Use Google Docs smart chips to turn a project brief into a connected working document. Type @ (or choose Insert > Smart chips), select a person, file, date, Calendar event, place, task, or supported app item, and keep the related context beside the project notes. A chip is a contextual link and preview—not a permission grant and not a replacement for Drive sharing or a full project-management system.

What smart chips add to a project document

A normal hyperlink tells readers where to click. A smart chip also labels what the linked item is and can expose a useful preview when someone hovers over or selects it. In a project document, that means the overview can point directly to the working plan, budget, tracker, meeting, owner, deadline, or job location without forcing readers to search Drive or Calendar.

Google Docs supports chips for people, files, dates, Calendar events, and places. Docs also includes lightweight coordination features such as tasks, dropdowns, time trackers, placeholders, and project-oriented building blocks. Availability can vary by account, device, Workspace settings, and installed integrations, so treat optional chip types as features to verify rather than promises that every user will see the same menu.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Smart chips work best as an information layer inside a document. Use headings and plain labels to explain why each chip matters, use Drive and Calendar controls to grant access, and keep a dedicated project system when you need dependencies, reporting, automation, or portfolio-level control.

Prepare the project overview before inserting chips

Start with one overview document that gives a new collaborator enough orientation to continue without opening several unrelated files. Add a short project title, owner, current status, and a brief outcome statement at the top. Then create headings for the relationships you expect to maintain.

  • People: decision makers, reviewers, subject-matter owners, and the person coordinating the work.
  • Source files: the primary plan, budget, requirements, tracker, research, and deliverables.
  • Milestones: dates that define approval, launch, handoff, or other meaningful checkpoints.
  • Meetings: recurring reviews, workshops, or the next decision meeting.
  • Location: an office, venue, customer site, or other place relevant to the work.
  • Open tasks: small assignments that can be completed without leaving the document.

Put a plain label before each chip, such as “Owner,” “Budget,” or “Design review.” The label preserves meaning when a reader does not open the preview and makes the document scannable when several chips appear on one line.

Insert a smart chip from the @ menu

  1. Open the project document on a computer and place the cursor where the chip should appear.
  2. Type @. Docs opens a suggestion menu.
  3. Continue typing a person’s name or email, a file name, a related keyword, a date expression, or another supported item. Typing more characters narrows the results.
  4. Select the intended result. The selected item becomes a chip in the document.
  5. Hover over or click the chip to inspect its preview and available actions. Confirm that it points to the exact item you intended, especially when similarly named files or people appear.

You can also use the menu route Insert > Smart chips. This is useful when you want to browse chip categories instead of remembering a trigger. The exact categories shown depend on the account and enabled integrations.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Use each chip type for the project context it exposes

File chips for plans, trackers, and deliverables

Type @, then enter a file name or words associated with it. Select the Google Docs, Sheets, or Slides file that belongs in the project record. A file chip is useful for a primary plan, a budget spreadsheet, a risk tracker, a presentation, or a final deliverable.

Choose files by their role, not just by a vague keyword. “Current launch plan” is safer than selecting the first result containing “launch.” If your team uses similar names, add the document’s purpose in the surrounding text and keep a consistent naming convention in Drive.

After inserting a file chip, open its preview and verify the destination. Then check the file’s sharing settings separately. A chip can point to a restricted file; it does not make that file readable to everyone who can read the overview.

People chips for ownership and review responsibility

Type @ and begin entering a person’s name or email address. Select the matching account. You can also use @me to select the current user. Place the chip beside a role such as “Project owner,” “Approver,” or “Content reviewer,” so the mention has a clear purpose.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A people chip identifies someone in the document, but mentioning that person does not automatically share the document with them. Use the document’s Share controls to grant the appropriate viewer, commenter, or editor access. If the person also needs a linked plan or tracker, verify permissions on each linked file independently.

Date chips for milestones and deadlines

Docs accepts date-oriented entries such as @today, @tomorrow, @yesterday, @date, a specific date, and relative expressions such as @next Tuesday. Select the date suggestion to insert it as a chip, then place it beside a milestone label such as “Requirements approved” or “Customer handoff.”

Date chips display in the language of the person who inserted them. Google’s screen-reader help says they appear the same to collaborators in all time zones, so use an explicit event or written time zone when a deadline depends on a particular clock time rather than a calendar date.

Calendar event chips for meetings

Use a Calendar event chip when the useful reference is a meeting rather than a standalone date. Insert it from the @ menu or the smart-chip insertion menu, select the intended event, and keep it under a “Meetings” heading or beside a decision that the meeting will address.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The chip can expose event information. When an event has a video meeting that is starting soon or is already underway, its popup can provide a join action. Readers still need permission to view the event and any linked meeting service; the chip does not override Calendar access rules.

Place chips for field work and venues

On a computer, choose Insert > Smart chips > Place, or type @. and enter an address or place name. Select the intended suggestion. You can also paste a Google Maps link into Docs and press Tab to convert it to a place chip.

A place chip can open the location in Maps, show a preview in the Docs side panel, or help a reader find directions. Add a plain description such as “Installation site” or “Workshop venue” so the location’s role is obvious. Confirm the selected result when several businesses or addresses have similar names.

Task chips for small assigned work items

Choose Insert > Smart chips > Task to create a task when that option is available. Give it a concise title, assign an individual, and add a completion date. Docs describes tasks as collaborative work items that can track status, an assignee, and a date.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Tasks are suitable for focused actions such as “Confirm legal wording” or “Upload the approved logo.” Use a project-tracking building block or a dedicated tracker when you need many dependencies, recurring work, workload reporting, or a history of changes. A task inside one document should not be presented as a complete project-management system.

AppSheet chips for an embedded app view

An AppSheet smart chip can show a card-based view of an app inside Docs. The documented setup requires the AppSheet for Google Docs add-on. The app must be shared with the relevant users or domains, and public access is not supported; users must sign in.

Before placing one in a project overview, confirm that every intended reader can install or use the add-on, sign in, and access the app. If those conditions are not met, use a file chip or ordinary explanatory text instead of leaving readers with an unusable embedded view.

Third-party chips from other applications

Third-party chips depend on the application developer enabling the integration and on the user or domain administrator installing its add-on. Without the add-on, a reader may see a chip but not receive the richer hover information.

What’s actually slowing this PC down?

Pick the symptom - the matching free tool is one click away.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

Do not promise a particular third-party chip to an entire team until the Workspace administrator has confirmed that the integration is enabled. Document the required add-on and sign-in path near the chip if external collaborators will use the file.

Choose the chip by context, action, and setup

Chip type Project context surfaced Typical action from the chip Access or setup to verify
Person Owner, reviewer, assignee, or stakeholder Identify the account and open its available details Share the Docs file separately; a mention is not permission
File Docs, Sheets, Slides, plans, budgets, trackers, or deliverables Open or preview the linked file Collaborators need access to the underlying file
Date Milestone, deadline, or reference date View the date in the document Use a Calendar event when meeting details or a join action is needed
Calendar event Meeting, review, workshop, or decision session Inspect event information and, when available, join an imminent video meeting Readers need access to the event and meeting link
Place Office, venue, customer site, or field location Open Maps, preview the place, or get directions Check that the selected place is the correct result
Task Small assigned action with a due date View or update the task’s status and details Feature availability and assignee account must be supported
AppSheet or third-party Embedded app card or external application context Open the supported app view or richer preview Required add-on, integration enablement, sharing, and sign-in

A practical workflow for organizing a project document

  1. Create the overview. Add the project title, owner, status, objective, and the date the overview was last updated.
  2. Link core files. Under “Source files,” add chips for the primary plan, budget, tracker, requirements, and current deliverables. Search by filename or a distinctive keyword, then verify every destination.
  3. Identify responsibilities. Under “People,” add people chips beside ownership, approval, review, and escalation roles. Use Drive sharing to give each person the access level required for the overview and linked files.
  4. Record milestones. Add date chips for approvals, handoffs, launches, and other decision points. If a milestone depends on a meeting, use a Calendar event chip instead of duplicating the event title as plain text.
  5. Add coordination items. Create task chips for a small number of clear actions. Include an assignee and completion date, and use a project-tracking building block or external tracker for larger work breakdowns.
  6. Add location context. For field work or in-person sessions, insert a place chip under “Location.” Check the Maps result before publishing the overview.
  7. Test as a collaborator. Ask a representative reader to open the overview and each linked resource. Fix requests for access, missing add-ons, ambiguous file names, and chips that expose less information than expected.
  8. Maintain the structure. Keep headings stable, remove obsolete chips, update status and dates, and replace links when a project moves to a new plan or tracker. The document remains useful only if its relationships stay current.

Permissions: what chips do not do

Smart chips display relationships; they do not change authorization. A person chip does not share the overview. A file chip does not grant access to the linked Doc, Sheet, or Slide. A Calendar event chip does not bypass event visibility. An AppSheet chip does not make an app public, and third-party chips do not remove add-on or sign-in requirements.

Use the Share button in Docs and the sharing controls for every linked resource. For a handoff, check the actual audience rather than assuming that everyone who can see the overview can see its dependencies. If a collaborator reports an access error, open the underlying item directly and inspect its audience, link-sharing mode, organization restrictions, and account being used.

Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Support on Ko-Fi

Keep the document usable for people who do not open previews

  • Write the role before the chip: “Budget tracker,” “Decision owner,” or “Next review.”
  • Use one chip for one relationship instead of placing a dense, unexplained row of icons in a paragraph.
  • Keep stable project facts in text headings and lists; use chips for the item that needs to be opened or inspected.
  • Use a date chip for a date and a Calendar event chip for a meeting so readers do not confuse a deadline with an appointment.
  • Prefer the exact file or place result and remove stale chips when a resource is archived or replaced.
  • Do not hide critical instructions only inside a preview. State the required action in the document itself.

Troubleshoot missing results, previews, and actions

The @ menu does not show the item

Type more of the person’s name, email, filename, or related keyword. Check spelling and confirm that you are signed in to the account that can discover the item. For optional app chips, verify that the required add-on and integration are installed and enabled for your user or domain.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

The chip appears, but the reader cannot open it

Inspect sharing on the underlying file, Calendar event, app, or document. Grant the appropriate access through the resource’s own controls, or move the resource to an audience that is permitted by your organization. Do not assume that changing the overview’s sharing setting changes a linked item.

A person was mentioned but did not receive access

This is expected behavior. A people chip is an identification feature, not a sharing action. Share the Docs file directly and confirm the person is using the account that was granted access.

The place chip points to the wrong location

Delete the incorrect chip and insert a new one with a fuller address or distinctive place name. Open the Maps preview before distributing the document, especially when multiple locations share a business name.

An AppSheet or third-party chip has no rich preview

Confirm the relevant add-on is installed, the integration is enabled by the developer or administrator, and the user is signed in with an account allowed to access the app. If those conditions cannot be met, replace the chip with a file link or a plain-language explanation.

Special offer. See more information about Outbyte and uninstall instructions. Please review EULA and Privacy policy.

A task feature is unavailable

Feature availability can depend on the Docs environment and Workspace configuration. Use a heading and checklist for simple coordination, or link the team’s established tracker with a file chip when task creation is not offered.

When smart chips are the right tool—and when they are not

Use smart chips when the project already lives in Google Workspace and readers benefit from seeing the relationship between a summary and its source material. They reduce navigation friction, make ownership and dates visible, and let a brief carry meeting or location context without copying all of the underlying details.

Do not treat chips as an information architecture by themselves. A document with inconsistent headings, unclear filenames, and outdated permissions will remain difficult to use even if every line contains a chip. For complex programs, use the appropriate project-management or work-tracking system for dependencies, capacity, automation, reporting, and audit history, then link that system’s canonical files or views from the overview.

Review the official Google Docs Editors Help instructions for your account context when a menu label differs. The computer insertion workflow, place chips, AppSheet chips, and third-party chips have separate documented prerequisites, and administrator policies can change what appears in a particular Workspace.
