Use an Excel worksheet as your application data source and a Word Mail Merge letter as your reusable template. Word can then fill company names, job titles, salutations and tailored paragraphs for each row, while you still verify every claim and recipient before sending.
What the Excel-and-Word method actually does
Word Mail Merge creates a batch of letters that share the same layout, formatting, text and graphics. Personalized parts change for each record. Excel supplies those records: one row per application and one column per field. Word substitutes the matching values when it generates the letters.
This is automation of field substitution and document output, not automation of judgment. You remain responsible for choosing an honest achievement, checking the hiring manager’s name and deciding whether the resulting paragraph is persuasive for that employer.

Set up the Excel application tracker
Use one clear header row
Make row 1 the header row. Every header must be unique because Word uses the header text as the merge-field name. Do not leave blank rows inside the data range.

Give each application one row
Each subsequent row should represent one application or recipient. A practical cover-letter table can include these columns:

Save the workbook before connecting it to Word. Keep spellings, capitalization and punctuation in the worksheet exactly as you want them to appear in the finished letters. A separate row for each job also lets you update your tracker and content bank without retyping the fixed parts of the letter.

Create the reusable Word cover-letter template
- Open a new Word document and write the stable parts of the letter: your contact block, date line, opening structure, body transitions and closing.
- Choose Mailings > Start Mail Merge > Letters.
- Choose Mailings > Select Recipients > Use an Existing List (the wording may appear as Use an existing list), browse to the saved Excel workbook and select the worksheet containing your records.
- Click where a variable value belongs, then choose Mailings > Insert Merge Field. Insert fields such as
Company,Role,HiringManager,WhyThisCompanyandRelevantAchievement.
For standard address or greeting data, Word also provides Address Block and Greeting Line tools. A dedicated Salutation field is often more controllable for applications because you can store the complete wording you want, such as “Dear Jordan Lee,” and avoid having to correct a generic greeting later.
Build useful personalization without making a form letter
Keep the document’s structure stable, but make the variable fields carry evidence rather than only labels. For example, a sentence can include the Company and Role fields in the opening, then place WhyThisCompany in a paragraph explaining the employer-specific motivation. Put a concise, truthful result in RelevantAchievement rather than a vague adjective.

Write each variable paragraph as a complete piece of prose in Excel. Check that the text still reads naturally when inserted next to the fixed sentences, and keep the same tense and point of view across rows. If one job requires a materially different argument, use a manually edited letter instead of forcing that application into the shared template.
Preview every record before producing letters
- Choose Mailings > Preview Results.
- Use the next-record controls to move through every application.
- Check the company, role, hiring manager, salutation, job ID and tailored paragraphs in each preview.
- Look for awkward spacing, doubled punctuation, missing values and claims that do not match the specific job.
Previewing is essential because a technically successful merge can still produce an incorrect name or an unsuitable paragraph. Treat each preview as a final editorial review, not as a quick glance at the first record.

Finish, edit and send the merged letters
When the previews are correct, choose Mailings > Finish & Merge. Word lets you edit individual documents, print documents or send messages. For cover letters, editing individual documents is useful when one application needs a final adjustment while the rest retain the shared format.

Saving preserves its connection to the Excel mailing list for reuse. When you reopen it, Word may ask whether to keep the connection; retain it if the worksheet is still the source you want. If you intentionally moved or renamed the workbook, reconnect the correct file before merging.

Manual copying versus Mail Merge

Mail Merge is the better fit when many applications share a defined structure and set of fields. A manually edited document may be simpler for a single, highly bespoke application whose argument does not fit the shared template.
Common failure points and fixes
Word cannot identify the fields
Check that the first row contains unique headers, that there are no blank rows in the table and that the workbook was saved before you selected it. Reconnect the worksheet from Mailings > Select Recipients if you chose the wrong tab.
A value is missing or appears in the wrong place
Return to the Excel row and verify that the cell is populated and that the header spelling matches the field you inserted. Then preview that record again.
The letter sounds generic
Replace generic filler with a row-specific WhyThisCompany or RelevantAchievement paragraph. The merge can place tailored text, but it cannot decide whether your reasoning is credible.
The wrong person or company appears
Stop the merge, correct the source row and preview every affected record. Never send a batch based only on the first preview.
