IMAP and POP3 both let an email app retrieve messages from a mailbox, but they handle those messages in fundamentally different ways.
IMAP keeps the mailbox on the server and synchronizes changes across devices. POP3 mainly downloads messages to one email app, usually for local storage. For most people using Gmail, Outlook.com, or a work mailbox on multiple devices, IMAP—or the provider’s modern Exchange or Google sign-in option—is the better choice. POP3 still makes sense when one computer should hold the primary local archive.

The important distinction is not simply “online versus offline.” IMAP can store substantial message data locally for offline use. The difference is which copy remains the authoritative mailbox and whether actions are synchronized with the server.

How IMAP works
With IMAP, an email app connects to the server and presents the server mailbox. It may download headers, message bodies, and attachments into a local cache, but the server retains the mailbox structure and message state.

For example, if you read a message on your phone, an IMAP client can synchronize that message as read. Your desktop app and webmail can then show the same state. The same applies to actions such as:
- Moving a message from Inbox to a server folder
- Deleting or archiving a message
- Marking a message read or unread
- Applying a label or tag where the provider supports it
- Creating, renaming, or deleting folders
- Viewing messages in Sent, Drafts, and other server-side folders
Synchronization is not always identical between providers. Gmail labels, for instance, do not map perfectly to ordinary folders, and some clients expose Gmail’s system labels in their own way. Nevertheless, IMAP is built for a shared mailbox used by several clients.
IMAP’s practical advantages
- Use the same mailbox everywhere: Webmail, a phone, a laptop, and a second desktop can show broadly consistent content.
- Less risk when a device fails: Messages normally remain on the provider’s server.
- Server-side organization: Folders and message status are available to other IMAP clients.
- Selective downloading: Many clients can display senders and subjects before retrieving a complete message.
IMAP does not eliminate local storage. A client may cache the entire mailbox, selected folders, or recent messages. If you need messages available without an internet connection, check the client’s offline or synchronization settings.
How POP3 works
POP3—Post Office Protocol version 3—was designed primarily to retrieve mail from a server to a local email program. In a typical setup, the client checks one server mailbox, downloads new messages, and stores them in a local Inbox.
POP3 does not synchronize the provider’s folder tree with local folders. Leaving a copy on the server changes what happens to downloaded messages; it does not turn POP3 into IMAP.
Whether the server copy is deleted depends on the client and provider settings. A POP3 account can usually be configured to:
- Delete the server copy after download
- Leave the server copy in place
- Delete the server copy after a specified number of days
That flexibility is the reason the claim “POP3 always deletes your email” is wrong. The more accurate warning is that POP3 is not a two-way synchronization protocol, so server copies, local copies, and read or deleted states can diverge.

POP3’s practical advantages
- One-computer archives: Mail can be downloaded and retained locally.
- Reduced server storage: Removing messages from the server can help with a small mailbox quota.
- Simple retrieval: It is suitable when only incoming mail from one mailbox is needed.
- Local control: A user can maintain a large local archive independently of the provider’s folder system.
POP3 becomes awkward when you use webmail or another device. If a desktop downloads and removes messages, the phone may never see them. If the desktop leaves copies online, each client can develop a different view of what has been read, filed, or deleted.
Which one should you use?
Choose IMAP when:
- You check the account on a phone and computer.
- You use webmail as well as an email app.
- You need Sent, Drafts, archive, and custom folders available across devices.
- Read, unread, deleted, and moved states should remain consistent.
- You want the provider’s server to retain the primary mailbox.
- More than one person or email application accesses the same mailbox.
This covers the normal Gmail, Outlook.com, and business-email scenario. If your provider offers a dedicated account type—such as Google’s “Sign in with Google” flow or Outlook’s Exchange connection—that may be preferable to manually configuring plain IMAP because it supports the provider’s current authentication and additional features.
Choose POP3 when:
- One computer is the main place where mail will be read and archived.
- You specifically want a local copy as the primary working archive.
- Your provider has limited server storage.
- You do not need server folders or synchronized read and deletion status.
- The account is an old mailbox used only to feed one desktop application.
Before choosing POP3, decide whether the client should leave messages on the server. If another device must access them, leaving copies online is usually necessary—but it still will not synchronize folders or message state.
Gmail settings that can change the result
For a personal Gmail account, IMAP is now always enabled. Google removed the Enable IMAP and Disable IMAP choice beginning in January 2025. The settings page remains at Gmail → Settings → See all settings → Forwarding and POP/IMAP, but a personal account may not show the old IMAP on/off control. A Google Workspace administrator can restrict POP or IMAP, so a work account may behave differently.

- Gmail in a browser.
- Settings → See all settings → Forwarding and POP/IMAP.
- Under When messages are accessed with POP, select keep Gmail’s copy in the Inbox, archive Gmail’s copy, delete Gmail’s copy, or mark Gmail’s copy as read.
- Click Save Changes.
Gmail has a less obvious POP rule: it treats a message as downloaded when the client sends the POP3 RETR command. If the session ends normally with QUIT, Gmail marks that message as “popped” even if the client never sends DELE. Consequently, a second normal-mode POP client may not receive older messages that another client already retrieved.
Gmail normally offers the next oldest 250 unpopped conversations at a time, so a large mailbox can require several retrieval cycles. The setting Enable POP for mail that arrives from now on also does not download existing mail: it treats older messages as already popped and supplies only future messages.
Gmail’s recent mode is a special case for multiple POP clients. It exposes messages from All Mail, excluding Spam and Trash, from the previous 30 days. Every client using recent mode must be configured to leave messages on the server. If it sends the POP3 DELE command, Gmail moves the message to Trash regardless of the general POP choice.

If previously downloaded messages need to become available again, use Gmail → Settings → See all settings → Forwarding and POP/IMAP → Enable POP for all mail → Save Changes. Gmail clears the popped status and makes the oldest 250 messages available again in normal POP mode.

If an IMAP client is slow or crashes
Large Gmail folders can overwhelm an older email app during its first synchronization. Gmail provides a folder-size option at Forwarding and POP/IMAP → IMAP access → Folder size limits. Enable Limit IMAP folders to contain no more than this many messages, choose a maximum, and save the change. This can reduce the amount a client tries to download at once.
Server settings and authentication
IMAP and POP3 retrieve incoming mail. Neither sends it. Outgoing mail uses SMTP, so a manual setup normally requires an incoming server, an incoming port, an encryption method, and a separate SMTP server configuration.
For Exchange Online, Microsoft documents these settings:

Do not assume these names work for every provider. Microsoft’s generic patterns—imap.service.com, pop.service.com, and smtp.service.com—are only examples. Use the provider’s documented values.
Authentication is now as important as the server name. Gmail directs users to Sign in with Google rather than typing a Google password directly into a third-party client. An old app may show Username and password not accepted, Invalid credentials, or repeatedly ask for the password even when it is correct.
For Outlook.com, old Outlook releases and certain older builds do not support the required Modern Authentication. Microsoft lists Outlook 2007, 2010, 2013, Outlook 2016 MSI, and Outlook 2019 LTSC among versions without Modern Authentication support for Outlook.com; releases below build 11601.10000 are also affected. In that situation, switching from POP3 to IMAP alone may not fix the login. Add the account through the modern Outlook or Exchange sign-in flow instead.

In Thunderbird, inspect the protocol at ≡ → Account Settings → Server Settings. For an Outlook.com or Hotmail.com account, set Authentication method → OAuth2. Then open Outgoing Server (SMTP), select the account, choose Edit…, set its authentication method to OAuth2, and select OK. Removing and re-adding the account can also let Thunderbird detect the current Microsoft authentication and server settings automatically.

IMAP and POP3 are email-access protocols, not complete replacements for a provider’s native account connection. Exchange Online access through POP3 or IMAP provides basic email and offline access, but not the richer calendar, contacts, and related features available through Outlook, Exchange synchronization, or Outlook on the web.

In Exchange Online, Microsoft Entra security defaults automatically disable POP3 and IMAP4, and disabling Basic Authentication blocks legacy connections. A user may therefore have correct server settings and still be unable to connect because the administrator has disabled the protocol.
Gmail also limits an account to up to 15 simultaneous email clients. The error Too many simultaneous connections can occur when many phones, desktop apps, browser sessions, or repeated connections are active. Closing unused clients and reducing aggressive synchronization can help.
How to switch safely
- Check what is already downloaded. Export or back up the local POP mailbox before changing settings.
- Stop the old account from deleting mail. Set POP to leave copies on the server if the mailbox still needs to be accessed elsewhere.
- Confirm the provider’s server-side mailbox. Use webmail to verify that important messages, Sent mail, and folders are present.
- Add the account as IMAP or the provider’s native account type. Prefer Google or Microsoft’s current sign-in flow over storing a password in an old client.
- Do not immediately delete the old local data. Keep it until the new account has finished syncing and you have checked several folders.
- Watch for duplicates. Importing a local POP archive into an IMAP account can create duplicate messages or upload a large amount of mail.
Changing an existing account from POP3 to IMAP is not always a simple toggle. Many applications create separate account data stores. The safer approach is to preserve the old local store, add the new account, and move or copy messages deliberately after confirming the server has enough storage.
Bottom line
Use IMAP for almost any mailbox used on more than one device. It keeps the server mailbox, folders, and message state aligned while still allowing local caching and offline reading.

FAQ
Is IMAP better than POP3?
For most users, yes. IMAP is better when an account is accessed from multiple devices or webmail because folders, read status, moves, and deletions can synchronize. POP3 is better for a one-computer local archive.
Does POP3 delete email from the server?
Not inherently. The email client or provider can be configured to leave messages on the server, delete them, archive them, or apply another rule. Leaving a copy online does not provide IMAP-style synchronization.
Can I use IMAP offline?
Yes. Email clients commonly cache or download messages for offline use. When the connection returns, the client can synchronize changes with the server.

Can I use both IMAP and POP3 on the same account?
Technically, often yes, but it can cause confusing results. POP3 may mark messages as retrieved, move or delete server copies, or leave a second client without older mail. Use one protocol consistently unless you have a specific migration or archive plan.
Why can’t my Gmail client enable IMAP?
For personal Gmail accounts, Google removed the Enable IMAP/Disable IMAP setting beginning in January 2025; IMAP is always enabled. If the account is Google Workspace, an administrator may have restricted IMAP or POP access. Authentication or client compatibility can also be the actual problem.
Do IMAP and POP3 send email?
No. Both retrieve incoming mail. Sending uses SMTP, which has its own server name, port, encryption, and authentication settings.
The Bottom Line
Pick IMAP if you want one mailbox that stays consistent across your phone, computer, and webmail. Pick POP3 only when downloading mail to one computer and keeping a local archive is the main goal. For Gmail and Outlook.com, also prioritize the provider’s current Google or Microsoft authentication method; changing protocols will not repair an obsolete login method by itself.
