You can streamline everyday work on a Mac with a few built-in tools: use keyboard shortcuts for common commands, Spotlight to find and open items, Shortcuts to automate repeated sequences, and Finder and window-management features to keep work organized. Start with one routine you repeat often; you do not need to automate everything.

Learn a few Mac shortcuts first

These commands are useful across many apps:

  • Command-C copies selected content; Command-V pastes it.
  • Command-Z undoes the last action.
  • Command-S saves the current document in apps that support it.
  • Command-Tab switches between open apps.
  • Command-Space opens Spotlight.

More commands are app-specific. Look beside a command in the app’s menus to see its shortcut, or consult Apple’s Mac keyboard-shortcut guide. Some custom shortcuts can also be added in Keyboard settings. Keyboard behavior can differ by language and layout; if a shortcut fails, check the relevant app menu and your current keyboard layout. Apple explains these variations in Use macOS keyboard shortcuts.

Use Spotlight to find and open things

  1. Press Command-Space to open Spotlight.
  2. Type the name of an app, file, or other item you need.
  3. Review the results and navigate to the match. For a file, check the result before opening it if several items have similar names.
  4. Use an available result action when it fits the task. The actions shown can depend on the item and your macOS version.

Apple’s Spotlight keyboard guide for macOS 26 covers searching and navigating results. Apple’s current guide also describes launching actions and assigning quick keys; available actions can vary, so check the options shown on your Mac rather than assuming every action is present.

Automate a repeated sequence with Shortcuts

Apple describes a shortcut as “a quick way to get one or more tasks done with your apps” in its Shortcuts User Guide for Mac. A shortcut is useful when you regularly perform the same sequence, especially across more than one app.

Example: open the apps you use to start work

  1. Open Shortcuts and create a new shortcut.
  2. Add an Open App action for each app you routinely need at the start of a work session.
  3. Arrange the actions in the order you want, then name the shortcut clearly.
  4. Run it from Shortcuts, or launch it from a supported place such as Spotlight or Finder.

This example opens apps; it does not guarantee that they will be arranged in a particular window layout. The available actions and app integrations depend on the apps and services installed, and some content or services may not be available in every region. Keep files and windows manageable

Use Finder to keep related files easy to locate, with a consistent folder structure and names that make sense to you. For windows, macOS includes window-tiling options and Stage Manager; the exact controls and steps depend on the release you use. Apple’s Mac User Guide is the place to check instructions for your version before relying on a particular menu or gesture.

Choose the lightest tool that fits the task

Adopt one change at a time

  1. Pick a task you repeat often, such as opening the same work apps or finding a frequently used file.
  2. Try the simplest fit: learn a shortcut, search with Spotlight, or create a short automation.
  3. Keep the change if it suits your actual routine; revise or remove it if maintaining it becomes a distraction.
