If Windows 11 search is slow or misses files, first check whether Windows is still indexing and whether the right folders and file contents are included. Then search This PC to distinguish an indexing problem from a file that is hidden or has moved. Outlook-only problems need separate steps.
First, identify where search is failing
Is the problem in the Start menu, File Explorer, or only Outlook? For a missing file, open File Explorer and search for its exact name under This PC. If the file appears there but not in another search location, check the indexing coverage for that location. If only Outlook has incomplete results, skip to the Outlook section.
Check Windows Search coverage and indexing progress
Open Settings > Privacy & security > Searching Windows. Review the search mode and the displayed indexing status. Microsoft says first-time indexing can take up to a couple of hours; if you have just enabled indexing or added a location, wait for it to finish before treating the delay as a fault. See Microsoft’s guide to search indexing in Windows.
| Mode | Default coverage | Resource trade-off |
|---|---|---|
| Classic | Common user folders and the desktop | Indexes a narrower set of locations than Enhanced. |
| Enhanced | The entire PC | May use more system resources. |
If you use Classic and the missing file is in another folder, select Customize search locations and add the folder. A folder outside indexed locations may not appear as expected in indexed results.

Check whether Windows indexes file contents
Windows can index file properties only, or properties and file contents. Properties-only indexing can still find a document by its name, but not by words inside it. In Customize search locations > Advanced > File Types, find the relevant extension and check whether content indexing is selected. This setting matters when filenames work but searches for text within documents do not.
Look for files that seem to have disappeared
If a file is missing from search, it may be outside the index—or it may be hidden or in a different location. Microsoft’s lost-file checklist suggests searching This PC, checking hidden files, trying a wildcard such as *.doc for Word documents, and using Open file location on a result to see where it is stored. Some files may have moved during a Windows 11 upgrade.

If you are not using a temporary profile, you can also try the Search and Indexing troubleshooter if it is available:
- Open Settings > Privacy & security > Searching Windows.
- Select Advanced indexing options, then choose Advanced.
- Select Troubleshoot search and indexing, if that option appears, and follow the wizard.
Availability varies: Microsoft says older Windows 11 releases continue to run legacy inbox troubleshooters, while its deprecation notice lists Search and Indexing among troubleshooters slated for removal. If the wizard is absent, use the indexing mode, folder-location, and file-type checks above instead. OneDrive files may need Microsoft’s separate OneDrive missing-files guidance.

Keep Outlook search problems separate
If Windows search works but Outlook shows partial or no results, check that Outlook is included as an indexed location and verify the search scope. Microsoft’s Outlook-specific instructions also describe rebuilding the Instant Search catalog: Fix search issues by rebuilding your Instant Search catalog. That procedure addresses Outlook catalog problems; it is not a general first step for unrelated Windows Search symptoms.

If symptoms point to missing or damaged Windows system files rather than an omitted folder or unfinished indexing, Microsoft documents using DISM and System File Checker to repair system files. Treat this as a broader repair path, not the first response to a search coverage or indexing-progress issue. Follow Microsoft’s system file repair instructions.
