HTML email looks different across inboxes because email clients do not share one rendering engine or one set of rules. Classic Outlook for Windows is a particular challenge: it processes HTML with a Word-based engine that has limited support for standard CSS spacing. The most dependable approach is a readable table-based baseline, inline styles for essential presentation, narrowly targeted Outlook fallbacks, and testing in the clients and appearance modes your readers actually use.
Why does HTML email look different in Outlook?
Email clients interpret and transform HTML and CSS differently. Classic Outlook for Windows uses a Word-based HTML processing engine; Microsoft’s Customer Insights documentation says it has limited support for standard CSS margins and padding on HTML elements. A layout that depends on those properties may therefore lose spacing or behave unlike it does in a browser.
Microsoft recommends putting spacing on layout table cells in its Customer Insights custom-HTML guidance. WooCommerce developer guidance and the NSW Email Toolkit likewise recommend table-based layouts and inline CSS for Outlook desktop. These are compatibility techniques, not a guarantee that every version of Outlook or every other client will display the message identically.

“Outlook” is not one uniform target. Classic Outlook for Windows, Outlook on the web, Outlook.com, and Outlook mobile can differ. Microsoft’s Customer Insights troubleshooting documentation, for example, discusses Outlook Classic and Outlook mobile separately, including cases where responsive table layouts may not reflow as expected in mobile and where iOS Outlook requires th elements for responsive table layouts. Treat those as client-specific observations, and verify the versions and devices relevant to your audience.

What layout approach is most reliable?
Begin with markup that remains understandable and usable without advanced CSS. Use tables for the main structure where needed, set explicit widths on layout tables and cells, and inline the styles essential to layout and readability. Nested tables can provide more predictable structure in clients with limited layout support. Keep semantic content and reading order sensible rather than relying on visual positioning alone.
- Use table-cell padding for spacing. Do not make essential gaps depend on CSS margins that classic Outlook may not support reliably.
- Set dimensions deliberately. Explicit table and cell widths can help prevent unexpected sizing in Outlook for Windows.
- Inline critical styles. Keep the styles needed for core layout and legibility on the elements they affect.
- Plan graceful fallbacks. If a client ignores a decorative effect, the message should still be clear and usable.
The NSW Email Toolkit notes that Outlook desktop lacks support for flexbox, grid, and some CSS shorthand, reinforcing why a modern web-page layout should not be assumed to transfer intact to email. A table-based baseline may add markup, but it is easier to reason about than a design whose basic readability depends on unsupported layout behavior.

How do MSO conditional comments target Outlook?
MSO conditional comments let an author include markup intended for Microsoft Office-based rendering, such as classic Outlook for Windows, while leaving other clients with the ordinary HTML version. They are best used for small, bounded corrections rather than as a second complete email.

For example, the default layout can remain a nested-table design while a conditional block supplies a particular Outlook-only adjustment. Keep the standard version useful for clients that do not process the conditional block. Build and send the generated message, not just the source template, and make sure any minification or optimization step does not remove comments your Outlook fallback relies on. The NSW Email Toolkit specifically warns to preserve conditional comments in its framework workflow.

Some visual features need a more specialized fallback. WooCommerce and the NSW toolkit identify VML as a possible Outlook-specific technique for elements such as background images or rounded corners. Use it only when the feature warrants the added complexity, and provide a simpler non-Outlook version. An MSO/VML solution is targeted compatibility markup, not a universal rendering fix.
Why does dark mode change email colors?
“Dark-mode support” can mean two different things: providing authored dark styles for clients that honor them, or making the email remain legible when a client automatically recolors it. A client may honor some authored styles, recolor colors itself, or behave differently depending on its app and platform. Microsoft says dark-mode color changes vary by client and are expected client behavior.

Apple’s WWDC19 session on supporting dark mode in web content describes using a declared color scheme and prefers-color-scheme to provide custom colors and images for rich marketing messages. It distinguishes those messages from simple email messages that Mail may auto-darken. Better Email’s guide describes Apple Mail as applying authored dark styles, some Gmail apps as repainting messages, and Outlook variants as falling between those behaviors. Client behavior can change, so treat those descriptions as guidance for testing rather than a promise about every release.
Protect logos, images, and contrast
Check how the message looks when backgrounds and text colors change. A transparent dark logo that works on a light background can disappear against a dark canvas; a background image may not provide the contrast that text needs. Better Email’s forced-dark preview guidance says images are not recolored in the behaviors it describes, so inspect image and transparent-asset combinations directly in previews and real target clients.

Better Email also reports that, since September 2026, Gmail on a Google account reads <meta name="color-scheme" content="light only"> as an opt-out from its recoloring. The guide says this does not cause Gmail to apply authored dark styles. This recent behavior is reported by Better Email and is not independently confirmed here against Google documentation; do not rely on it without checking current Gmail behavior for the accounts and clients you support.
How should you test an HTML email?
Previewing only in a browser or one inbox is not enough. The NSW Email Toolkit recommends checking Outlook desktop, Gmail web and mobile, Apple Mail on macOS and iOS, Outlook.com, and Yahoo Mail. Prioritize the client and device combinations that matter for your audience, and inspect both light and dark appearances wherever available. Litmus and Email on Acid are examples of services the toolkit names for cross-client previews.
- Inspect the generated HTML. Check that critical styles are inlined, table dimensions are present, and required MSO comments survived your build or sending pipeline.
- Send an actual test message. Review the delivered message in the target apps and devices; a source preview alone cannot show every client transformation.
- Compare key rendering details. Check spacing, table widths, backgrounds, buttons, fallback fonts, images, and the result when images are blocked.
- Check light and dark appearances. Look for weak contrast, invisible logos, unexpected background changes, and text placed over images.
- Review accessibility and meaning. Check semantic structure, reading order, and useful alt text for informative images.
- Repeat after changes. Re-test after edits to the template, styles, or sending pipeline, since any of them can affect the delivered HTML.
No single preview replaces checking the clients you support. A conservative baseline limits how much each client can distort, while targeted fallbacks address known exceptions without making the whole message depend on one rendering path.
