Improve IT automation by choosing stable, repetitive work, defining what success means, standardizing inputs, building in controls and testing, and giving people clear responsibility for maintaining it. Automating an inconsistent process can make errors happen faster; reliable automation starts with the work and the operating model, not a tool purchase.
1. Choose a process that is ready to automate
Start with work that is repetitive, predictable, and bounded enough to describe clearly. Examples might include routine account or access tasks, recurring system checks, or predictable steps in an operational response. The specific fit depends on your systems, risk, and process.
Map the current workflow before automating it. Identify its inputs, decisions, exceptions, handoffs, and failure points. If staff handle the same request in different ways, or the process relies on undocumented judgment, first reduce that variation or decide how exceptions should be handled. Otherwise, the automation may reproduce existing problems at higher speed.

Digital.gov’s federal RPA Playbook treats process selection, assessment, and improvement as core program capabilities. For security automation, the Australian Cyber Security Centre (ACSC) likewise recommends defining organizational goals, risks, and requirements before establishing SIEM/SOAR capability. These are useful principles beyond those specific contexts, but the ACSC guidance is aimed primarily at government and critical-infrastructure organizations. 2. Define success, scope, and ownership
Decide what the workflow should improve before implementation. Depending on the task, that could mean fewer manual handoffs, more consistent completion, faster response, or better service health. Choose measures that reflect the actual goal and risks; there is no universal KPI set that fits every automation.
Assign an operational owner who can interpret the measures, investigate failures, and coordinate changes. Also define who may approve changes and who is accountable for the workflow’s outcome. Digital.gov identifies management reporting and business-value measurement as RPA program capabilities. AWS reliability guidance offers a cloud-workload example of the controls involved: monitoring logs and metrics, alerting on thresholds, limiting who can change workloads, and auditing change history. 3. Standardize inputs, logs, and integrations
Automations are only as dependable as the information and interfaces they receive. Document expected input formats, required fields, system dependencies, and what should happen when data is missing or inconsistent. Where systems exchange information, make the handoff explicit and maintainable rather than relying on undocumented assumptions.

Establishing a baseline of normal activity can help teams identify meaningful deviations. The ACSC discusses SIEM and SOAR as approaches for security logging and response, not as mandatory purchases for every organization; it also points to alternatives, including CISA’s no-cost open-source Logging Made Easy for some small and medium organizations. 4. Build governance, testing, and recovery into the workflow
Automate actions only when their conditions and effects are sufficiently understood. Specify which actions are permitted, what requires human approval, and how the workflow should stop or recover when an expected condition is absent. Restrict change permissions to appropriate roles and keep an auditable record of changes and outcomes.
Test normal paths as well as exceptions and failure cases before expanding use. Monitor behavior after release, review logs and relevant metrics, and set alerts for conditions that call for investigation. AWS recommends controlled changes, monitoring, and change-history auditing for workload reliability; this is a cloud guidance example rather than a universal policy. For SIEM/SOAR, the ACSC calls for regular testing and improvement and cautions that these platforms are not a set-and-forget deployment. 5. Develop the operating model before scaling
Automation needs people who can configure, monitor, maintain, and improve it. Plan for the skills and responsibilities involved, including infrastructure, security and credential policies, scheduling, capacity, licensing where relevant, monitoring, and error correction. Digital.gov lists these as program capabilities for federal RPA initiatives.

Scale only what works, and keep judgment with people
Use a successful, monitored workflow as the basis for expansion only when its assumptions, controls, and support requirements also apply to the next use case. Security playbooks can streamline routine response actions, but the ACSC says they do not replace human incident responders. Keep people responsible for decisions that depend on context, uncertain evidence, or significant consequences. ACSC practitioner guidance.
The NSA’s July 10, 2024 Zero Trust release similarly recommends automation and orchestration for repetitive, labor-intensive, predictable tasks involving critical functions and access control.
