For a U.S. federal baseline, record the hours you actually work—not just the hours on your schedule—and correct errors promptly through your employer’s process. The Fair Labor Standards Act (FLSA) does not require a particular timesheet form or a time clock, but covered employers must keep complete and accurate records. State and local laws, employer policies, collective bargaining agreements, and job-specific rules may differ.
What should I put on my timesheet?
Enter the information your employer requires to capture your actual work time, such as the work date, start and end times, and any unpaid meal period. Depending on the system, you may instead enter total hours for each day. Follow your employer’s instructions for job codes, projects, approvals, and corrections.
For FLSA recordkeeping, a covered employer must maintain identifying and payroll information as well as hours worked each day and total hours worked each workweek. The U.S. Department of Labor (DOL) also lists pay basis, regular rate, straight-time and overtime earnings, additions to or deductions from wages, total wages paid, payment date, and pay period. Do I have to clock in and out?
No. The FLSA does not prescribe a particular timekeeping method. A time clock, an electronic timesheet, a paper log, or another system can be used if the employer’s records are complete and accurate. The DOL says, “Any timekeeping plan is acceptable as long as it is complete and accurate.”

For a stable fixed schedule, DOL guidance allows the employer to record the usual schedule and note exceptions when the employee works a different amount. Employees with flexible schedules may report total hours worked each day. A time clock is one possible method, not a federal requirement.
Should I put my scheduled hours or actual hours?
Record actual hours worked. If you work longer or shorter than your scheduled shift, report the actual time rather than changing your entry to match the schedule. DOL guidance says an employer must record actual hours when they differ from the schedule. Use your employer’s procedure to explain an exception or flag a discrepancy.

Do I include my lunch break on my timesheet?
It depends on whether the break is compensable and whether you were relieved of work. Federal law does not require employers to provide lunch or coffee breaks. When an employer offers short rest breaks, usually 5 to 20 minutes, DOL generally treats them as paid work time. A meal period of at least 30 minutes is generally unpaid under federal guidance when you are completely relieved of duties.

How do I record overtime?
Enter all hours worked accurately, including hours beyond your scheduled shift, and make sure the record covers each workday and the workweek. Under the general federal FLSA rule, covered employees who are not exempt from overtime must receive at least 1.5 times their regular rate for hours worked over 40 in a workweek. Coverage and exemption status matter, and state law may require different or additional overtime protections. The threshold is based on the workweek, not simply on a single long day. What should I do if I made a timesheet mistake or missed the deadline?
- Check your employer’s correction process. Follow the instructions in your timekeeping system or employee guidance.
- Tell the right person promptly. Contact your supervisor or payroll contact, identify the date and entry, and provide the accurate hours.
- Keep a note for yourself. Record the hours and when you asked for the correction; retain any confirmation you receive.
Federal sources establish that required records must be accurate, but they do not set one correction form or submission deadline for every workplace. Do not assume that a missed approval deadline makes inaccurate hours correct; ask how to submit a correction.

How long should timesheets be kept?
DOL guidance sets different federal retention periods for different employer records: payroll records generally must be kept for at least three years, while records used to calculate wages—including time cards—generally must be kept for two years. These are employer recordkeeping requirements, not a universal instruction for how long every worker must keep a personal timesheet. Consult Fact Sheet #21 for the record categories.
Can I keep my own timesheet?
Yes. A personal log can help you compare your hours with your pay information or explain a discrepancy, but it does not replace the employer’s recordkeeping responsibilities. The DOL recommends that workers keep their employer’s contact details and a personal record of hours. It also provides free tracking materials, including a timesheet app and a printable work-hours calendar, through its Recordkeeping resources and Recordkeeper Instructions.

For personal tracking, choose a paper or electronic method that is easy to maintain and lets you note schedule deviations, breaks, and corrections. A paid tool is not federally required.
What does the federal baseline not settle?
