To monitor OpenAI API usage, start with the API Platform’s Usage Dashboard; use request-level response details to investigate individual calls, the Usage API for automated activity reports, and the Costs view or exports to reconcile spending. For ChatGPT Enterprise or Edu workspace usage, use the Admin Console instead: those controls are separate from API Platform billing.

The seven methods below are practical ways to monitor activity, investigate costs, and manage spend—not an official OpenAI-defined list. Documentation links reflect OpenAI guidance accessed October 7, 2026.

Choose the right OpenAI usage page

First identify which product you need to monitor. API activity and charges belong in the API Platform. ChatGPT Enterprise and Edu administrators use the workspace Admin Console for its own usage controls and reporting. Do not combine figures from those surfaces unless you have confirmed how the organization’s billing is arranged.

For API activity, open the API Usage Dashboard. Access requires organization owner status or the Usage Dashboard permission. Dashboard dates are displayed in UTC, so convert dates when comparing them with application logs in another time zone.

Seven ways to monitor OpenAI usage

1. Review the Usage Dashboard

Select the organization and reporting period to inspect API usage and costs. The dashboard provides views by API capability and can show current and past billing periods. Treat it as the quickest overview of activity, rather than the only source for invoice reconciliation.

2. Filter usage by project

Use the project selector within the dashboard to isolate one or more projects, or clear the selection to see organization-wide data. This selector is independent of the project selected elsewhere in the API Platform. Project-level views help you allocate activity and keep operational workloads distinct.

3. Inspect usage details for an individual request

For a single API call, examine the usage details in its response. This is useful when diagnosing a request or checking what an application call consumed. Include Playground activity when comparing an application’s logs with dashboard totals: Playground calls also count as API use.

4. Query the organization Usage API

Use the Usage API when you need repeatable, programmatic reporting. It provides granular usage data by endpoint and supports grouping by dimensions such as project, user, API key, or model where available. Before building a report, check the specific endpoint’s time-bucket, grouping, and filter parameters in the reference.

5. Use Costs data to reconcile spend

Usage records answer what activity occurred; Costs data is intended for financial reconciliation. The records can differ slightly because usage and spend represent activity differently. OpenAI recommends the Costs endpoint for reconciling financial data with the billing invoice. In the dashboard, use the Costs tab when the question is what the organization spent, rather than which activity ran.

6. Set project alerts and limits with care

Project monthly spend thresholds and notifications provide useful warning signals, but a project budget alert is a soft threshold: it does not stop API requests. Hard spend limits can block affected requests where available, but enforcement can lag, so spending may slightly exceed the configured limit. A hard cap can interrupt production traffic; choose it with that operational consequence in mind.

7. Export CSV reports or use workspace reporting

For API reporting, export Activity data for usage detail and Cost data for spend analysis. Exports can cover a selected month or month-to-date; for detailed invoice reconciliation, OpenAI’s export guidance recommends grouping cost data by line item. The export documentation also states that detailed API costs stop appearing on Enterprise invoices issued from April 1, 2026, and directs users to the dashboard export flow for that detail.

What to check when a request fails because of usage or spend

Do not treat every quota or limit error as the same problem. Check the API response’s error code; the remedy depends on the condition. OpenAI distinguishes these usage and spend errors from request and token rate limits.

  • organization_usage_limit_exceeded: an approved organization usage limit has been exceeded.
  • organization_spend_limit_exceeded: an organization spend limit has been reached.
  • project_spend_limit_exceeded: a project spend limit has been reached.
  • credit_balance_exhausted: prepaid credits are exhausted.
  • Request or token rate-limit errors: a separate category from the usage and spend conditions above.

Use the error category to investigate the relevant limit or balance rather than assuming a notification changed a budget or restored traffic. OpenAI’s troubleshooting guide covers these cases.
