To verify a professional license, identify the issuing state regulator and credential, then search that regulator’s official database by license number or the holder’s name. Confirm the credential type, jurisdiction, status and identity. For nurses, use Nursys when the relevant board participates. For insurance producers, use the National Insurance Producer Registry (NIPR) Producer Database (PDB) or an eligible report. A missing or unclear record is not proof that someone is unlicensed; check spelling and alternate names, then contact the issuing board.
What license verification actually establishes
A license search answers a specific question: whether a regulator’s record shows a particular credential and its current or historical status. It is not automatically a criminal background check, identity-proofing service or universal verification accepted for every employer, insurer or state.
Before searching, write down three facts:
- Credential: profession and class, such as registered nurse, practical nurse, advanced practice registered nurse or insurance producer.
- Jurisdiction: state, territory or other authority that issued the license.
- Purpose: public status check, hiring/compliance review, monitoring, endorsement to another jurisdiction or a formal report requested by a recipient.
The purpose matters because a free public lookup may not satisfy an endorsement application or an employer’s documentation rule.

Step 1: Find the issuing authority
Occupational licenses normally belong to a particular state or other jurisdiction. Start at the regulator’s official website—not a commercial directory—and look for “License Lookup,” “Verify a License,” “Search for a License” or a profession-specific portal. State interfaces differ. Indiana’s official lookup, for example, offers searches by several fields and advises using less information when you are uncertain; its controls should not be treated as a national standard.

Use the license number first
A license number is usually the least ambiguous search key. Enter it exactly as shown, including any prefix or leading zero. Select the profession and state when the portal asks for them.
Search by name carefully
For a common name, add the profession, city or other permitted field. Try the person’s legal name, former name and likely spelling variants. Some portals support partial-name or wildcard searches; others require an exact match. Do not infer that no result means no license until you have checked these variations.
Step 2: Read and document the result
Match the record to the person and the requested credential before relying on it. Capture the regulator name, URL, retrieval date and the record or downloadable report when the use is employment, contracting, endorsement or an audit.

| Dates | Issue, expiration, renewal, discipline or other dates required by the recipient. |
| Restrictions | Conditions, discipline, practice limits or appointments shown in the official record. |
If two official records conflict, stop and ask the issuing regulator which record controls. Keep the regulator’s contact details from its own website and provide the person’s license number and the date you searched.

Nurse license verification with Nursys
The National Council of State Boards of Nursing (NCSBN) describes Nursys as “the only national database for verification of nurse licensure, discipline and practice privileges for RNs, LPN/VNs and APRNs licensed in participating jurisdictions, including all states in the Nurse Licensure Compact (NLC).” The qualification is important: participation by the relevant board is required.
Choose the service for the purpose
- QuickConfirm: NCSBN describes this as a free employer/recruiter lookup.
- e-Notify: a notification service for participating nurse records.
- Endorsement verification: a separate process used when applying for a license in another state. NCSBN states a fee of $30 per license type, per board for this nurse-license verification; confirm the current amount before ordering.
Do not treat QuickConfirm as interchangeable with an endorsement verification packet. If a board, employer or licensing application specifies a particular Nursys output, order that service and retain its report.
Insurance producer verification with NIPR
Insurance producers have a separate national system. NIPR’s Producer Database (PDB) provides reports across participating jurisdictions. Reports can include producer demographics, licenses, appointments and regulatory actions. The National Association of Insurance Commissioners says PDB information covers all 50 states, the District of Columbia, the U.S. Virgin Islands, Guam and Puerto Rico, with data updated daily by participating state insurance departments.
Access and permissible purpose
NIPR’s detail reports, subscriber batch reports and custom alerts are intended for eligible users that need individual or repeated checks. PDB information is restricted to users with a permissible purpose under the Fair Credit Reporting Act (FCRA). An employer or compliance team should document why its proposed use qualifies before retrieving or distributing a report.

Do not confuse verification with an application
NIPR lists a $5.60 transaction fee in its initial insurance-license application guidance, in addition to state fees. That figure is not a general verification price. NIPR also says states typically take 7 to 10 days to review applications; this is an application estimate, not a universal turnaround for a Producer Report.
Public lookup versus formal verification
A public record can show that a credential appears active on the day you searched. A formal verification report may be required for endorsement, a regulated hiring process, a contract or a recipient’s internal policy. Ask the recipient exactly what it accepts: a screen print, a downloadable report, direct board transmission or a service such as Nursys endorsement verification.
For recurring checks, define a schedule and a data-retention policy. A one-time lookup does not prove the status will remain unchanged; monitoring or regulator notifications may be more appropriate where available.

When the search returns no record
- Recheck the profession and jurisdiction.
- Search by the license number, then by the legal name and former names.
- Remove extra search terms if the portal recommends a broader query; try a supported partial-name or wildcard search.
- Check whether the board participates in a national system such as Nursys.
- Ask the individual for the issuing board and credential details.
- Contact the regulator through its official website and ask it to resolve the discrepancy.
Possible explanations include a recently issued or renewed license, a different name, a nonparticipating board, a record that is not public, an incorrect profession selection or a credential issued by another authority. None alone proves that the person is unlicensed.

Practical employer and compliance checklist
- Define the job’s required credential and jurisdictions before searching.
- Use the regulator or covered national database as the primary source.
- Record the search date, source, search key and result.
- Limit access to people with a legitimate business need.
- Apply FCRA and other applicable privacy, employment and record-retention rules when using PDB or similar reports.
- Give the applicant or license holder a chance to explain a mismatch before making an adverse decision, where applicable law requires it.
- Set a recheck or notification interval for roles where continuing status matters.
Common errors and fixes

Is a license lookup valid in every state?
No. Each jurisdiction controls its own credentials and search rules. Use the issuing authority for the license you need to verify.
Can I use a screenshot as formal proof?
Only if the receiving organization accepts it. Many processes require a downloadable report or direct verification from the regulator.
Does Nursys cover every nurse license?
No. Nursys covers RN, LPN/VN and APRN records in participating jurisdictions. Confirm board participation and the service requested.
