Use ChatGPT for writing as a collaborator in four stages: plan the assignment, draft in the right format, revise with focused feedback, then verify and package the result yourself. The most useful prompt explains the reader, goal, context, source material, format, and constraints. Treat the response as a draft—not a final authority—and check its factual claims before publishing.
1. Plan the assignment before prompting
Start by deciding what the writing needs to accomplish. Tell ChatGPT who will read it, what they should understand or do, and what material it may use. Add the boundaries that matter: required points, length, tone, reading level, prohibited details, and where the finished text will appear.
OpenAI Academy’s Writing with ChatGPT describes a Plan → Draft → Revise → Package workflow. Planning first is especially useful when a piece has several requirements: it gives you a chance to correct the direction before investing in a full draft.

“Write something good” leaves too much open. State the reader outcome and the requested deliverable separately—for example, “Help a new customer understand the return process” and “write a concise support email with a subject line and one clear next step.” For a long report, ask for an outline with headings first, review it, and then request the sections.

Give it material to work from
When you have notes, a draft, or approved source material, include the relevant portions and say how ChatGPT should use them. Distinguish facts that must remain unchanged from areas where it may suggest wording or organization. If an essential detail is missing, ask it to flag the gap rather than fill it with an assumption.
2. Ask for a specific first output
Be direct about the task: drafting, rewriting, tightening, changing tone for an audience, or turning rough notes into clear communication. Then specify the shape of the answer. A short message may need a subject and call to action; a longer document may need an outline, sections, and a defined level of detail.

A reusable prompt structure is:
I’m writing [type of piece] for [audience]. The goal is [reader outcome]. Use this source material: [notes or draft]. Produce [format and length]. Keep the tone [tone]. Include [required points]. Avoid [constraints]. If any key information is missing, ask me before drafting.

This structure is an editorial synthesis of OpenAI’s prompt guidance, not a tested template or a guarantee of quality. OpenAI’s Help Center recommends identifying the task, providing relevant context, and specifying tone and style; for complex work, break the request into smaller tasks and follow up based on the response. 3. Revise with focused feedback
Read the draft against your original goal, then name the change you want. “Shorten this by about 100 words” or “make the next step clearer” gives ChatGPT a more actionable target than “make it better.” For longer pieces, work through one concern at a time—such as organization, clarity, tone, or length—so you can judge what each revision changed.
Choose light editing or a deeper rewrite
If the draft already sounds like you, ask for a light edit that preserves its structure and voice. If the organization or argument is not working, request a stronger revision and specify what may change. OpenAI Academy’s Improve Your Papers Without Losing Your Voice suggests comparing a light edit with a more substantial revision and asking for a change log. Read the result carefully; keep, reject, or rewrite suggestions according to your own judgment.
Use it as a sounding board, not only a drafter
You can ask for brainstorming, feedback on a passage, alternative word choices, or help identifying where a reader might be confused. OpenAI’s Writing with AI offers examples of writers using ChatGPT as a sounding board, story consultant, research assistant, editor, and word-finding helper. These are reported use cases, not controlled evidence that ChatGPT improves writing outcomes for every user.

4. Check facts and prepare the final piece
Before publication or sending, verify names, numbers, dates, policies, and other factual statements against reliable sources. OpenAI Academy’s writing guide specifically advises checking facts when a piece includes specific numbers or policies. A fluent sentence is not proof that its claim is correct.

Then format the approved text for its destination: an email, memo, FAQ, slide, or script may each need different headings, length, and calls to action. Make the final decisions yourself; OpenAI’s guidance treats generated writing as material for review rather than a final authority.

When available, a writing block provides an editable area for draft text. Depending on the account, it may offer direct editing, copying, revision requests, full-screen editing, and undo or redo of recent AI-assisted changes. OpenAI’s Help Center says availability varies by plan, device, workspace settings, and rollout, so not every reader will see every action. Details are in Working with writing blocks and code blocks in ChatGPT.
Regardless of the interface, the core process remains the same: give the tool a well-defined assignment, steer it with specific feedback, and review the finished work before relying on it.
