The safest workflow is to keep your Obsidian vault untouched, move a bounded copy of the notes into Google’s file layer, clean the working document, then use Gemini in Google Docs first to build an evidence-linked index and only afterward to produce a summary. This preserves your Markdown originals while giving you a reviewable, collaborative result.
What this workflow does—and what it does not
Obsidian stores notes as Markdown files. Google Docs can open or import those files, and Gemini in Docs can reorganize, summarize, rewrite, and compare information from the document and selected Drive files. The result is useful for turning meeting notes, research fragments, or a project folder into an outline and executive summary.
It is not a one-click vault conversion. Formatting can change, Gemini can miss a source or attribute a detail to a file it did not directly use, and a generated sentence may be an inference rather than a statement in your notes. Treat the Obsidian vault as the source of truth and the Google document as a working copy.
Before you begin
Choose a bounded note set
Select only the notes needed for one job: a project, meeting series, research question, or topic. A focused set gives Gemini clearer context and makes checking each claim practical. Do not upload an entire vault unless you have a specific reason and know that your account can handle the volume.

Protect the originals
Copy or export the Markdown files before importing them. Keep the original vault unchanged; conversion or formatting loss should never be able to damage it. Keep a folder containing the copied notes, the generated outline, the prompt you used, and the final summary.
Check account and access requirements
Gemini is Google’s AI assistant built into Docs and other Workspace editors. An eligible Google Workspace or Google AI plan is required for Gemini features, and your organization may control access. You also need permission to open the source files in Drive. If a note is inaccessible to your account, Gemini cannot use it reliably.
Understand availability and cost
Gemini access is tied to the eligible Google Workspace or Google AI plan on the account. Google’s documentation does not establish one universal price or guarantee that every account has the same controls, so check the plan and administrator settings that apply to you. Do not assume that seeing a Gemini button means every source or feature is enabled. A team may also need permission to use Drive files, even when members can open the main document.

Route 1: open a Markdown file from Docs
- Open Google Docs.
- Choose File > Open > Upload.
- Select the copied
.mdfile from your computer. - Review the opened file before making edits.
This route is convenient for a small set of files. Repeat it for each copied note you need, or combine the notes into a single working document after checking the formatting.
Route 2: upload through Drive
- Upload the copied Markdown files to Google Drive.
- Right-click a file and choose Open with > Google Docs.
- Use the resulting document as a working copy and keep the uploaded Markdown available as a reference.
Drive is usually easier when several people need access or when the files will become Gemini sources.
Route 3: paste Markdown into an open Doc
- Open a Google Doc.
- Copy the Markdown text from Obsidian or a text editor.
- Choose Paste from Markdown.
This is useful for assembling a selected set of notes into one controlled document. Add a heading and source label before each note so you can trace later claims.
Choose a route by the job
Use direct opening when you are inspecting one file and want to retain its Markdown identity. Use Drive when the files must be shared or repeatedly selected as Gemini sources. Use paste when you need a single, deliberately ordered working document. None of these routes should replace the copied files you retained for comparison.

Choose Markdown mode or a converted Google Doc
Google’s current Markdown editor can open and edit an .md file while keeping the file’s Markdown type. That is the better choice when preserving plain-text portability matters. A converted or pasted Google Doc is better when the deliverable needs comments, polished formatting, sharing, and simultaneous editing.
| Working format | Best for | Important behavior |
|---|---|---|
| Markdown file | Keeping a portable, editable Markdown source | Remains an .md file; some Google-specific formatting does not survive |
| Converted or pasted Google Doc | Collaboration, comments, review, and a polished report | Formatting is easier to edit, but conversion may alter Markdown structure |
In Markdown mode, smart chips become text or links. HTML formatting becomes plain text, and font colors, highlights, and alignment can be removed. Check tables, callouts, links, metadata, and nested lists before asking Gemini to interpret the material.
Inspect the elements most likely to change
- Links: Confirm that destinations and visible labels still match.
- Callouts: Check whether the callout heading and body are now ordinary text.
- Tables: Compare row and column order with the Markdown source.
- Metadata: Retain dates, tags, and front-matter values in a visible source label if they matter to the task.
- Nested lists: Make sure indentation still communicates parent and child items.
If an element is important evidence, leave the original Markdown beside the working copy and refer to it during verification rather than trusting a visual conversion.

Normalize the working document before using AI
Gemini’s output improves when the input has visible boundaries and consistent labels. Do this cleanup in the working copy, not in the vault.
Do these 3 things before closing this tab:
1Repair Windows errors before they cause bigger problems2Scan for outdated or missing drivers - takes under a minute3Clear out junk files and repair common Windows errors- Give every note a clear heading using its title.
- Add a short source label, such as the original filename and note date.
- Separate unrelated notes with a heading or horizontal rule.
- Remove duplicate drafts from the working set, or label them as drafts if they are needed for comparison.
- Keep links beside the claims they support.
- Mark placeholders, assumptions, and unresolved items explicitly.
- Preserve dates, names, numbers, and action owners exactly as written.
For a long collection, create one Doc with an index at the top and the imported notes below it, or keep individual files in a clearly named Drive folder. Either arrangement works if each source can be identified unambiguously.
Use a repeatable source-label format
A compact label such as Source: sprint-2026-10-12.md | Date: 2026-10-12 gives reviewers a stable handle. Put the label immediately under the note heading, then keep the note text unchanged where possible. If a note is a draft, say so in the label. This prevents an older draft from being mistaken for a final decision.
Separate preparation from interpretation
Preparation means naming, ordering, and marking the copied notes. Interpretation begins when you ask Gemini to classify or summarize them. Keeping those stages distinct makes it easier to tell whether a problem came from a damaged import, an ambiguous note, or an AI inference.
Add only the relevant files as Gemini sources
- Open the cleaned working document in Google Docs.
- Open Ask Gemini.
- Choose Add sources > Add from Drive.
- Select only the copied note files or the assembled working document relevant to this task.
- Confirm that you can open each selected file and that the permissions are correct.
Google documents that sources can be used to find information, summarize documents, extract key points, and compare facts across files. Source selection is a control, not a formality: too many or overly large sources can exceed capacity, and a file that is merely attached is not proof that every sentence in the answer came from it.

Keep the source set manageable
Start with the smallest set that can answer the question. If the result omits a note, split the task into smaller batches and compare the resulting indexes. For a broad project, make one inventory per workstream, then ask Gemini to compare those inventories. This staged approach keeps the context understandable and exposes omissions earlier than a single request over a large folder.
Organize first, compress second
Build an inventory
Start with an index rather than a summary. Use this prompt:
Using only the selected notes, create an index with note title, date, topic, people, decisions, open questions, and links. Use “unknown” when a field is absent. Flag duplicates and contradictions; do not invent missing details.
Inspect the table. Correct missing titles, dates, or source labels before proceeding. An inventory gives you a map of the material and exposes gaps that a fluent paragraph could hide.
Deduplicate without deleting evidence
Use:
Identify notes that cover the same event or idea. Explain the overlap and recommend one canonical note; do not delete anything.
Keep the duplicate files. The recommendation is an organizational aid, not permission to discard a potentially useful version.
Create a project structure
For project notes, ask:
Turn these notes into sections: Context, Decisions, Evidence, Risks, Open Questions, and Next Actions. Preserve links and quote only text present in the sources.
This separates established facts from decisions, risks, and work still to be done. It also gives reviewers clear places to challenge the output.

Group themes and mark inferences
Next, request a thematic synthesis:
Group these notes into 3–7 themes. For each theme, list supporting note headings, the key claims, unresolved conflicts, and next actions. Mark every statement that is an inference.
Requiring supporting headings makes the organization auditable. Requiring an inference label prevents a reasonable interpretation from being mistaken for a recorded fact.
Generate the executive summary
Only after the index and themes are reviewed, ask:
Write a 200-word executive summary using only the selected sources, followed by a bullet list of evidence and open questions.
For a shorter format, use:
Summarize the selected notes in 150 words, then list five bullets with the source note heading supporting each point.
Specify the length, audience, and allowed sources in every summary request. “Using only the selected sources” is a useful guardrail, but it does not replace checking the result.
Use a staged prompt sequence
Do not ask for a polished summary in the first turn. The inventory finds missing fields, deduplication exposes repeated material, the section outline separates facts from decisions, and the thematic pass makes conflicts visible. Only then should compression remove detail. If you revise the source set, rerun the inventory so the final summary still reflects the files actually selected.
Run a deliberate conflict check
Obsidian collections often contain changing plans and multiple drafts. Ask Gemini to expose disagreements rather than silently choosing one:
Find contradictions in dates, names, numbers, or conclusions. Show both versions with their source headings and do not resolve a conflict without evidence.
Resolve conflicts by returning to the notes, not by asking the model to guess. If the notes do not establish which version is correct, preserve both versions and label the issue as open.
Distinguish contradiction from chronology
Two dates may describe two different events, and a later note may supersede an earlier proposal without explicitly saying so. Ask Gemini to show both source headings and the surrounding wording. A dated decision record or clearly named owner can settle the issue; otherwise, retain the competing versions and state what evidence is missing.
Verify every publishable claim
Before sharing the summary, open the cited source notes and check:
Quick wins for a faster PC:
Repair Windows errors before they cause bigger problemsFix Now →Scan for outdated or missing drivers - takes under a minuteDriver Scan →- Names, dates, numbers, and links.
- Who owns each action and whether the owner is actually stated.
- Whether a conclusion is quoted, paraphrased, or inferred.
- Whether a cited note supports the whole sentence, not just one phrase.
- Whether a “decision” is final or merely proposed.
Google cautions that Gemini may miss a source or cite a document that was not directly used for a particular detail. Treat citations and source labels as leads for verification, not as automatic proof. Remove unsupported claims, downgrade uncertain wording, and add an open question when the notes do not settle an issue.
Use an evidence pass before approval
Read the summary once for meaning and a second time for provenance. On the provenance pass, highlight each factual sentence and locate the supporting heading. Replace vague phrases such as “the team agreed” when no note identifies an agreement. If a sentence combines facts from several notes, keep all relevant headings beside it or split the sentence so each claim has a clear support trail.
Preserve traceability and reversibility
Keep source links or filenames near the generated outline. Record the exact prompt used, especially when a summary will be updated later. Save the final summary as a separate Google document rather than overwriting the imported notes. This arrangement gives you three recoverable layers:

Plan for updates
When new notes arrive, add only the new copies to a clearly dated working set, rerun the inventory, and ask Gemini to identify changed dates, decisions, and open questions. Do not silently replace the earlier summary. Saving each reviewed summary separately preserves a readable history of what changed and why.
Workflow trade-offs
| Criterion | Obsidian originals | Google Docs working copy with Gemini |
|---|---|---|
| Fidelity | Highest for Markdown links, callouts, tables, and metadata | Depends on import route; smart chips, HTML formatting, colors, highlights, and alignment may change or disappear |
| Collaboration | Depends on your vault and sync setup | Strong for sharing, comments, and simultaneous document editing |
| AI context control | No built-in Gemini source panel in this workflow | You choose Drive files through Add sources > Add from Drive |
| Traceability | Direct file and link context | Good when headings, filenames, and source links are preserved; attribution still needs checking |
| Reversibility | Original state remains available | Safe when you work from copies and save outputs separately |
The choice is therefore about the deliverable, not which application is universally better. Obsidian is the fidelity anchor; Docs is the collaborative review surface; Gemini is the organizing and drafting assistant. Keeping those roles explicit reduces accidental loss of context.
Independent reader supportYour contribution helps us test, update, and keep practical guides available for everyone.Troubleshooting common failures
Formatting looks wrong after import
Compare the working copy with the original Markdown. If links, callouts, tables, or metadata matter, keep the Markdown file as the reference and use a separate Doc only for synthesis. Do not “repair” the vault based on an imperfect conversion.
Gemini ignores an important note
Check that the file was added under Add sources > Add from Drive, that you have permission to open it, and that the source set is not unnecessarily large. Ask for an inventory of every selected note; a missing filename reveals a context problem before it affects the summary.
The answer contains invented details
Repeat the request with “using only the selected notes,” require “unknown” for absent fields, and ask for source headings after every major point. Then verify the text manually and delete any unsupported sentence.
Two notes disagree
Use the conflict-check prompt and show both versions. Preserve the disagreement until a dated source, decision record, or responsible person establishes the answer.
Collaboration is the priority
Use a converted Google Doc, not Markdown mode, for the shared deliverable. Keep the Markdown copies and original vault separately so comments and formatting changes do not become your only record.
A teammate cannot use the same source
Check Drive sharing and organizational restrictions. The teammate needs permission to open the selected file, not merely the summary document. If access cannot be granted, copy the relevant notes into an approved working document and label each section with its original filename.
Recommended Free Tools
The source list is too large
Reduce it to one project, meeting series, or topic. Process separate groups, compare their inventories, and keep the group labels in the final outline. Smaller batches are easier to inspect and make it clearer which notes were omitted intentionally.

A dependable operating pattern
For recurring work, use the same sequence: select a bounded set, copy it, import it, label and normalize it, inventory it, deduplicate it, group themes, check conflicts, generate a constrained summary, and verify every publishable claim. The AI does the mechanical organization and first draft; you retain control of source selection, interpretation, and final approval.
Frequently Asked Questions
Can Google Docs open an Obsidian Markdown file directly?
Yes. In Google Docs, use File > Open > Upload and select a copied .md file. You can also upload it to Drive and choose Open with > Google Docs, or paste Markdown into an open Doc with Paste from Markdown.
Should I work in Markdown mode or convert the note to a Google Doc?
Keep Markdown mode when portable plain text and the .md file type are priorities. Use a converted or pasted Google Doc when you need comments, sharing, simultaneous editing, and polished formatting. In Markdown mode, smart chips become text or links, HTML formatting becomes plain text, and some colors, highlights, and alignment may disappear.

How many Obsidian notes should I add as Gemini sources?
Use the smallest bounded set that answers the task. Too many or overly large sources can exceed capacity. If a note is omitted, split the work into smaller batches and compare the resulting inventories.
Can Gemini summarize files that I cannot open?
No reliable workflow should assume that. You need permission to open the selected Drive files, and your organization may restrict Gemini access. Check permissions before interpreting an answer.
How do I stop Gemini from inventing missing details?
Tell it to use only the selected notes, use “unknown” when a field is absent, quote only text present in the sources, and show source headings after major points. Then verify every factual sentence against the original notes and remove unsupported claims.
How should I handle conflicting dates or decisions?
Ask Gemini to show both versions with their source headings and not resolve the conflict without evidence. Return to the notes and preserve the issue as open unless a dated source, decision record, or responsible person establishes the answer.

It should not if you copy or export the Markdown files first and import those copies. Keep the vault untouched and save the outline and summary as separate Google documents.
Do I need a paid plan for Gemini in Docs?
Google says an eligible Google Workspace or Google AI plan is required. Availability, administrator controls, and pricing depend on the account, so check the plan that applies to you rather than assuming every Docs account includes Gemini.
The Bottom Line
Use Obsidian as the untouched source of truth, Google Docs as the reviewable workspace, and Gemini as a staged organizer rather than an unquestioned author. Bounded sources, explicit labels, conflict checks, and manual verification produce summaries that collaborators can audit and revise.
