The best electronic signature solution is the one whose features match the risk of the documents you sign and the systems your organization already runs. A feature list alone cannot rank products. Compare each service on six areas: workflow, signer authentication, audit evidence, document integrity, signature type and legal fit, and administration with integrations. Cost and plan limits come last, because they only make sense once the first five are clear.
Start with the signature type you actually need
Most buyers compare products before they decide what kind of signature they need, and that order causes confusion. Three terms are often used interchangeably, but they describe different things.
- Electronic signature (e-signature): a basic signing method. Adobe’s signature-type guide describes it as “a basic form of signature that often includes low or no additional signer identification beyond an email address.” That is Adobe’s explanation, not a universal legal definition, but it shows what an ordinary e-signature workflow usually offers. - Certificate-based digital signature: a signature made with a digital ID and certificate. Adobe’s digital-signature overview says the certificate identifies the signer and safeguards document integrity, and it lists validation, change tracking, permissions, and timestamps as capabilities. Those properties belong to the digital-signature functionality described on that page. A basic e-signature workflow does not automatically have them. (Adobe digital-signature overview)
- Qualified electronic signature (QES): under EU law, a signature backed by a certificate from an accredited qualified trust service provider (QTSP). Adobe’s compliance overview explains this category, and it sits above both of the types above in assurance. (Adobe compliance overview)
If your documents are routine, such as NDAs, order forms, or HR acknowledgements, an ordinary e-signature with solid audit evidence is often enough. If a document must meet a defined formality, such as a regulated filing or a contract with a required identity standard, you need to know which category the law requires before you look at any feature.

Workflow features decide whether a signing process takes minutes or stalls in someone’s inbox. Check these before you look at anything else:

- Routing for multiple signers: whether you can set a signing order, parallel signing, or both, and whether a later signer sees earlier fields.
- Templates and form fields: reusable documents with pre-placed signature, date, initial, and text fields. Without them, every send becomes manual preparation.
- Reminders and expiry: automatic follow-ups and deadlines for outstanding signatures.
- Status visibility: real-time tracking of who has opened, signed, or declined. DocuSign’s UK feature page describes real-time transaction status and reporting. Adobe describes sending, signing, tracking, and managing documents through browser and mobile environments.
- Exports and reporting: whether you can export completed documents and transaction data for finance, legal, or compliance teams.
- Bulk sending and mobile signing: needed if you send one agreement to many recipients or if signers work mostly on phones.
Availability of these items often depends on the plan. Confirm each one against the plan you would buy, not the marketing page.
Signer authentication: match the check to the risk
Authentication answers the question “is the person signing really the person named on the document?” Providers offer a range of methods, and each one adds signer steps. More verification generally means more friction, so pick the lightest method that fits the transaction.

The methods above are the options providers describe. Adobe distinguishes basic from stronger identification methods, and DocuSign describes phone and government-ID options on its features page. Confirm which methods a given plan and region support before you rely on them.
Audit evidence and document integrity
After signing, you need a record that shows what happened and whether the document changed afterward. Look for these items:

- Time-stamped event history: each send, view, sign, and decline, with times.
- Completion certificate: a summary page or file that accompanies the signed document. DocuSign describes this as a certificate of completion.
- Tamper seal or document hash: a mechanism that makes later changes detectable. DocuSign describes PKI tamper seals. Dropbox Sign describes hashing of records, and its audit-trail help says executed requests include a lookup identifier and a PDF hash.
- Exportable, retainable records: the ability to download evidence and keep it under your own retention policy.
One exception matters for small teams. Dropbox Help states that a self-signed “Just Me” document does not include an audit trail, so a single-user signing workflow may leave you with less evidence than you expect. (Dropbox Sign audit-trail help)
These records document events and show integrity. They do not by themselves establish that a signature is legally effective for a particular transaction. That depends on the jurisdiction, the document type, and the parties’ agreement.
Legal fit: jurisdiction and transaction scope
Vendors often cite the laws they are designed to support, but a citation is not a guarantee. The providers reviewed for this guide reference different frameworks:

- Adobe’s compliance overview names PDF/ISO 32000, the Cloud Signature Consortium, OpenID Connect, and Public Key Infrastructure as relevant standards, and discusses timestamps and long-term validation. (Adobe compliance overview)
Treat these as inputs to due diligence. Standards support helps, but it does not prove that a specific workflow meets a specific law or internal policy. For regulated or high-value transactions, get legal or compliance review of the exact document and jurisdiction.

Integrations and administration
For organizations, the signing tool has to fit into existing systems. Check the following:
- Document repository and productivity suite: whether signed files return to your storage or email system without manual downloads. Adobe’s security overview describes integrations and APIs for business systems, including Microsoft 365.
- CRM, HR, or line-of-business platforms: whether sending can be triggered from the system where the agreement originates.
- Roles and admin controls: who can create templates, see all transactions, and change account settings.
- Identity management: SSO and user provisioning if you manage many accounts. Adobe’s security overview lists identity management among its controls.
- APIs: needed if signing is part of a product you build or a process you automate.
Integration support is not uniform across plans. Ask the vendor to confirm the specific connector or API you need on the plan you would buy.
Cost and operations: verify directly
Pricing changes often, and the sources behind this guide did not verify current comparative prices or precise plan limits. Instead, build a quote around the configuration you need. Include expected transaction volume, number of seats, identity checks (each check may carry its own cost), storage, retention period, support level, and workflow automation. Ask each vendor to price that exact configuration in writing.
A practical comparison process
- Classify your documents. List the document types, the parties, and the jurisdictions involved. Mark which documents carry a legal formality.
- Set the signature type. Decide whether ordinary e-signatures are enough, or whether you need certificate-based digital signatures or a QES for some documents.
- Pick the authentication level per document type. Use the lightest method that meets the risk, and avoid applying the strongest check to every document.
- Test the evidence output. Sign a sample document and inspect the event history, completion certificate, and exported files. Confirm they contain what your records policy requires.
- Check integrations and admin roles. Confirm the connectors, APIs, and SSO options on the plan you are considering.
- Request a written quote for the configuration from step 1 through step 5.
Provider examples: dimensions to compare, not a ranking
The three services below are commonly compared. The vendor documentation reviewed here describes features, but it does not establish that any one product is best overall, and it does not show that vendor features guarantee enforceability.

Adobe Acrobat Sign
Adobe presents its enterprise offering as a hosted service with the widest set of documented standards and certificate-based options. Its security overview is the most detailed of the three in the areas of integrations and document integrity, but it leaves plan-specific availability for you to confirm.
DocuSign eSignature
DocuSign’s UK feature page is strongest on verification options and reporting. Its regulatory references are regional, so UK and EU buyers should check which frameworks apply to their documents.
Dropbox Sign
Dropbox Sign documents its hashing and audit-trail behavior in some detail. Its single-user exception is the detail most likely to matter to a freelancer or small business, so check it against your own workflow.

Which features matter most for your case
A small team sending standard contracts should prioritize templates, reminders, status visibility, and an audit trail that it can export. An enterprise with HR, sales, and legal teams should weigh integrations, roles, SSO, and authentication options that differ by document. An organization that handles EU or UK agreements with formal requirements should put signature type and regional legal fit at the top of the list, and should not accept a general claim of legal validity in place of a review of the specific transaction.

Current plan limits, pricing, data retention, data residency, certifications, and partner-program terms change over time. Confirm each of them directly with the vendor before you commit.
Vendor pages were reviewed as provider descriptions, not as independent tests, so they show what each service says it does rather than how it performs in your environment.
