A CSV file and those two figures are not enough to identify the cause. Treat the result as a data-integrity problem: preserve the original export, inspect the literal VAT value, check how the parser interpreted the file, and reconcile its output against the supplier’s invoice line by line. Don’t amend an issued invoice or accounting record based only on the parser’s total.

What the figures do—and don’t—tell you

The £917,785 result is dramatically different from the £2,442 invoice total, but that discrepancy alone does not prove a particular parser bug. The cause could only be narrowed down by seeing the CSV text, the parser’s settings or code, and the invoice breakdown. A wrong decimal convention, delimiter, column mapping, or arithmetic transformation are possibilities to investigate, not established explanations.

For a limited arithmetic sense-check, if £2,442 were the net value of a standard UK supply charged at 20% VAT, the VAT would be £488.40. If £2,442 were instead a gross amount inclusive of 20% VAT, the VAT portion would be £407. Those figures are conditional examples, not a determination of the rate or VAT treatment that applies to this invoice.

Trace the value from the original CSV to the parser

  1. Keep the untouched export. Save a copy of the original CSV before opening or re-saving it in spreadsheet software. Work from a separate copy so you can compare any changed representation with the source.
  2. Read the literal VAT field. In the raw CSV text, find the exact row and field the parser treated as VAT. Check the decimal and grouping marks, quotation marks, delimiter, currency symbols, whitespace, and any negative sign. The displayed number in an application may not match the text in the file.
  3. Verify how the parser reads the row. Confirm the intended delimiter, character encoding, decimal convention, and column mapping. Check whether a field was interpreted as a number when it should have remained text, whether the parser selected the wrong column, or whether a transformation multiplied or aggregated values unexpectedly.
  4. Compare source and output row by row. For each relevant invoice line, record the raw CSV value alongside the parsed value. This makes it possible to see whether the problem starts in one field, appears across multiple rows, or only emerges in the total.
  5. Reconcile against the invoice. Compare line descriptions, VAT rates, net amounts, VAT amounts, the gross amount, and total VAT with the supplier’s invoice. HMRC’s guidance on full VAT invoice details is a useful checklist for this comparison: VAT Notice 700 and VAT invoices.

Check whether spreadsheet software changed the CSV

A spreadsheet’s displayed cells are not necessarily a reliable record of the CSV’s original text. HMRC warns that spreadsheet software can reformat CSV data, including removing leading zeros or displaying VAT registration numbers in scientific notation. Its guidance recommends keeping a working spreadsheet copy and creating the CSV from that copy: Using a VAT registration number checker.

That warning establishes a real risk of data being altered or displayed differently; it does not show that spreadsheet software caused this particular VAT total. Compare the literal CSV text with the spreadsheet’s displayed values before settling on an explanation.

If the incorrect amount appears on an issued VAT invoice

Do not treat a parser correction as the whole fix if an invoice has already been issued. HMRC Notice 700 explains how to account for an amount of VAT shown on an invoice that is too high, including correcting it with the customer by issuing a credit note. Check the current guidance and ensure the correction is reflected in the business records before acting: VAT Notice 700. The appropriate action depends on the transaction and circumstances.

What you need for a case-specific diagnosis

To identify why this import produced £917,785, gather the untouched CSV, the relevant parser settings or code, and the invoice’s line-by-line breakdown. Compare the original text, the parsed fields, and the invoice totals; without those artifacts, any single-cause explanation would be speculation.
