I had 47 tabs open during an incident, and I could feel my attention splintering: one tab for the dashboard, another for chat, several for logs and runbooks, and more for questions I meant to revisit. The number is my own incident memory, not a benchmark. What stuck with me was how hard it became to tell what mattered now, who was doing what, and where the latest status lived.
The fix is not a magic tab limit. It is a prepared way to coordinate: keep current incident state in one shared record, make ownership explicit, and agree on how updates will reach the people who need them.
An incident is a coordination problem, too
Mitigating the technical fault is only part of responding. People must also decide who is leading, assign work, share reliable updates, and preserve what has happened so far. Google’s incident response guidance treats response as a structured practice, not an improvised scramble around a technical symptom.

A shared record does not eliminate technical complexity, but it gives the team a common place to establish what is known, what is being tried, and what remains unresolved.

Use a small, prepared coordination pattern
Google’s incident-management guide and SRE book chapter on managing incidents describe role separation, communication, and a live incident document as parts of a workable response. For a small team, the pattern can be lightweight; the important thing is to decide it before an alert.
One incident channel
Choose a designated channel for coordination and status updates. Make it clear where responders should join and where interested stakeholders can get updates, so critical decisions do not depend on finding the right private conversation.

One live incident record
Keep a shared document or record that captures the current summary, impact, timeline, decisions, active tasks, owners, and next update. Link to detailed logs or dashboards from that record rather than relying on everyone to discover and interpret the same collection of tabs. Update the record as understanding changes; it should reflect the current state, not merely become a transcript of chat.

Name who is coordinating the response, who is handling operational investigation or mitigation, and who is responsible for communications. Google’s incident-management material separates incident command, operations, and communications responsibilities, with work delegated as the response grows. In a small incident, one person may cover more than one function, but say so plainly; for each active task, identify an owner and what outcome or update is expected.

A known update rhythm
Agree on where updates go and how often they are expected, including when there is no major change. A predictable cadence helps stakeholders avoid repeatedly interrupting responders for status and gives the team a prompt to refresh its shared record. Set the interval and audience to fit the incident rather than treating one schedule as universal.
Rehearse before the next alert
Google’s SRE Workbook guidance emphasizes practice and defined coordination. A response process is easier to follow under pressure when people already know how to declare an incident, open the channel and record, assign roles, and send updates.

Run a short scenario with the people likely to respond. Check that participants can find the right channel and template, that ownership is unambiguous, and that a handoff leaves the record understandable to someone joining late. Adjust the process when the exercise exposes a gap; do not wait for a real outage to discover that access or expectations are unclear.

Use tools the team can already operate
For security recovery in particular, Microsoft’s incident response overview recommends using capabilities in tools already deployed before introducing and learning a new tool. It also cautions that tools purchased in the pressure of an incident may go unused afterward.

That does not mean a dedicated incident-management platform is never useful. If you are evaluating tooling, compare whether it provides shared incident state, visible progress, clear accountability, and a standard way to communicate—and whether the team can operate it with the tools and access it already has. Microsoft’s incident-management practice guidance supports tracking, accountability, and consistent communication as goals. Start by checking what your organization already uses and can reliably access during an incident.
Preserve the record and improve the process
After the incident, retain the live record so the team can use it for review and postmortem analysis. Google’s incident-management guidance connects documentation with learning after an event. Review what helped, where coordination stalled, and which process or system changes would reduce the chance of the same problem recurring. Add those changes to the work queue with owners, rather than leaving them as observations in a document.
