Windows has two related but separate ways to use AI with files: semantic search in Windows Search can help find a file from a description, while the Copilot app on Windows is the documented way to ask questions about file contents. Typing a question into taskbar search does not necessarily open a chat about a document.
Which Windows AI feature should you use?

Find related files with Windows Search
Improved semantic Windows Search is available on Copilot+ PCs. It combines semantic indexing with traditional indexing, so a descriptive search can find related material rather than relying solely on exact word matches. Results depend on whether the relevant location and file type are indexed; a description is not a guarantee that every file will appear.
- Check that your PC is eligible. Microsoft identifies Copilot+ PCs as the device class for improved semantic search.
- Review the indexed locations. Open Settings > Privacy & security > Searching Windows. Check whether search is set to Classic or Enhanced and whether the folders you need are included. Classic indexes Documents, Pictures, Music, and the desktop by default; Enhanced includes a broader scope. Available options can vary by Windows build. - Allow the index to finish preparing. The indexing status appears at Settings > Privacy & security > Searching Windows. Microsoft recommends keeping a Copilot+ PC plugged in during initial indexing.
- Search with a description. Try describing the topic, wording, or image you remember, rather than entering only an exact filename. Semantic indexing can help surface related results, but it does not promise a match for every query or file.
- Troubleshoot missing document content. Confirm that the file’s folder is in the search scope, its format is supported, and its file type is indexed for content rather than properties alone.
Formats supported by semantic indexing
Microsoft lists these formats for Windows semantic indexing:

- Documents: .txt, .pdf, .docx, .doc, .rtf, .pptx, .ppt, .xls, and .xlsx.

Language coverage
Improved semantic search is optimized for English (US, Canada, Australia, and Great Britain), French (France and Canada), German (Germany), Spanish (Spain and Mexico), Japanese (Japan), and Simplified Chinese. Other language combinations may still return traditional lexical matches rather than semantic results.
What happens to the semantic index?
Microsoft says Windows semantic-indexing data stays on the PC, or in Cloud PC storage on AI-enabled Windows 365 devices; it says the data is not stored by Microsoft or used to train AI models. Installed apps may be able to read the index, so consider which software you install and trust. This privacy statement concerns Windows semantic indexing; it should not be assumed to describe every Copilot conversation or Copilot feature.

Ask Copilot about a file’s contents
Use the Copilot app when you want to locate a file and ask what it says. Microsoft says its file-search capability can include files synced from OneDrive on the device. It supports most file types for searching, and lists .docx, .xlsx, .pptx, .txt, .pdf, and .json as readable formats.

- Open the Copilot app on Windows.
- Ask Copilot to find or open the file, or ask a question about its contents. Questions about content require a readable format; searching a file and reading its contents are not the same capability.
- To control access, open Account > Settings > File Search and File Read in Copilot and adjust the relevant options. Microsoft describes the capability and controls in its Copilot on Windows support page.
Use AI-enhanced search to find a Windows setting
If you are trying to change a Windows option rather than find a document, use search in Settings. On Copilot+ PCs, Windows can interpret a description of a problem or desired change to help locate a setting. This is a separate settings-finding experience, not a way to chat with a file. Quick fixes when a file does not appear
- Windows Search returns no content match: Check the search scope, indexing status, supported format, and whether the file type is configured for content indexing.
- A descriptive search behaves like ordinary keyword search: Improved semantic search is for Copilot+ PCs, supports specific language combinations, and may not produce a semantic match for every query.
- Copilot finds a file but cannot answer about it: Check whether the format is among the readable types Microsoft lists and whether File Search and File Read access is enabled.
- A OneDrive file is missing: Copilot’s file-search capability can include synced OneDrive files on the device; the documentation does not establish that every online-only file is available as local file content.
