripe at calendar month-end. Prepaid credit purchases generate receipts. Invoice and receipt history is available in Console settings to users with the Admin or Billing role. Purchased credits expire one year after purchase and are non-refundable. Confirm the organization’s own arrangement rather than assuming it qualifies for invoicing. Failed requests are not charged, but a request that was on track to succeed may still be charged if the client disconnects or times out. Gemini API Billing runs through Google Cloud Billing. Google documents Prepay and Postpay plans. Under Postpay, costs accrue and payment is charged at month-end or when an assigned spend cap is reached. Use Google’s billing systems to monitor charges and confirm the account’s current payment setup. The billing guide does not establish a universal invoice entitlement for every account. Plan availability and migration are in transition, so the account’s current notice and billing configuration matter. What the billing differences mean for a small team

If you need a formal monthly invoice

OpenAI’s guidance ties API invoices to Enterprise customers; individual and team customers use credits or card charges, though Billing history may show available invoices or receipts. Anthropic’s monthly invoices apply to organizations with an invoicing arrangement, while prepaid purchases produce receipts. Gemini billing is connected to Google Cloud Billing, and the cited guide describes payment plans rather than a blanket invoice promise. Verify what your own account can obtain before choosing a service for a bookkeeping requirement.

If you prefer to control cash flow with prepayment

OpenAI individual and team accounts can use prepaid credits. Anthropic describes prepaid credits as the payment route for most organizations, but credits expire one year after purchase and cannot be refunded. Google’s guide describes a Prepay plan and, as of October 7, 2026, a minimum $5 prepayment to move from Free Tier to paid tiers. That is a plan-specific figure, not a general invoice or credit policy.

If you need a clear spending boundary

Gemini’s tiers and caps are associated with the Google Cloud Billing account, and projects linked to that account inherit the settings. The guide listed a $250 Tier 1 billing cap after an active billing account is linked, as of October 7, 2026. Do not treat that figure as a universal cap: check the tier, account configuration, and current plan information. OpenAI and Anthropic also provide billing or usage views, but the cited pages do not establish equivalent universal caps across accounts.

A practical selection process

  1. Choose realistic candidate models. Record the exact model and relevant pricing mode for each provider. Include tools, storage, caching, batch, or priority usage only if the team expects to use it.
  2. Estimate one common workload. Use the same expected input and output volume, request frequency, and feature assumptions across candidates. Calculate from current model-specific prices rather than a provider-level headline rate.
  3. Confirm payment mechanics with the account. Identify whether charges are prepaid, automatically charged, or monthly invoiced. For invoice needs, verify eligibility and payment terms; do not infer them from a product name.
  4. Check document retrieval. Establish whether bookkeeping needs an invoice, receipt, or both, where the documents appear, and which account role can access them. Claude invoice and receipt history, for example, requires the Admin or Billing role.
  5. Check spend visibility and project structure. Confirm where usage is tracked and whether limits or billing settings are shared across projects. For Gemini, linked projects inherit their billing account’s tier and caps.
  6. Include operational edge cases. Account for credit expiration and how disconnects or timeouts are treated if using Claude prepaid usage; these details can affect both reconciliation and the effective cost of a workload.
