Managed IT can give a business ongoing technology and cybersecurity support, but hiring a provider does not transfer the business’s responsibility for protecting its systems and information. As AI becomes part of everyday workflows, businesses also need clear rules for approved tools, data access, user training, and human review. The right provider agreement makes those boundaries—and the services being delivered—explicit.
What does a managed IT provider do?
A managed service provider (MSP) delivers technology support under an ongoing contract. Depending on the agreed scope, a provider may operate or secure parts of a business’s technology environment. Outsourced cybersecurity may be provided by an MSP, a managed security service provider (MSSP), or a fractional chief information security officer (CISO). These arrangements are especially common for small businesses that lack the expertise, staff, or budget to build the capability in-house, according to the National Institute of Standards and Technology (NIST).
The label “managed IT” does not tell you what is included. The signed agreement should identify covered systems and users, the work the provider will perform, exclusions, service levels, escalation paths, and response expectations. NIST advises documenting the service level, responsibilities, and expectations in a formal agreement.
Do these 3 things before closing this tab:
1Fix the driver behind crashes, sound loss and screen glitches2Clear out junk files and repair common Windows errors3Scan for outdated or missing drivers - takes under a minuteDo you need an MSP for your small business?
An outside provider may be worth considering if your business cannot reliably manage security and IT operations with its current staff and resources. Start by deciding what outcomes you need—not by choosing a provider based on a broad service label or the lowest quote.

- Define the outcomes. List the cybersecurity goals or requirements the business needs to meet.
- Check relevant experience. Ask about work with businesses of a similar size and in your industry.
- Confirm requirements fit. Discuss the legal, regulatory, and contractual obligations that apply to your organization.
- Compare multiple quotes. Compare what each provider will actually do, not just the price.
- Put the agreement in writing. Make sure services, service levels, responsibilities, and expectations are recorded.
These are NIST’s core selection recommendations. The business remains accountable for its systems and data even when it outsources support. NIST puts it plainly: “You are ultimately responsible for protecting your systems and data.”
How does AI change the managed IT conversation?
AI is not only a software-purchasing decision. It changes how people handle information and how workflows are configured, so businesses should discuss governance, access, data protection, and oversight alongside the tool itself. Microsoft’s June 29, 2026, small-business blog describes a shift from isolated AI use cases toward integrated workflows; that is Microsoft’s perspective, not a universal forecast.

Responsibility is shared between the service provider and the customer, and the division depends on how the AI is deployed. Microsoft’s documentation distinguishes, for example, a managed SaaS service from a custom Azure OpenAI deployment. Microsoft describes itself as responsible for parts of its services, while customers remain responsible for how AI is used in their organizations. Its guidance assigns customers tasks such as setting organizational policies, configuring their environments, managing identities and access, protecting and classifying data, training users, reviewing outputs, and considering applicable compliance requirements. PaaS and custom deployments can also require customers to make additional design, model-selection, integration, and infrastructure decisions. Treat Microsoft’s description as vendor guidance about its own services, not as an independent guarantee.

What security measures should a provider discuss?
Microsoft’s guidance for small and medium businesses recommends discussing a security foundation that includes multifactor authentication, verified access, managed and up-to-date devices, email protection, data protection, and a response plan. It is Microsoft’s recommended starting point, not an exhaustive checklist for every business. Ask which measures are included in the provider’s scope, who operates them, and how exceptions or problems are escalated.

Microsoft 365 Lighthouse as one provider tool
For businesses using Microsoft 365, eligible managed service providers can use Microsoft 365 Lighthouse for multi-tenant management. Microsoft describes features including security baselines, tenant configuration journeys, risk investigation, and device-compliance views. The tool is available to qualifying Cloud Solution Provider partners, and both partner and customer tenants must meet requirements. Microsoft currently says there is no additional cost to use Lighthouse to manage Microsoft 365 services and connected devices; check the current product documentation for eligibility and terms. Lighthouse is one Microsoft-specific example, not a requirement for managed IT.

How should you interpret the cybersecurity statistics?
A Microsoft Cloud Blog post dated June 29, 2026, attributes three figures to a Microsoft Security study conducted in 2024: one in three small and medium businesses had experienced a cyberattack in the prior year, with an average cost of USD 254,445; 94% of surveyed businesses considered cybersecurity critical; and 81% said AI increases the need for stronger controls. These are figures reported by Microsoft, not independently validated estimates for every business. The blog does not provide the original study’s methodology and sample details, so the numbers should not be treated as universally representative.
Where can a small business find a cybersecurity starting point?
NIST’s Cybersecurity Framework 2.0 Quick-Start Guides page lists a small-business guide for organizations with modest or no cybersecurity plans. At the page reviewed, NIST also listed an initial public draft guide on using AI in CSF analysis and reporting, with comments due October 15, 2026. Draft status and deadlines can change; check the page for the current version and status.
