To keep a Mautic documentation pull request from being overlooked, track it alongside its related code PR and revisit it after that code PR merges. Promptless may keep the docs PR as a draft while the code is still changing; after the code merges, the docs PR becomes ready for review, and it still needs a final review and formal approval.
Where Promptless documentation PRs fit
Mautic lists three repositories open to documentation contributions: User Documentation, Developer Documentation, and the Community Handbook. Promptless updates associated with code changes may be submitted to the user documentation repository, the developer documentation repository, or both, depending on the change. Mautic’s developer contribution guidance explains the Promptless workflow.
Promptless creates a docs PR from code changes, links it from the code PR, and comments on the code PR with the docs PR link. That relationship is the essential tracking detail: a docs PR cannot be treated as finished just because its associated code has been merged.

Follow the docs PR through its lifecycle
While the code PR is open: treat the docs PR as a draft
When the related code PR remains open, Promptless keeps the documentation PR in draft status. Contributors can review it, but Promptless may adjust the content as additional code changes arrive. Track it as in progress rather than as a stable final review request.

After the code PR merges: return for final review
After the Core Team merges the code PR, Promptless marks the documentation PR ready for review. The handbook makes the next step explicit: “You must perform a final review and approve the docs PR after the Core Team merges your code PR.” Reopen the docs PR, check the updated content against the merged code, and complete the final review rather than relying on feedback given while it was a draft.
Give a formal review decision
The Education Team requires formal approval before it can merge a documentation PR. If the content is satisfactory, use GitHub’s Approve review action. If changes are needed, leave actionable review comments and select Request changes. The handbook says Promptless applies requested changes and tags the reviewer again when it pushes an update; return to the PR and review that update.

Build a lightweight tracker around the handoffs
Mautic documents the lifecycle, but does not prescribe a separate tracker or a canonical set of fields. The following is a practical implementation recommendation, not official Mautic policy. Keep one record per docs PR so that its connection to the code change and its next owner remain visible.

Use GitHub’s repositories and the Mautic low- and no-code GitHub Projects board as possible places to manage contribution work. Choosing a PR-level view or a project board is an implementation decision: a repository-focused view may suit a small number of linked PRs, while a cross-repository board can make assignments and outstanding work easier to see together. Mautic’s guidance does not prescribe one approach or compare these options.

Set reminders at the points most likely to be missed
- When a code PR is still open: confirm that the linked docs PR is recorded and stays marked as a draft while code changes continue.
- When the code PR merges: revisit the docs PR. This is the handoff when Promptless marks it ready for review and a final review is required.
- When review changes are requested: watch for Promptless’s update and reviewer tag, then inspect the revised content and submit the appropriate review decision.
- When review is pending: check the PR comments and the relevant Slack thread for the pending PR link or assigned reviewer.
These reminders are recommendations derived from the published workflow, not an automatic deadline system. The handbook’s specific follow-up advice is to tag the Education Team in the PR comments to ask for an estimated review time if a week passes without a review.
Monitor GitHub and community communication
Mautic asks contributors to watch merged code PRs for Education Team comments and review requests, and to follow relevant Slack threads where pending PR links and reviewers may be discussed. The community handbook says to communicate in the GitHub repository first. For questions, tag @mautic/education-team-leaders or use #t-education. If a review has not arrived within a week, ask in the PR comments for an estimated review time by tagging the team. See the Education Team guidance for review and communication details.

Make reviews useful to contributors
Reviewing issues and PRs is open to people familiar with Mautic and PHP; Mautic notes that community review matters because the volume of PRs and bug reports exceeds the Core Team’s available review capacity. The handbook’s review guidance recommends reading the PR description and test steps, testing the changes, reproducing a reported issue where relevant, and submitting a review that gives useful information. For a documentation PR, focus comments on whether the instructions accurately reflect the merged behavior and whether a reader can follow them.
A tracker should make those actions easier to remember, not replace the PR itself as the place for review discussion and approval. Keep the direct links and current next action visible, and update the record when the lifecycle moves from draft to final review or when a requested change is ready to inspect.
