Usually, no. All-lowercase prose is not the normal professional default for workplace messages or email. Sentence case—capitalizing the first word of each sentence, proper nouns, acronyms and official names—gives readers the predictable structure they expect in business writing.
Lowercase is still correct in specific places, including URLs, email addresses and names that an organization officially styles that way. A close team may also agree to use a relaxed convention in an informal chat. Outside those circumstances, unexplained lowercase can look casual, make scanning harder and risk being read as careless, especially in a client email, application, escalation or executive update.
What professional capitalization looks like
Professional writing is less about sounding formal at every moment than about making meaning easy to recognize. Capital letters provide visual signals: they mark where a sentence begins, distinguish a person or organization from an ordinary noun, and preserve established abbreviations. The safest baseline is sentence case.
Microsoft’s capitalization checklist, updated January 8, 2025, explicitly says to capitalize the first word of a sentence and proper nouns and warns, “Don’t use all lowercase as a design choice.” The Microsoft Style Guide (September 6, 2019) defines its standard the same way: everything is lowercase except the first word and proper nouns, including brands, products and services. The OECD Style Guide, Fourth Edition (August 25, 2025), likewise connects correct capitalization with clarity and consistency and cautions that excessive capitalization can hurt readability.

These are conventions, not a promise that every reader will judge every lowercase message harshly. The available guidance explains why sentence case is easier to read and more consistent; it does not establish a universal, measured penalty in response rates, trust or perceived competence. Treat sentence case as the dependable default, then follow a documented local style when one exists.
Is it unprofessional to write emails in lowercase?
For a normal work email, all-lowercase sentences are a risky choice. They remove two cues readers use to parse a message quickly: the capital at the beginning of a sentence and the capitals that identify names. That matters when someone is skimming on a phone, searching for an action, or reading a long thread with several speakers and projects.
Compare the visual signals in these openings:
- Professional default: “Hi Jordan, I’m sending the revised project timeline. The design review is scheduled for Thursday.”
- All lowercase: “hi jordan, i’m sending the revised project timeline. the design review is scheduled for thursday.”
The second version is understandable, but it suppresses the distinction between a greeting, a person’s name and the start of a new thought. A recipient may interpret that choice as a deliberate chat style, or simply as an unfinished edit. Neither interpretation helps when the email asks for approval, records a decision or represents your organization externally.

Use normal capitalization in the greeting, body, sign-off and any quoted material you have edited for clarity. If a quotation must preserve its original casing, leave the quotation unchanged and explain the context when necessary.
Can I use all lowercase at work?
Yes, but only when the context makes the convention intentional and low-risk. A private team chat can use a relaxed style if the group has clearly adopted it. An engineering team might also preserve a tool, command or product name exactly as documented. Those are contextual decisions, not evidence that lowercase is suitable everywhere.
| Situation | Safer default | When a lowercase convention can work | Main risk |
|---|---|---|---|
| Client or customer email | Sentence case throughout | Only an explicit company style that still protects names and sentence boundaries | The recipient may read the message as careless or overly casual |
| Executive update or escalation | Sentence case, clear headings and lists | Rarely; follow the organization’s written standard | Important decisions become harder to scan |
| Job application or cover letter | Sentence case and standard proper nouns | None unless the employer explicitly requests otherwise | Looks like a formatting or proofreading failure |
| Close internal team chat | Sentence case until the team agrees on another style | A deliberately informal channel with shared expectations | The style may leak into a formal channel or be misread by a new colleague |
| Code, commands and URLs | Preserve the syntax exactly | Lowercase may be required by the system | Changing case can break a command or link |
| Product or organization with official lowercase styling | Capitalize the surrounding sentence; preserve the official name | Use the owner’s documented styling | “Correcting” the name can create a factual or branding error |
When you are unsure, write the first message in sentence case. It is easier for a team to relax a formal-looking message than to recover from a style that a reader interpreted as dismissive or sloppy.
Sentence case: the rules to apply
Capitalize the first word of every sentence
Start after a period, question mark or exclamation mark with a capital letter. Do the same after a bullet that is a complete sentence. Microsoft’s guide says to “always capitalize the first word of a new sentence.” This rule applies in short replies as well as long reports.

Capitalize proper nouns and official names
Use the established capitalization for people, companies, teams, places, products, services, named events and official departments. Write “Jordan Lee,” “Finance,” “Thursday,” and the official product name rather than treating them as ordinary lowercase words. If an organization’s own style page uses an unusual form, copy that form instead of normalizing it.
Keep ordinary words lowercase
Sentence case is not title case. In a heading such as “Project timeline for next week,” only “Project” is capitalized unless another word is a proper noun. Capitalizing every important-looking noun creates visual noise and conflicts with the sentence-style guidance used by Microsoft, Google and government style teams.
Preserve acronyms and initialisms
Use established forms such as “HR,” “API,” “Q4” or an internally defined abbreviation. Do not convert an acronym to lowercase merely to make a line look uniform. If the term is unfamiliar, spell it out on first use and keep the official short form afterward.
Respect officially lowercase names
Some products, services and organizations intentionally use a lowercase name. Preserve that styling when you refer to the name itself, but still capitalize the surrounding sentence: “The team approved the [officially lowercase name] integration.” The lowercase name is an exception for the name, not a reason to write the whole sentence in lowercase.

Are email subject lines supposed to be sentence case?
Sentence case is the most broadly compatible default for subject lines. It lets readers recognize the subject quickly without making every word compete for attention. A useful subject is specific about the action, decision or information required.
| Style | Example | Use |
|---|---|---|
| Sentence case (default) | Decision needed on Q4 hiring plan | Most internal and external work email |
| All lowercase | decision needed on q4 hiring plan | Only an explicitly informal convention |
| Title case | Decision Needed on Q4 Hiring Plan | A documented house style or a publication that specifically requires it |
Keep acronyms, numbers and official names intact in a subject line. A subject such as “API deprecation: response needed by Thursday” follows sentence case while retaining the acronym and the proper noun. If your employer’s template or brand guide specifies title case, follow that written rule consistently; do not alternate styles from message to message.
Where lowercase is correct
URLs and email addresses
Addresses normally appear in their technical form, often lowercase. The U.S. General Services Administration recommends lowercase for URLs and email addresses in most cases. Do not add a capital letter merely because the address appears at the start of a sentence; changing a case-sensitive path can make a link fail.

Commands, file names and code
Technical syntax is governed by the system, not by prose conventions. Preserve the exact capitalization of a command, file name, variable, API endpoint or configuration key. Put code in a code style or code block when needed so readers can distinguish it from the surrounding sentence.

Use the owner’s spelling for a name that is intentionally lowercase. Explain the term normally around it, and do not force a capital that the organization does not use.
Quoted or user-generated text
A support ticket, log entry or quotation may be all lowercase because that is how it was supplied. Preserve the original when accuracy matters, but introduce it with normal prose and do not let the quoted style spread to your explanation.
How to make a casual email sound professional
You do not need to make a friendly message stiff. Keep the warm wording and improve the signals that help a recipient act on it.
- Write a specific subject. State the decision, deliverable or date, using sentence case.
- Open with a clear greeting. Capitalize the person’s name and choose “Hi,” “Hello” or another greeting that fits your relationship.
- Put the request first. In the first paragraph, say what you are sending or asking for and include the relevant deadline.
- Use short paragraphs or bullets. Give each paragraph one job; turn several independent actions into a list.
- Capitalize names, acronyms and dates correctly. Check people, departments, products, days, months and quarters.
- Close with an explicit next step. Tell the recipient whether you need approval, comments, a meeting or no action.
- Proofread the visible fields. Check the subject, greeting, headings, list labels, attachment names and signature as well as the body.
For example:
Before: “hi priya, can you look at the launch checklist? i added the accessibility notes and need comments by tuesday. thanks!”
After: “Hi Priya, can you review the launch checklist? I added the accessibility notes and need comments by Tuesday. Thanks!”
The revision keeps the same friendly request. It adds sentence boundaries, preserves the person’s name and makes the deadline easier to spot.

Editing an all-lowercase draft: a reliable order
When a draft is already written, editing in a fixed sequence prevents missed names and accidental changes to technical text.
- Protect technical strings. Temporarily mark URLs, email addresses, commands, file names, code and quoted text that must retain exact case.
- Fix sentence starts. Capitalize the first word after each sentence-ending mark, including the first word after a line break when it begins a new sentence.
- Correct proper nouns. Check people, organizations, departments, places, products, services, named events and days or months.
- Restore acronyms and initialisms. Compare each short form with the organization’s terminology list or the source document.
- Review headings and lists. Convert ordinary headings and labels to sentence case unless the house style calls for another convention.
- Check official lowercase names. Put back any intentional lowercase styling you removed, while keeping the surrounding sentence standard.
- Read for tone and action. Capitalization fixes mechanics; it does not replace a clear request, useful context or a respectful close.
- Inspect the rendered message. Make sure automatic formatting has not changed a URL, attachment name or code sample.
Do not use an indiscriminate “capitalize every word” command as a substitute for editing. It creates title case, incorrectly capitalizes ordinary nouns and can damage technical strings.

Why readability and accessibility favor a consistent default
The UK Government Commercial Agency notes that text casing affects readability and defines sentence case as capitalizing the first letter of the first word while leaving other words lowercase except proper nouns. Google’s developer documentation similarly recommends standard American English capitalization and sentence case for titles, lists, captions, labels and table elements. The U.S. General Services Administration advises sentence case rather than title case or all caps.
Sentence case gives a mixed-case pattern that helps readers locate sentence boundaries and names. This is useful for people scanning quickly, reading on a small screen, or relying on predictable visual structure. It does not solve every accessibility problem: plain language, meaningful headings, sufficient contrast, descriptive links and logical order still matter. But consistent casing removes an avoidable barrier.
The Oregon Department of Administrative Services, updated May 2026, describes sentence case as acceptable for informal documents such as emails and warns that unnecessary capitalization can distract from readability. That guidance supports a practical balance: use a readable standard even in casual communication, then let the relationship and channel control warmth, brevity and punctuation.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone. How audience and channel change the decision
Choose a casing style by considering the reader’s expectations, the cost of misunderstanding and the employer’s written standard. The same sentence can be acceptable in one channel and risky in another.

Fix the driver behind crashes, sound loss and screen glitchesFind Drivers →Clear out junk files and repair common Windows errorsFree Scan →- External or unfamiliar readers: Use sentence case. They do not share your team’s assumptions about informal styling.
- Clients, vendors and applicants: Use sentence case in every visible field. These messages may be forwarded or stored as a record.
- Executives and decision records: Use sentence case, descriptive headings and scannable lists so the action and owner stand out.
- Established internal peers: You may mirror a documented team convention after confirming that it will not be confused with a formal message.
- Public posts or community channels: Follow the publication’s style guide. If none exists, sentence case remains the least surprising choice.
- Mixed audiences: Write for the most formal reader who may reasonably receive or forward the message.
Never assume that a recipient who uses lowercase in a personal profile wants the same style in a contract discussion, incident report or hiring process. Match the channel’s purpose, not an individual’s social-media habit.

Common mistakes and how to fix them
Confusing sentence case with title case
“Project Timeline For Next Week” capitalizes ordinary words that do not need capitals. Use “Project timeline for next week” unless a house style explicitly requires title case.
Capitalizing every word in a sentence
“The Design Team Will Review The Plan” is harder to scan and can look like a pasted heading. Capitalize only the first word, proper nouns and official terms.
Lowercasing an acronym
Changing “API,” “HR” or “Q4” to “api,” “hr” or “q4” can make a recognized term look like a typo. Check the organization’s official usage.
“Correcting” an official name
If a product or organization intentionally uses lowercase, preserve that name. Capitalize the sentence around it instead of rewriting the name itself.
Changing a URL or address
Leave technical addresses in their normal form. A visual preference is not a reason to risk a broken link or undelivered message.
Relying on capitalization to repair an unclear message
A perfectly cased email can still fail if it hides the request. State the action, owner, deadline and supporting detail in plain language.
Letting an informal chat style spread
A lowercase team channel can influence habits. Before copying that style into an external email, escalation note or application, convert the message to the professional default and proofread names and headings.
What the guidance does—and does not—prove
Microsoft, the OECD, the UK Government Commercial Agency, the U.S. General Services Administration, Google and Oregon’s administrative-services guidance converge on sentence case for clarity, consistency and readability. EBSCO’s workplace-writing instruction describes all-lowercase writing as difficult to read and highly unprofessional in business contexts.
These materials are style guidance and instructional advice, not a controlled experiment. They support a strong convention but do not provide a verified percentage for how many recipients respond, how much competence ratings change or how often lowercase causes a misunderstanding. Avoid promises such as “lowercase emails reduce replies by a specific amount.” The defensible claim is narrower: sentence case aligns with widely used professional standards and gives readers clearer visual structure.
A quick decision checklist
- Is this going to a client, executive, applicant, customer or unfamiliar reader? If yes, use sentence case.
- Does every sentence begin with a capital letter?
- Are people, organizations, departments, places, products, services and named events capitalized according to their official forms?
- Are acronyms and initialisms preserved?
- Are ordinary words in headings and subject lines lowercase?
- Did you leave URLs, email addresses, commands and file names in their required form?
- Does any official lowercase name remain exactly as its owner writes it?
- Does your employer have a documented house style that overrides the default?
- Could the message be forwarded into a more formal context?
- Can the recipient identify the action, owner and deadline without rereading?
If the answers are yes, your casing is unlikely to distract from the substance of the message. If one answer is no, fix that item before sending rather than relying on the recipient to infer your intent.
