You can turn confidential workshop notes into a draft report with a local AI model without sending the notes to a cloud AI service, but only if you set up the tool correctly, turn off the features that send data elsewhere, and check every line of the draft against the original notes. “Local” describes where the model runs. It does not decide whether you are allowed to process the content, whether the report is accurate, or whether the files are stored securely.

What “local” actually covers

Local AI tools run a language model on your own computer. When the model runs locally, the text you type and the documents you load are processed on that machine rather than on a vendor’s servers. The two desktop tools most often used for this are LM Studio and Ollama, and their published privacy policies describe the behavior in slightly different terms.

LM Studio’s desktop app privacy policy, effective June 2026, says that when you download and run models locally, your messages, chat histories, and documents are not transmitted from your system and are saved on your device (https://lmstudio.ai/app-privacy). The same policy separately covers online model search and downloads, update checks, and optional cloud services. Those are distinct activities that do use the network.

Ollama’s privacy policy, last updated March 2026, states that the company does not see prompts or data when you run models locally (https://registry.ollama.com/privacy). The policy draws a line around cloud-hosted models, which receive prompt and response content so they can provide the service. Running a model “by Ollama” and running a model locally are not the same thing, so check which one you are using.

These are statements by each vendor about its own product. They are not independent audits, and they do not generalize to other local AI tools.

Local mode versus cloud options at a glance

The table below compares the choices a workshop writer typically faces. Hardware requirements are not covered by the sources used for this article, so they are marked accordingly.

Before you load anything: confirm you are allowed to process the notes

The first gate is not technical. Workshop notes often carry commitments made to participants, such as “notes will not be shared outside the project team” or “quotes are anonymous.” Your employer or client may also have rules on which tools can handle internal material. Local processing does not override any of these.

The European Data Protection Board’s June 2025 training material on data protection and large language models identifies privacy-related risks in using LLMs (https://www.edpb.europa.eu/system/files/2025-06/spe-training-on-ai-and-data-protection-legal_en.pdf). It is a useful reference for the questions to ask, but it does not tell you whether a particular workshop’s content may be processed. If the notes include personal data, or you are unsure, ask the person responsible for the workshop or data protection before loading the notes.

Step-by-step workflow

  1. Get approval and record it. Confirm that the notes may be processed with the selected software under your confidentiality rules and any commitments made to participants. Write down who approved it and when.

  2. Make a working copy. Keep the original notes untouched in their existing location. Create a separate copy for the AI step and remove anything the report does not need, such as side conversations, personal remarks, or contact details. Give the copy a clear filename with a version date, for example workshop-notes-working-2026-10-09.txt.

  3. Install the tool through an approved process. Install LM Studio or Ollama and the model you plan to use. Model downloads and software updates need network access, so do these steps before you handle the confidential notes, on a connection your policy allows.

  4. Turn off cloud and remote features for this task. Open the app’s settings and look for cloud models, web search, remote integrations, and any account sign-in options. Disable them. Then confirm the model you are about to use is the local one, not a cloud-hosted entry in the same model list.

  5. Disconnect or monitor the network if your policy requires it. Some organizations require that the machine be offline while notes are loaded. If so, complete all downloads first and do not reconnect until the working files are removed or secured.

  6. Ask for a structured, traceable draft. Use the prompt structure in the next section. Paste or load the working copy only after steps 1 to 4 are complete.

  7. Verify the draft against the original notes. Use the checklist below. Correct every error before the draft leaves the working folder.

  8. Get human sign-off and handle the files. The report owner approves the final version. Then apply your storage and retention rules to inputs, outputs, and any logs.

How to ask the model for a traceable draft

A workshop report is only useful if a reader can trace each statement back to the notes. Ask for a fixed set of sections and tell the model how to handle uncertainty. A prompt that covers these points works well:

  • Organize the draft into purpose, key themes, decisions, action items, unresolved questions, and a short executive summary.
  • Label statements that come directly from the notes separately from anything the model infers.
  • List action items with an owner and a due date only when the notes state them. Otherwise write “owner not stated” or “date not stated.”
  • Do not invent names, figures, or quotations. If information is missing, say it is missing.
  • Keep quotations exactly as written in the notes, and flag any that you were unable to match.

Models can still produce confident-sounding detail that is not in the notes. The prompt reduces this risk; it does not remove it.

What to check before the report circulates

  • Decisions: each decision matches the wording and outcome recorded in the notes.
  • Owners and deadlines: each one appears in the notes. If not, it should be marked as not stated.
  • Names and attributions: every person is named correctly and attributed to the right statement.
  • Quotations: each quote matches the notes word for word, or is removed.
  • Omissions: important points raised in the notes appear in the draft, including dissent or unresolved issues.
  • Tone and sensitivity: anonymized or sensitive comments remain anonymized and are not made more identifiable by the summary.

Storage, backups, and access

Local processing answers one question: where the model runs. It does not answer who can open the files afterward. The original notes, the working copy, the AI output, and any app logs or chat histories are separate artifacts, and each needs a decision about location and access. Check where the app saves chat histories on your machine, because LM Studio’s policy confirms that chat histories are saved locally, and you should know where those are before you delete or back them up.

Backups are a common gap. A local file can be copied by a backup tool, synced to a shared drive, or left in a folder that other users can read. Encryption, access controls, and retention schedules are set by your organization’s rules and tools, not by the AI software. An external drive can hold working files, but it does not make them secure on its own.

Where this workflow can fail

  • A cloud model is selected by accident. The model list may mix local and cloud-hosted entries. Confirm the active model before pasting any notes.
  • An integration sends content elsewhere. A plugin or connected service may fetch or send text. Disable integrations you have not reviewed.
  • The draft is trusted without checking. Errors in decisions, owners, and quotes are the most damaging, and they are easy to miss in a fluent summary.
  • Working files persist. Drafts, copies, and chat histories remain after the report is finished unless someone removes them under your retention rules.

Practical responses: stop, confirm the active model and integrations, and restart the session from a clean working copy if anything looks wrong.

The Bottom Line

A local model runner can keep workshop notes on your own device, according to the published policies of LM Studio and Ollama, provided you actually use the local mode, switch off cloud and remote features, and have permission to process the material. Treat the AI draft as a first pass: every decision, owner, date, name, and quotation needs checking against the original notes before anyone else sees the report.
