Identify the exact media format before connecting anything: floppy disks, Zip disks, optical discs, tapes, memory cards and internal hard drives require different readers, and some also need software that understands the original file system. Copy the contents to current storage, verify that the files work, and keep the source until you are satisfied with the transfer. If a carrier is damaged, fragile or unusual, stop rather than risk repeated attempts on the only copy.

1. Identify the medium and assess its condition

Record the label, physical size, connector and any brand or model markings. Note which computer, camera or operating system may have created the files. Check for visible damage such as cracks, warping, moisture or mold; do not put a damaged carrier into a drive just to see whether it works.

Recognizing the physical medium is only the first step. File-system structure and the operating system or software needed to interpret it can also affect whether the contents are retrievable, as the U.S. National Archives and Records Administration (NARA) explains in its technical report on machine-readable and optical media.

2. Choose a reader that matches the exact format

Match the reader to the medium’s format, physical size, capacity and interface, then confirm that the host computer supports it. The UK National Archives lists distinct equipment for CDs and DVDs, 3.5-inch, 5.25-inch and 3-inch floppy disks, Zip disks, tapes, USB and SD cards, and internal hard drives. Its transfer guidance also mentions write blockers as an option for reducing the chance of changing source media.

Therefore, please carefully check the status of the floppy disk before reading to avoid the drive stopping working due to floppy disk issues.
  • Standard floppy disk: A compatible external USB floppy drive may work, but confirm its support for the disk’s size and format. A reader for one floppy size is not a universal floppy reader.
  • CD or DVD: A USB optical drive is a possible match for readable discs; confirm that it supports the disc type you have.
  • Internal hard drive: A compatible drive caddy or adapter may connect it to a current computer. Check the drive’s interface before choosing one.
  • Zip disk, tape or proprietary format: Find a reader made for that particular format. A generic USB card or disk reader will not handle every obsolete medium.

Reader availability can become a problem even while the media remain readable. The Canadian Conservation Institute advises transferring floppy-disk contents to a current medium and notes that equipment can disappear before the carrier itself becomes unreadable: Computer hard disks and diskettes – FAQ.

3. Connect carefully and copy the files

For important or irreplaceable material, use a dedicated transfer computer if practical, and limit network and system connections to what is needed. The UK National Archives recommends this kind of dedicated setup and suggests write blockers to help prevent changes to source media. If you do not have an appropriate setup and the files are valuable, avoid experimenting on the sole copy.

  1. Connect the compatible reader to the transfer computer, using a write blocker if your setup supports one and avoiding unnecessary handling of the source.
  2. Copy the files to a current destination drive. Preserve filenames and folder structure where possible.
  3. Record the source medium and transfer date if the files matter for work, records or future identification.

For managed collections, copying is only part of the job: the Library of Congress recommends bringing external-media content into managed storage and inventory control. Its Managing External Media and Digital Content guidance describes copying content from external media into the Library’s managed storage systems.

4. Verify the transfer and keep a second copy of important files

Before relying on the destination, open a sample of files or use an integrity-checking method suited to the file types and transfer process. No single verification method fits every kind of content, so check that representative files behave as expected. For important material, make another copy on a separate storage device and periodically check that the copies remain readable.

Do not treat one USB stick or external drive as permanent storage. NARA advises moving digital content into a current environment promptly because both media life and reader availability vary: Machine-Readable Media.

On Windows 10 and Windows 11, the external-storage policies documented by Microsoft are Quick removal and Better performance; Quick removal is the default beginning with Windows 10 version 1809. Follow the safe-removal instructions for the specific device and configuration: Windows default media removal policy.

5. Decide whether to keep, reuse or discard the source

Keep the original until you have checked the transferred files and decided whether the carrier has continuing value. If it contains sensitive information and will leave your control, consider sanitization appropriate to the medium and the risk. NIST describes sanitization as removing data with reasonable assurance that it cannot be easily retrieved and reconstructed; its Guidelines for Media Sanitization was published in 2006 and updated January 27, 2020. Ordinary file deletion should not be assumed to sanitize a disk.

How long might the original media remain readable?

The Canadian Conservation Institute lists the following illustrative longevity ranges under standard storage conditions of 23°C and 50% relative humidity. These are not guarantees for an individual item, and hotter or more humid conditions can shorten the ranges. The figures below are from a page accessed in 2026; the page does not establish a publication year for them.

Medium Illustrative range
Read-only CD (factory stamped) 50–100 years
CD-R 5 to over 100 years, depending on dye and metal-layer type
Read-only DVD (factory stamped) 10–20 years
DVD-R 10–50 years
Analog tape 10–30 years
Digital tape 5–10 years
Floppy diskettes, including Zip disks 5–15 years
Hard drives 2–5 years

These ranges are a reason to plan a transfer, not a way to predict whether a particular carrier will work. Condition, storage history and access to a compatible reader all matter.

When to stop and seek specialist help

Pause if the medium is visibly damaged, the reader is not an exact match, or the files are valuable enough that trial-and-error could cause unacceptable loss. Rare or proprietary media may need specialized equipment or software; damaged media may need a qualified recovery service. The recovery prospects depend on the carrier, its condition and the system that created it, so no general workflow can guarantee that the files are recoverable.
