On-device meeting notes can reduce how much raw audio leaves your device, but “on-device” does not guarantee that every transcript, summary, or synced copy stays local. Cloud meeting assistants can offer convenient transcription and summaries, yet their workflows may send audio to service providers and retain data under product-specific rules.
There is no reliable evidence that either architecture is universally more accurate. The practical choice depends on the complete data flow, retention settings, language and audio conditions, account eligibility, and your consent and governance requirements.
The answer in one sentence
Choose on-device processing when minimizing live audio transmission is your priority and the product can keep the resulting notes local; choose a cloud workflow when collaboration, broad device support, or centralized administration matters more, after verifying exactly where audio, transcripts, summaries, recordings, and temporary files go.
Privacy and accuracy are separate questions. A local model may limit network exposure but still sync text to a workspace. A cloud model may produce a useful transcript while creating copies in a provider’s infrastructure, subprocessors, or your organization’s storage. Neither label is sufficient by itself.
#1 Best Overall
- Omnidirectional Microphone - It is not a Speaker or Speakerphone, it is a condenser microphone. The microphone has an omnidirectional pickup pattern with a pickup distance of 11.5 ft, making it easy to capture the most subtle sounds from 360° directions and transmit the sound more loud and clear. Participants can hear each other without raising their voices.

- Plug & Play, No Drivers Required - The microphone is compatible with all operating systems - both Windows and macOS. You just need to plug the microphone to start recording. If there is no response after inserting the mic, please go to the microphone setting of your computer and select the mic as the INPUT device.
- Convenient Mute Button - Quickly mute/unmute your microphone. The built-in blue indicator light for checking whether the USB microphone is working.
- Well Designed Cable - The microphone is constructed of sturdy and metal material and the base is fitted with an anti-slip mat which keeps it stable on desktop during use. It is small, convenient and does not require much space when in use. Connected with a 1.8m nylon shielded wire, it effectively eliminates signal interferences to achieve the best recording results.
What “on-device” and “cloud” actually describe
The labels usually identify one processing step, not the entire meeting-notes lifecycle. Evaluate each stage separately:
| Stage | Questions for an on-device workflow | Questions for a cloud workflow |
|---|---|---|
| Capture | Is audio recorded temporarily, and where is that buffer held? | Is audio streamed live, uploaded after the meeting, or both? |
| Transcription | Does a local model convert speech to text without a network connection? | Which provider or subprocessors receive the audio, and when? |
| Summarization | Is the summary generated locally, or is the transcript sent elsewhere? | Which service generates notes, tasks, or highlights? |
| Storage | Are transcripts and summaries saved only on the device? | Are outputs stored in a workspace, cloud drive, email system, or database? |
| Sync and sharing | Does enabling sync create a remote copy? | Who can access shared pages, recordings, and generated tasks? |
| Deletion | Can cached audio, model logs, and local exports be removed? | How long do temporary uploads, failed attempts, recordings, and backups remain? |
A product can be local for one row and cloud-based for another. Treat the complete route as the product’s real privacy model.
Privacy: follow every copy of the meeting
Audio processing is only the first question
Some local assistants process meeting audio on the device and do not record or store the audio. That still leaves a transcript that may be saved, synchronized, exported, or shared. If an offline transcript uploads when connectivity returns, the meeting has a network data path even though transcription itself occurred locally.

Conversely, a cloud assistant may delete audio immediately after successful transcription while retaining the transcript and summary for the life of a workspace page. “Deleted after processing” therefore does not mean “nothing is stored.” Ask separately about raw audio, failed uploads, transcript text, summaries, recordings, logs, and backups.

Examples from current product documentation
| Product documentation | Documented behavior | What the statement does not prove |
|---|---|---|
| Salesforce In-Person Meeting Assistant | Salesforce says meeting audio is processed locally and is not recorded or stored; the text transcript is saved. Offline transcripts upload when connectivity returns, while saving requires internet. The feature asks the user to confirm participant agreement. Current documentation lists M4-or-newer iPads and specified Android minimums; verify support before deployment. | It does not establish that transcripts, summaries, or synced copies remain on the device. |
| Quill | Quill documentation describes audio and transcripts staying on the computer by default. It offers local models, a user’s API key, private inference servers, or Quill cloud as processing choices, and describes the product as audio-only. | This is the vendor’s description, not an independent security audit. Selecting an API key, private server, or cloud route changes the data path. |
| Notion AI Meeting Notes | Notion says its browser workflow sends audio directly to subprocessors for real-time transcription. It describes temporary local copies and says audio uploaded for a reattempt after processing failure may be retained for up to three days. On mobile, audio is uploaded to Notion’s servers and then sent to subprocessors; the page describes deletion after successful processing and different retention periods after failure. Uploaded files use a different storage and deletion path from live recordings. | Browser, mobile, failed-processing, and uploaded-file behavior are not interchangeable. Check the current help page and workspace settings. |
| Krisp AI Meeting Assistant | Krisp states that noise cancellation is processed locally, while its AI Meeting Assistant transcribes meetings in the cloud and says data used for transcription is deleted immediately after processing. Krisp separately states that meeting recordings, whether or not its bot is used, are kept in the cloud. | Local noise cancellation is not evidence that transcription is local, and immediate deletion of transcription data does not remove cloud recordings. |
| Teams Intelligent Recap | Microsoft says Intelligent Recap requires meeting transcription and recording. Its documentation describes transcripts and generated notes or tasks in Exchange Online, with recordings in OneDrive or SharePoint for relevant workflows. Microsoft says customer data is not logged or used for model training or testing and describes residency in the organization’s Microsoft 365 region. The page is dated 2023-11-08, so confirm current settings and policy. | Storage in an organization’s region is still remote storage, and retention and access depend on Microsoft 365 configuration. |
| Google Meet “Take notes for me” for in-person meetings | Google says the feature requires an eligible Workspace edition or Google AI plan. Notes are saved in the Drive folder of the user who starts it and follow the organization’s Meet retention policy. | Drive retention and sharing rules determine who can access the notes; eligibility and behavior can change by edition and region. |
These descriptions are vendor documentation. They are useful for mapping a workflow, but they are not independent audits or guarantees that every account configuration behaves identically.
Cloud processing: the retention details that matter
Cloud services often have several data paths. A live browser recording can be handled differently from a mobile recording, a manually uploaded file, or an audio file sent after a failed attempt. Read the product’s rules for each path rather than relying on a single sentence about “the cloud.”
- Live audio: Determine whether it is streamed continuously, buffered locally, or uploaded in chunks.
- Failed processing: Find out whether the service keeps the original audio for retries and for how long. Notion documents up to three days for audio uploaded to reattempt processing in one workflow.
- Successful processing: Confirm whether raw audio is deleted, and whether that deletion includes temporary copies and backups.
- Outputs: A transcript, summary, action-item list, and recording can have different owners, permissions, and retention schedules.
- Subprocessors: Identify which external providers receive audio or text and in which jurisdictions they operate.
- Organization controls: Workspace retention, legal holds, eDiscovery, and administrator access can override an individual’s deletion expectation.
Is one architecture more accurate?
No controlled head-to-head evidence establishes a universal accuracy winner. A local model can be excellent on a capable device, while a cloud model may have a larger or more frequently updated model; those possibilities are not proof of comparative performance.
Salesforce identifies language, speech variation, audio clarity, and background noise as factors that affect voice-recognition accuracy. Google warns that generated summaries can be incomplete, inaccurate, or not generated at all, including when connectivity is poor or a meeting is shorter than its recommended duration. These warnings apply to outcomes, not to a claim that one processing location always performs better.

What to test before relying on notes
- Use representative meetings. Include the languages, accents, specialist terms, names, code words, and speaking styles your team actually uses.
- Vary the acoustics. Test a quiet office, a room with HVAC noise, a laptop microphone, a conference microphone, and remote participants. Speaker overlap should be included.
- Run matched sessions. If comparing products, use the same meeting or two closely matched sessions, with the same speakers and agenda.
- Check the transcript against audio. Mark names, numbers, negations, technical terms, and speaker attribution. A polished-looking paragraph can still contain a critical error.
- Check the summary against the transcript. Verify decisions, owners, deadlines, open questions, and quoted figures. Look for invented commitments and omitted disagreement.
- Test failure and recovery. Disconnect the network, stop a meeting early, close the app, and retry processing. Record what is saved locally and what is uploaded later.
- Repeat enough times to expose variation. One successful demo does not establish reliability across rooms, languages, or meeting lengths.
Improve input audio when practical: a clear microphone can reduce one source of recognition error, but it cannot correct language-model mistakes or guarantee accurate notes.
A practical decision framework
Prefer an on-device-first workflow when
- Meetings contain confidential material and reducing live audio transmission is a primary requirement.
- You can keep recording, transcription, summarization, and storage local, or you have explicitly disabled synchronization.
- Your hardware supports the required model without unacceptable battery, heat, or latency costs.
- Your languages and terminology pass a representative accuracy test.
- Participants understand that a transcript will be created and your policy permits it.
Prefer a cloud workflow when
- Teams need shared notes, centralized administration, cross-device access, or integration with calendars and task systems.
- The service’s account edition, region, and retention controls meet your organization’s requirements.
- Local hardware cannot run the necessary model or does not provide acceptable transcription quality.
- You can document subprocessors, deletion behavior, permissions, and administrator access.
- Connectivity is dependable enough for live processing and recovery from interruptions.
Use a hybrid design when neither extreme fits
A hybrid arrangement might record and transcribe locally, then sync only selected text; use a private inference server for summarization; or keep sensitive meetings entirely offline while using a cloud assistant for routine sessions. Document the exact boundary. Sending a transcript to a server is still a data transfer, even if raw audio never leaves the device.
Requirements and eligibility to verify
Before rollout, check more than the marketing label:

Repair Windows errors before they cause bigger problemsFix Now →Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →- Hardware: processor generation, memory, storage, operating-system version, microphone permissions, battery impact, and supported devices. Salesforce currently identifies M4-or-newer iPads plus specified Android minimums for its in-person assistant; requirements can change.
- Account and edition: Google says its in-person note feature requires an eligible Workspace edition or Google AI plan. Similar edition gates may apply elsewhere.
- Connectivity: Determine whether recording, transcription, saving, and later synchronization each work offline. They may have different requirements.
- Language support: Verify target languages, multilingual meetings, punctuation, speaker labels, and domain vocabulary.
- Administrative controls: Confirm who can enable recording, change retention, export notes, view transcripts, and delete data.
- Storage location: Identify the workspace, drive, mailbox, or local folder receiving each output.
Consent, notice, and governance
A consent prompt is a useful workflow control, but it does not determine the legal requirement in every jurisdiction. Tell participants that recording or AI note-taking is active, explain what will be produced, and provide a way to decline or request that the feature be stopped.

- Smart Voice Enhancement: Eliminate background noise while simultaneously enhancing voices for a professional meeting experience in any environment.
- Plug and Play: Connect via USB-C (includes standard USB adapter) and join meetings in an instant. A wired connection offers a stable and reliable USB speakerphone experience.
- 360° Voice Coverage: A USB speakerphone with 4 high-sensitivity microphones to pick up all voices within 3m in super-high clarity.
- Superior Sound: A 1.75” driver paired with 2 passive bass-radiators adds body and depth to both meeting audio and music.
- What’s In The Box: PowerConf S330 USB Speakerphone, USB-C to USB-A adapter.
Salesforce documentation requires confirmation that participants agree to recording. Notion recommends obtaining participant consent before using AI Meeting Notes. Those product practices should be combined with your organization’s policy, contracts, sector rules, and the laws that apply to everyone in the meeting.
A meeting-notes governance checklist
- Name the meeting owner and the person responsible for deleting or correcting notes.
- Define which meetings are prohibited from automated capture, such as privileged, highly regulated, or personally sensitive discussions.
- Set a retention period for recordings, transcripts, summaries, and exports rather than keeping everything indefinitely.
- Restrict sharing by default and review inherited permissions on workspace pages and cloud drives.
- Document subprocessors, data regions, administrator access, and incident-notification terms.
- Provide a correction process for inaccurate names, decisions, or action items.
- Test deletion, including failed uploads, cached files, synced copies, and recordings.
Common mistakes and how to fix them
Mistake: treating “local” as “no data leaves the device”
Fix: Trace transcript saving, synchronization, exports, crash logs, and offline uploads. Disable sync for meetings that must remain local, if the product permits it.
Mistake: confusing local noise reduction with local transcription
Fix: Read the data path for each feature. Krisp’s documentation, for example, distinguishes locally processed noise cancellation from cloud transcription and cloud-stored recordings.

Best Value
- Built-in AI Noise Reduction: Compared to the base model, G11 pro upgraded AI noise cancellation, effectively eliminates distractions like fan noise, keyboard clicks. It delivers clear, crisp teleconferencing experiences, making it perfect for conference calls, online learning and chatting
- Omnidirectional Conference Mic: Features omnidirectional pickup pattern with a pickup distance of 11.5 ft, making it easy to capture sounds from 360° directions. Highly sensitive pickup ensures participants hear everything clearly. Tips: This is not a speaker
- Effortless Control: Physical volume and monitoring control buttons are built into the microphone body, allowing you to effortlessly adjust both microphone and monitoring volume. Click to adjust volume between 4 levels
- Mute & Monitor: Quickly mute/unmute your microphone by one tap. Built-in 3.5mm jack allows connection of headphones for monitoring. Long press for 3 seconds to enable/disable: Blue-Mic mode, Red-Mute, Purple-Monitoring. Note: Do not connect the 3.5mm jack to external speakers, as this may cause feedback interference
- Plug & Play: Compatible with all operating systems, both Windows and macOS. No additional drivers needed . If there is no response after inserting the mic, please go to the microphone setting of your computer and select the mic as the INPUT device
Mistake: judging accuracy from a quiet demonstration
Fix: Test real languages, accents, overlap, room noise, names, numbers, and technical vocabulary, then audit summaries against the transcript.
Mistake: overlooking storage permissions
Fix: Inspect the destination folder, workspace page, mailbox, or SharePoint/OneDrive location. In Google’s workflow, notes go to the Drive folder of the user who starts the feature; access therefore follows that storage and its policy.
Mistake: assuming offline recording means offline completion
Fix: Test capture, transcription, saving, and synchronization independently. Salesforce documents offline transcript upload when connectivity returns and requires internet for saving.

How to compare two products fairly
- Create a data-flow diagram from microphone to final deletion.
- Record whether audio is processed locally, streamed, uploaded after failure, or sent to subprocessors.
- List every output and its storage owner: transcript, summary, tasks, recording, and exports.
- Capture retention periods and deletion authority for each output and temporary copy.
- Check offline behavior and recovery after interruption.
- Run the matched accuracy test with your actual meetings.
- Review consent prompts, administrator controls, sharing defaults, and organizational approval.
- Recheck feature eligibility, hardware requirements, and documentation before deployment because product behavior and plan availability change.
Bottom-line choice
On-device AI meeting notes are usually the better starting point for minimizing raw-audio exposure, but only when transcripts, summaries, caches, and synchronization are controlled as well. Cloud notes are not automatically unacceptable; they can be appropriate when collaboration and administration outweigh the additional service-side data path and the provider’s retention and access rules are acceptable.
Do not choose based on the word “local” or “cloud,” and do not promise a universal accuracy advantage. Map the full lifecycle, test it with representative speech and meeting conditions, obtain participant agreement, and adopt the workflow whose data handling and error rate your organization can manage.
